PROGRAM OUTLINE AND REQUIREMENTS

Any Whitman student who has completed their first year and will be enrolled at Whitman

during the Fall 2017 semester is eligible to participate. Students must be in good academic and

The SEC will announce grant recipients no later than May 1st. If you do not get selected for a

grant, you may submit an improved application by the second and final deadline on April 14 th

2017.

3-STEP APPLICATION PROCESS

1. Find an internship

A. Meet with your potential supervisor and determine the scope of the internship (job

description, intended work schedule, and supervisory/evaluation process).

B. Give your supervisor the “Supervisor Information” sheet, which outlines their

responsibilities (p. 3).

C. Have supervisor sign the “Student-Supervisor Contract” and sign it yourself (p. 4).

D. Provide your supervisor with the Department of Labor Standards for Unpaid Internship

sheet (see addendum).

2. Fill out the following Google form (log in to Whitmail to access)

3. Fill out the application and email it to [email protected] (ONE EMAIL with TWO

DOCUMENTS)

A. Document 1: A PDF or Word document that includes short answers (2 pages), your

resume (1 page) and, if applicable, the optional budget request (1 page).

B. Document 2: A signed and scanned Student Supervisor Contract as a PDF (you can use the

library scanner to turn it into a PDF)

Applicants must submit all three components (Google form, application, and contract) to be

considered.

SUPERVISOR INFORMATION

GENERAL INFORMATION FOR SUPERVISORS

The funds for the Whitman Internship Grant are allocated by Whitman College. Each student selected to receive funding will be paid $2500 for their work during the summer (standard deductions will be withheld).

Students are eligible for this grant the summer following their first year, sophomore or junior year, and in a few cases, during their senior year if they are planning on returning to Whitman in the fall following the summer. Interns must also be in good academic and conduct standing with Whitman College.

GUIDELINES FOR INTERNSHIP EXPERIENCES

1. Internships must be relevant to the student’s educational goals and/or career interests.

2. A student may not work for a relative.

3. To qualify for the grant, the internship must be unpaid.

4. Students must respond to seven short-answer questions in their application. The application evaluation committee thoroughly analyzes these answers. You can help strengthen these materials by providing the student with information about your organization, their responsibilities, training methods, criteria for evaluation, mode of feedback, and the amount of time they will spend with you.

5. Supervisors must sign the 2017 US Summer Whitman Internship Grant Contract to indicate their support.

6. Supervisors are expected to provide regular feedback (e.g. written, email, in-person)

TERMS OF EMPLOYMENT

The internship must last a minimum of 10 weeks and students are expected to work 20h/week. Students need to work a total of 200 hours during the summer.

Student applications will be accepted until Friday, April 14th at noon. Interested students are encouraged to contact potential agencies and supervisors, develop meaningful internships, and submit applications early in the semester to have the best chance to access available funds.

This is an optional application for additional support to cover costs related to the internship (housing and travel costs only). Applicant must demonstrate financial need. If you choose to fill out this proposal, add it to the short-answer and resume section of your application.

ADDITIONAL EXPENSES AND RELATED COSTS

A. Budget

Develop the budget required for the internship (e.g. travel and living/housing expenses). Use additional paper or attach a spreadsheet to your application (short-answer questions and resume).

B. Explain the expected costs you’ve identified in more detail.

C. Describe attempts to secure additional funds from other sources.

Examples include:

Part-time employment during the summer Housing provided by employer/organization Frequent flyer miles Crowdfunding options/other sources of financial support

IMPORTANT:

Whitman prefers to make payments for travel/housing expenses directly to the vendor (e.g. landlord, airline, etc.) For rental/lease payments, a W-9 and a receipt or copy of the lease will be necessary. Your landlord (even if a friend/family member) will need to fill out a W-9.

If receipts are not provided, the payments will be considered taxable compensation to the student employee and taxed accordingly through payroll.

If receipts are provided, for internships that require travel beyond normal daily commuting distance from Whitman College, ordinary and necessary travel expenses can be reimbursed by the College. These are considered business expenses and thus not taxable to the student.

For students who have local internships, any reimbursements for living expenses will be considered fully taxable compensation and taxed through payroll. For reimbursements receipts must be provided.

Students receiving payments for internship services are considered employees of Whitman College.

According to my calculations, I would need $1800 for housing, $297.54 for transportation to and from Seattle (and an additional $750 for food). Grand total: $2,845

With a stipend of $2,500 I would need an additional $345.00 in order to make this experience possible.

Part CI will also have a part-time job in order to save money to allocate toward my work-study contribution, which is $2,000.

NOTE:Reimbursements are made for travel and housing expenses only. You may include estimated food expenses in your budget, but Whitman does not reimburse those expenses.

CRITERIA FOR EVALUATION OF PROPOSALS

To maximize your chances for funding, please carefully review the following criteria on which proposals will be evaluated and prioritized. (Note – part of the experience of this internship is the application process, so the quality, thoughtfulness and accuracy of your application will be taken into consideration!)

A. You must have been offered the internship before you can apply for the Spring Whitman Internship Grant.

B. Applications are evaluated for clarity and presentation. Details, well-wrought sentences, and understandable explanations will increase your chances of being funded. Proofread before you submit your application!

C. Your proposed internship must be relevant to your educational goals or career interests. The majority of your internship should be spent in activities designed to stimulate learning and gain experience.

D. You should receive consistent feedback and guidance from your supervisor. Include the criteria for evaluation as well as how often and what type of feedback your supervisor will give.

E. Evidence of your initiative and commitment to the position is also important. In your application you should describe how you researched, developed and obtained the position.

F. Your supervisor must read the entire application and sign the contract.

G. Applications must be typed on a computer.

H. Short answer questions should be original work. Do not copy information from the organization’s web site or position description.

I. A relative may not supervise the internship.

J. If you have previously worked in the internship or with the organization, you must demonstrate an increase in responsibility from previous experience.

GRANT AWARDS ARE MADE ON ORIGINAL PROPOSALS AND WILL NOT BE TRANSFERRED TO AN INTERNSHIP AT A DIFFERENT SITE OR FOR ANOTHER POSITION.

A MID-SUMMER BLOG POST, ON-SITE PHOTO, AND SHORT REFLECTION SURVEY ARE REQUIRED.
