Activation Email & Sign In PageSystem users will receive an activation email detailing individual access information for the Rearden Personal Assistant. If you have not received an activation email, check your junk folder to see if it may have been mistaken as spam. The email will be sent from a reardencommerce.com address. If you did not receive the activation email, contact [email protected] for assistance.

If you have registered or already activated your user account by following the link provided in the activation email, you can access the website directly at -https://midwesthardwood-brt.reardencommerce.com. If you do not recall your username or password, simply click the “Forgot” link and follow the screen prompts to gain site access.

Home Page Overview - Navigating to your Profile

The display below is a replica of the Personal Assistant home page. This is the main screen that you will see when you access the system. You will notice two blue arrows pointing to Profile, you can select either path to take you to the profile section.

Editing Your Profile

You will navigate to the various sections of your personal profile to add/update information/preferences by clicking the ‘Edit’ buttons or page links. Make special note of the “Travel Preferences” link, this is where your membership numbers are housed. NOTE: Don’t forget to click the orange SAVE button at the bottom of each profile update area to ensure your data is saved to your profile.

Editing Your Profile (cont’d) – Add/Edit Delegate

Locate and click on the ‘Edit’ button next to the Delegates header (screen shot below shows area outlined with blue circle). The Delegate Edit screen will allow you to assign “People I Can Book For”, and “People Who Can Book For Me”. Determine which application you are needing to update and click the appropriate link (smaller screen shot with two blue circles). Follow the screen prompts to complete the assignment. Notifications will be emailed to the Delegate and the Traveler announcing the updates in status.

Editing Your Profile – Notifications

Tell the Personal Assistant if and how you’d like flight status updates, airport parking and dining details sent to you. Also identify the email address of where your preliminary trip itinerary will be sent. Note: ‘Trip Itinerary’ is the overview of your online booking selection. Blue Ribbon will send a follow up email invoice once the ticket is issued and the ‘purchase process’ is complete.

Remember to click ‘SAVE’

Online Bookings – Quick Book Feature

The Personal Assistant offers a “Quick Book” option (for a basic search request) on the home page. Navigate to the home page in one step by clicking the “Home” tab under the ‘R’ logo. Under the red service bar, you will see the ‘Quick Book’ travel launcher. Simply fill in the travel services you’d like to search for (air, hotel, and/or rental car). Fill in the prompts and boxes as needed then click orange search button to initiate your search.

Online Bookings – Quick Book Feature (cont’d) – Delegate

For those who are assigned with ‘Delegate’ access and can book on behalf of others, before you initiate the search function, youmust identify who will be traveling. In the grey bar at the very top of your screen, locate the box with a drop down menu (when you first log in, this box will say your name “for Myself”). Click the arrow to view the list of travelers to whom you have access to book for. Once the traveler name has been selected, complete the search criteria boxes and click the orange search button to begin the booking process.

Online Bookings – Trip Planner Feature

Like the Quick Book feature, you can identify a search for air, hotel and/or car rental – but Trip Planner gives more options to identify pre-search qualifiers and plan a custom trip. The qualifiers will narrow or expand search results returned by the system. Note: the Personal Assistant gives you the option to search Round Trip, Multi-city, or One-way by selecting tabs at the top of the Planner. You can also adjust the system to search for flights by Price or Schedule in the ‘search by’ section.

Online Bookings – Trip Planner - Add Hotel/Car Rental

The expanded pre-search criteria available in Trip Planner will let you search for car/hotels by Reference Points (i.e. company locations). Select the “Address” radio button next to “Search Near”, and navigate to the Reference Point menu. When you are ready, click the orange search button to initiate the search.

Online Bookings – Hotel Search ResultsThe Personal Assistant will return hotel search results along with a helpful mapping feature. You may hover your mouse over thenumbered flags within the map to view a snap shot of the property details. The numbers on the map correspond to the property list displayed below. Notice that hotel results are grouped in two tabs; Bioscrip Preferred and Non-Preferred. Follow the screen prompts to see room rates, compare properties side-by-side, or see photos/amenities. When ready to book, click the ‘select’ button within the room rate details.

Online Bookings – Review Your Trip

Once you’ve selected all of your travel components (air, hotel, and/or car), Personal Assistant will prompt you to review your trip. Simply scan through your selection(s) and click the appropriate action button at the bottom of the page – Start Over, Change This Trip, or Continue. NOTE: If you have air travel booked and have not already assigned seats, you will want to click the ‘seat map’ link under the Flights section. This is the last page that seat selection will be offered prior to purchasing your trip.

Online Bookings – Purchase Trip

The Purchase Trip page will display some of your personal information, as identified in your personal profile. Mandatory fields will be marked with an asterisk (*). If it does not contain an asterisk, you are not required to complete the data. NOTE: Date of Birth is a mandatory field due to TSA Secure Flight Program rules. This is a secured field and will display asterisks if already completed in the profile section. If this field is not updated, you will see a dash (-) in each box.

Identify a name for your trip and enter it in the Name your Trip box. Example – “January Sales Meeting – Baton Rouge”.

The ‘Optional Preferences’ section (found in the upper right portion of the Traveler Information section) will detail special requests and membership numbers. If needed, click ‘Edit’ to make any adjustments.

When ready, click the orange “Purchase” button to complete the booking and transmit the details to Blue Ribbon.

Online Bookings – Trip Confirmation

The Rearden Commerce Personal Assistant will display a Trip Confirmation page detailing the options you selected. It will also suggest additional services, such as pre-paid Airport Parking vouchers, dining services (if your company policy allows for this service), and/or mobile access.

Online Bookings – Trip Confirmation (cont’d) EmailsYou will receive a confirmation email from “Blue Ribbon Travel” with ‘Itinerary’ noted in the subject line (see example on left side below). This email acknowledges that the reservation purchased through Rearden has been transmitted to Blue Ribbon Travel and we’ve started the quality control and automated ticket processing procedures.

Depending on your company policy settings and what is being purchased, the average processing time is roughly 20 minutes. Once the ticket process is complete, our automated system will send an invoice email from your primary Blue Ribbon agent contact (see example on right side below). This is your final confirmation, please review for the document for accuracy and report any discrepancies right away. and will include any airline ticket numbers and record locator details. Many of our customer utilize this invoice for expense processing.
