Executive Summary

As a group we have prepared a campaign to restore Big Brothers Big Sister of

Harrisonburg-Rockingham County to its full potential. In order to achieve our goals

a combination of traditional marketing as well as online communication will be used

to gain awareness. Implementing an integrated approach will allow us to achieve an

effective reach, which making Big Brothers Big Sisters Organization become highly

accessible to those whom become involved.

That being said it is our main focus of this campaign to increase awareness

among the Harrisonburg-Rockingham County of our program. We want people to

become more knowledgeable of what our program stands for and the opportunities

that are available. By promoting awareness we aim to inspire those within the

county to support us through either volunteering and becoming a mentor or

donating. In order for this to be accomplished we will be distributing our strategy

among three target groups: men and women between the ages of 18-40, college

students, and local businesses in the Harrisonburg-Rockingham County.

We have developed specific tactics and strategies for each target market.

Some of these tactics include: improving existing social media networking sites,

sending direct mail to donors and volunteers, distributing flyers throughout the

community, giving informative presentations and hosting community oriented

public events. Given our combination of tactics and target groups we are confident

that the level of awareness among the Harrisonburg-Rockingham County will

increase and lead to positive advancements that will further benefit the

Harrisonburg-Rockingham County Big Brothers Big Sisters Organization and those

affected by it.

Situation Analysis

Big Brothers Big Sisters is currently the oldest, largest and most effective

youth mentoring organization in the United States. They have been the leader in

one-to-one youth service for more than a century, developing positive relationships

that have a direct and lasting impact on the lives of young people. Big Brothers Big

Sisters mentors children, ages 6 through 18, in communities across the country

including Harrisonburg-Rockingham County.

With a mission to help children reach their full potential, the organization

relies on professionally supported and one-to-one relationships with volunteers.

National research has shown that positive relationships between youth participants

and their Big Brothers and Big Sisters mentors have a direct and measurable impact

on children's lives. By participating in this youth mentoring program children are

able to get along better with their families and are considerably less likely to use

illegal drugs, alcohol or skip school.

Although this organization has been successful in the past it is currently

facing financial and involvement issues within the Harrisonburg-Rockingham

County. Because of our struggling economy, Big Brothers Big Sisters is not receiving

enough government funding to keep the organization afloat. Additionally the

amount of young children in the Harrisonburg-Rockingham County who are looking

to enroll in the program is rapidly increasing but it is not the case for volunteers. It

is key that Big Brothers Big Sisters reaches it’s lacking publics of the Harrisonburg-

Rockingham County, and does so in a cost effective way. If Big Brothers Big Sisters is

not able to gain volunteer involvement or funds for their organization they will not

be able to provide their award winning services effectively.

To address this problem it is essential that Big Brother Big Sisters of

Harrisonburg-Rockingham County explore efforts to gain volunteers who are

between the ages of 18-40. This age range is very much active on the Internet as

well as community events, which is why we plan to use networking vehicles and

traditional media to increase the knowledge of the. There should also be a focus to

maintain awareness among college students ages 18-24. By developing an ongoing

program between college students and the organization they will be able to reach

the consistency the organization is looking for. Lastly, efforts to build awareness

among local businesses in the Harrisonburg-Rockingham County will address the

needs of support for community figures both financially and involvement wise.

Goals:

1. To increase awareness of the Big Brothers Big Sisters Organization within Harrisonburg-Rockingham County.

1. To create awareness among men and women ages 20 to 40 in the Harrisonburg-Rockingham community within 3 months.

2. To gain an understanding of Big Brothers Big Sisters Organization’s current needs among the 20 to 40 age group within 5 months.

3. To reach 25% of involvement of men and women ages 20 to 40 who understand Big Brother Big Sisters Organization’s current needs within 6 months.

1. To maintain awareness of college students who attend JMU, Bridgewater College, EMU and Blue Ridge Community College.

2. To gain constant involvement of 75% of students who are currently a part of the Big Brothers Big Sisters Organization within 3 months.

3. To develop consistency in communication and participation among college students and Big Brothers Big Sisters Organization within 4 months.

Harrisonburg-Rockingham County Local Businesses

1. To increase awareness of Big Brother Big Sisters as a Corporation among local business in the Harrisonburg-Rockingham County.

