What is the Fundraising Hierarchy?
• A 3-tier structureused to organize and categorize fundraising designations.
• Designations are individual things towards which a donation can be directed, usually reflecting a donor preference.
• The hierarchy structure determines how donations can be entered through the payment form, revenue batch, and web forms.
• The hierarchy is a living structure and is expected to be modified over time.
Where do I find the Fundraising Hierarchy?
• Fundraising -> Fundraising hierarchies
• Once created, the tier structure is represented by indenting as shown
above.
Add Tier 1 – Total• Click “Add”
• Select Type of “Total”
• Add Name and Public Name
(as the same)
• Add a unique Lookup ID
• Click Save
Add Tier 2 – Initiative• Expand the Total we just created
• Click “Add” (the second one)
• Fill in the form with the same
pattern we used for the Total
• Click Save
Add Tier 3 – Designation• Expand the Initiative we just created
• Click “Add”
• Select one of Fund, Project, or
Program
– Fund – ongoing fundraising efforts
– Project – effort with a fixed goal
amount or time frame
– Program – effort with a specific
purpose, but is ongoing
• Fill in the form with the same pattern
we used for the Total and Initiative
• Click Save
Other Designation Options• Membership revenue converted from
another system will convert to Altru as
a donation
– We must create a “Membership”
designation to capture these items
• Event-related revenue can be stored
as a donation
– Donations to a silent auction
– Auction-item purchases
– Sponsorships for events where no tickets
are given
Conversions and the Hierarchy• If you are converting to Altru from another system you need to follow
this same process.
• The conversion does not create a Hierarchy for you.
• All Fund (or equivalent) records from your previous system, both
active and inactive, must be accounted for in your Hierarchy
• Your conversion analyst will give you a spreadsheet called a
“Designation Translation”. This is a map that lists all the funds from
your old system, and you tell it which Total, Initiative and
Fund/Project/Program those gifts should convert into.
• You will complete this once for you test conversion, and again for
your final fun conversion.
Mark a Designation Inactive
• Expand the Designation to inactivate
• Click “Mark inactive”
• The Designation is now inactive and appears as italicized text
• Inactive Designations can be filtered from the view to shorten the list
Add Fundraising Goals – Total• Click on the name of the
Total we created to enter the record
• Click “Add” on the Goals tab
• Fill in the form with the complete amount of the goal, and the dates within which that goal will be calculated.
• All other goals at the Initiative and Designation levels will be based on this goal.
• Click Save
Add Fundraising Goals – Initiative• Click on the name of the
Initiative we created to enter
the record
• Click “Add” on the Goals tab
• Select the goal we defined
in the Total, and the amount
for the goal (specific to this
initiative).
• All goals at the Designation
level will be based on this
goal.
• Click Save
Add Fundraising Goals – Designation• Click on the name of the
Total we created to enter the record
• Click “Add” on the Goals tab
• Fill in the form with the complete amount of the goal, and the dates within which that goal will be calculated.
• All other goals at the Initiative and Designation levels will be based on this goal.
• Click Save
Fundraising Reports – Designation
Progress
• Fundraising ->
Reports
• This report
provides flexible
options for tracking
progress towards
goals, both raised
(pledges) and
received
(payments)
Fundraising KPI – Total Revenue for a
Designation• Analysis > Information
Library > KPIs tab
• Click Add, and select
Revenue > Total
Revenue for a
Designation
• Criteria – we tell the
KPI to look at a
particular Total,
Initiative, or Designation
• Goal – we manually
specify our overall,
good, and satisfactory
goals.
Fundraising KPI – Total Revenue for a
Designation• Once processed,
the KPI shows
progress towards
goals
• We can change the
date range to alter
the graph
• Use the Job
Schedules tab to
automate the
refreshing of this
KPI, or it will remain
static
