JOB DESCRIPTON JOB TITLE: Admin Officer BASE / PROGRAMME: Sindh REPORTS TO: Project Coordinator 1) OVERALL RESPONSIBILITIES To assist with all administrative and human resources functions to support the effective operation of the Organization programme in Sindh consistent with Organization protocols and procedures. 2) SPECIFIC RESPONSIBILITIES A) Administration Make arrangements for meetings, trainings and workshops as requested Receive visitors to the office in a polite and helpful way Manage Cooks and Cleaners Arrange for postal, courier or personal delivery of items when required Copy and scan documents as requested Receive postal deliveries, maintain post register and distribute items accordingly Prepare internal and external correspondence as requested Monitor staff’s daily attendance records and report anomalies to the PC at month end Show complete discretion in all matters concerning Organization staff Review the newspapers on a daily basis and collect any articles of relevance to Organization, Country’s security situation and any NGO information etc. Translate documents or translate at meetings when requested Assist in the smooth running of the office by understanding other tasks as requested which are relevant to the organistion’s activities and personal skills C) Other Assist the HR and Finance Departments as requested Due to the nature of the tasks to be performed, confidentiality is a strict requirement. Undertake any other duties that may be requested 3) ESSENTIAL SKILLS & BEHAVIOURS Excellent organisational skills and the ability to prioritise. Strong attention to detail. Ability to develop and maintain both internal and external relationships. Flexible in working hours ensure your functions are covered during your absence at any time Good command of English. Good computing skills. Honest and open. Use of common sense.

4) PREFERRED SKILLS Previous experience of NGO work. Good PR Good negotiating skills.

Organization is an international humanitarian organisation involved in emergency programmes. Therefore all Organization staff have to be available at anytime in order to respond to any emergency work, should the need arise.

There will be occasions when this person will be asked to carry out additional tasks outside of these responsibilities for a variety of reasons, (e.g. urgent requirement, colleague absent, etc). As a member of the Administrative Team this person is expected to carry out these additional tasks willingly and responsibly to the best of their abilities.