2. To give an informative speech in front of 15 local business in the community within 5 months.

3. To gain sponsorship of 25% of local businesses in the community within 6 months which have seen an informative speech.

4. To establish a positive relationship with local business and Big Brothers Big Sister Organization within 8 months.

Campaign Strategy

Throughout the campaign we will concentrate on three main focuses. Our

first focus will be to emphasize the importance of our program within the

Harrisonburg-Rockingham County. Thirteen percent of children in the Harrisonburg-

Rockingham County are at risk of getting involved with substance abuse, gangs, and

violence. Children who become involved with our program have seen improvements in

their academic performance and attitudes toward school, increased their self-confidence,

and their relationships with peers and adults. Involvement from members of the

community will help to expand our program, which in time will lead to an even

greater increase in volunteers and donors.

Our second focus will be on potential problems the organization may face.

Many children who are part of the organization come from broken families where

guidance fails to occur. Big Brothers Big Sisters aims to create a stable relationship

between "Bigs" and "Littles" where seeds of prevention are planted. If a problem

does arise with a child and action needs to be taken, Big Brothers Big Sisters may

consider a crisis communication plan or a dark-site. These examples can keep the

organization from falling into even more trouble.

Another potential problem the organization may face is if the campaign fails.

Reasons for this may be the absence of donations. However, the organization can

suggests smaller donations that donors are more willing to pay. An additional

reason could be the lack of consistency with those involved with the organization.

To increase consistency, Big Brothers Big Sisters can contact members directly

through online newsletters and through social networking sites. Big Brothers Big

Sisters members are on the Internet, the organization just needs to find them.

This brings us to our third focus, which is to improve online communication

in order to further the program. Big Brothers Big Sisters of Harrisonburg-

Rockingham County already have an established presence on the Internet. However,

this presence is limited to a local website, Twitter, and Facebook. When visiting the

website for Big Brothers and Big Sisters of Harrisonburg-Rockingham County, one

cannot find links to their local Twitter or Facebook. Also social media profiles

cannot be effective unless the organizations’ usage is regular and continuous. Big

Brothers Big Sisters’ current online usage are several months apart while others are

only days apart. The timeline of posts online should be consistent and encourage

engagement among their followers.

Tactics

Men and Women aged 18-40 Flyers: Big Brother Big Sister flyers will be posted around the community to increase awareness about the organization. The flyers will persuade members of the community to become involved. Flyers will be placed in heavy traffic areas in the community such as areas such as Churches, Downtown, and Farmers Market. Please see the Appendix pg 25 and 26 for examples. PowerPoint Presentation: A PowerPoint presentation will be shown during Parent Teacher Association meetings and during City Council meetings. The PowerPoint presentation will be used to inform parents and active members of the community about Big Brother Big Sisters. It will also be used to persuade members of the community to become volunteers and to donate to the organization. The Big Brothers Big Sisters Organization already has a power point but new information will be added.

Suggestions for Current PowerPoint:

Simple font – no effects are necessary

Neutral background color – the purple is distracting Layout – text should begin at the top of slide Logo – if on one page as header put on all Alignment – keep it consistent Employees – no need to use an entire slide for Employee name and position

City Council meetings are held at 7 pm every second and fourth Tuesday of the month at the Council Chambers 409 South Main Street Harrisonburg, VA 22801. Online Communication: More emphasis will be put on Big Brothers Big Sisters online communication tools. New online strategy includes:

Flickr: Big Brothers Big Sisters will use their Flickr account to increase the reach of the men and women ages 18 to 40 as well as a source for more in-depth perception of the organization. Flickr members are able to become friends with the Big Brother Big Sister account and view pictures of Bigs and Littles. Please see the Appendix pg 23 for an example. Social Media: Through the hiring of a web designer Big Brothers Big Sisters Organization can improve their online presence. Links will be added to the current website so visitors can reach their social media. Utilizing blogs for testimonials and organization updates would also be effective. Consistency and engagement will be implemented and monitored by the website designer and those at the organization. Big Brothers Big Sisters should also use downtwonharrisonburg.org, a website which is an updated source of community involvement with a calendar, community events and resources for community information.

