Upon receipt, the Secretariat will check the name of the voter indicated on the larger C5 envelope against a master list of eligible Fellows and cross out the name. This will ensure no one votes twice. The smaller unmarked envelope will then be taken out and placed in a protected ballot box. In the case where only the smaller unmarked envelope is received and the identity of the voter cannot be verified, the ballot will be considered invalid. Please note that to be eligible for voting, Fellows must not have any outstanding membership arrears. If you have membership subscription due, please ensure your payment reaches the Academy before 11 April 2019, 5:00 pm. Please note that if you are sending your payment by mail, please send them separately and do not include it together with the enclosed envelopes, which are meant for the balloting exercise only. The Council will like to assure Fellows that voters are casting an anonymous ballot. The ballot cards are numbered for the purpose of ensuring non-duplication of cards. All returned ballot cards in the sealed envelopes will be placed in a protected ballot box till the counting of votes take place. Elected Council members of the Academy will be appointed as scrutinisers of votes. The top six candidates who receive the most votes shall be declared duly elected. As stated in Article 66(d) of the Academy’s Memorandum and Articles of Association, in the case of two or more candidates receiving an equal number of votes, the Incumbent Master shall have a second or casting vote. Thank you. Yours sincerely

Dr Yeo Jin Fei Censor-in-Chief