Newspaper Advertisement: An advertisement will be used in local newspapers to create awareness among the Harrisonburg-Rockingham community. The advertisement will contain information about the organization and contact information for those who are interested. Please see the Appendix pg 28 and 29 for an example

Direct mail: Direct mail will be used to maintain the relationships between the men and women ages 18 to 40 who are already involved with the Big Brothers Big Sisters Organization. These tactics will remind them to utilize all sources of available information such as online communication as well as donation request. The direct mail will be sent to those whom Big Brothers Big Sisters has in their contact database.

Newsletter: A newsletter will be sent to keep those involved updated on current events of the Harrisonburg-Rockingham County Big Brothers Big Sisters Organization. Please see the Appendix pg 24 for an example. Postcards: Postcards will also be sent to ask for donations to the Harrisonburg-Rockingham County Big Brothers Big Sisters Organization. Invitations to public events: Several events will be held throughout the year, which will rely on community involvement. College Students ages 18 to 24 On-campus Advertisements: A variety of on-campus advertisements will be used throughout the college campus of the Harrisonburg-Rockingham County

JMU Table Tents: Table Tents are dispersed among all the dining facilities on campus. We will use Table Tents to inform college students about Big Brothers Big Sisters. The Table Tents will also include contact information for those students who are interested. The Table Tent Request Form must be submitted the Tuesday before the week that it will be dispersed. Please see the Appendix pg 22 for an example.

The Breeze Advertisement: We will also submit the same advertisement used in local newspapers to James Madison University's student newspaper, The Breeze. The advertisement will be used to inform college students about Big Brothers Big Sisters. The advertisement will contain information about the organization and contact information for those students that are interested. The Breeze is scheduled to run every Monday and Thursday during the academic year.

James Madison University Commons Day: Scheduling an event where those who already support the Big Brothers Big Sisters Organization can walk among the highly trafficked common area at JMU. Advertisements can include a tri-fold poster and paper handouts. Using those who are already involved will give a personalized feel to those who they reach.

Eastern Mennonite University Campus Activities Council: The Campus Activities Council works year-round to build relationships with the campus community and provide creative and positive entertainment that engages the entire campus and student body. Big Brothers and Big Sisters can work with the Campus Activities Council to increase awareness about the program.

Organizational Sponsorship: JMU offers resources for outreach at the Community Learning Center, which Big Brothers Big Sisters Organization already uses. Maintaining use of the CLS office as well as other student organizations will give credibility to the promotions.

Alpha Phi Omega: A community service fraternity at both JMU and Bridgewater College whose cardinal principles engorge leadership, friendship and service. You can contact APO at [email protected]

Flyer on campus: Big Brother Big Sister flyers will be posted around Harrisonburg-Rockingham County Colleges in attempt to increase awareness about the organization. The flyers will persuade members of the community to become volunteers. Please see the Appendix pg 25 and 26 for example

James Madison University: Post flyers in Wilson Hall, Warren Hall, and Godwin Bus Stop.

Eastern Mennonite University: Post flyers Campus Center, Guest House, and University Commons.

Harrisonburg-Rockingham Local Businesses Direct mail: Direct mail will be used to initiate contact with Harrisonburg-Rockingham local businesses. These tactics will increase awareness of Big Brothers and Bigs Sisters as an Organization as well as help maintaining a professional relationship.

Newsletter: A newsletter will be sent to local businesses in the Harrisonburg-Rockingham County to inform them about the background of the Big Brothers Big Sisters Organization. It will also ask for permission to give an informative speech to business representatives, which will show ways they can become involved. Postcards: Often local businesses owners forget to donate to Big Brothers Big Sisters without being reminded. Postcards will be used to remind local business owners to donate. Please see the Appendix pg 27 for an example.

Informative presentations: A PowerPoint presentation similar to the one used for the PTA and City Council meetings will be presented to local businesses. The PowerPoint presentation will try to persuade local business in the community to become donors and or have employees become mentors. Big Brothers Big Sister should get in contact with Harrisonburg’s Chamber of Commerce for a list of businesses and town meeting opportunities.

Evaluation

Evaluation of the campaign needs to be an ongoing process. Tracking the number of volunteers that have joined the program and the amount of money that has been donated since the start of the campaign, will enable Big Brothers Big Sisters of Harrisonburg-Rockingham County to determine just how successful the campaign is. The organization can also track "buzz" about the program online on the social networking sites listed below and the outcomes of the certain events that are also listed below.
