Committee Meeting
26th October 2011

Welcome
Nick Brooks welcomes the committee and Beth McDougall to the meeting.
Apologies
None, all the committee were present
Minutes Approval
After the changes were discussed the minutes were approved.
Website Roles
After discussions with Nick Brooks during the week, the committee have faced a role demotion, this is so there is only one admin for the site, and this is Rhys Short.
Nick Brooks will also buy the domain names for the website. All members will be made contributors so they can add content.
VPS Status
Abercog.co.uk and Abercog.com are the domain names that Nick Brooks intends to buy for the server. It has been discovered that 2GB of RAM is not enough for the server and there are options of upgrading the RAM that we have. However it is an extra £10 a month on top of what is currently being paid. There is the possibility that with the extra RAM new servers could be added such as Battlefield 3.
However this will not be possible unless donations cover at least half of what is currently being paid. As a result the community account will be fully set up by Sam O’Hara and Nick Brooks on Friday.
There will be a server page on the ACOG website with the IP of the server, this will not stop people from being able to access it, the servers currently running on it have a password entry system.
Casuals
The agreement with Aber Vaults for monthly events, however there is no pressure to run an October Event due to the Pub being packed on ACOG socials. The first casual will therefore take place on the 9th of November.
Penbryn Friday Nighters This Friday Sam O’Hara and Nick Brooks will run the trail for the Penbryn Gaming Nights, Nick Brooks and Sam O’Hara will try and get as many games as possible to run the trial.
Constitution
The committee have been formally informed of the new date that the constitution will be amended. Spelling and Grammar corrections will be allowed without approval as along as the meaning is the same.
Refs
Beth McDougall is officially a ref after being voted in by the committee.
Nick Brooks has put forward Andrew as a ref along with Huw and Aero. Liam Edwards had objections over the appointment of Huw as a ref. Keiran Russell mentioned that Huw would be willing to do so. Keiran has various objections to the appointment of Aero becoming a ref. However Rhys Short and Nick Brooks back Aero’s appointment to the refing team.
However on suggestion of Beth McDougall no more refs will be appointed until after the next event once it has be ascertained if any more refs are needed.
Note: All refs present bar Jon leave for the NUEL tournament.
AOB
Budget Request
Nick Brooks requests an extra £10 for VPS per month. Membership Cards need no more allocation of funds for their completion. A printer has been asked for in order to produce publicity materials. The committee agreed that a TV could help improve ACOGs equipment; as a result Sam O’Hara will investigate the possibility of having a TV budget in the next fund allocation. Also requested are surge protected gangs as ACOG currently do not have enough for the PC gamers at events.
Posters
Posters are required for advertising of events, as we have yet to advertise any of our events around campus.
Bonfire Night
Santhosh Kannan has suggested that he will be having a fireworks display on south beach.
Christmas meal
Lisa Newton will find out the definite cost per person for the Christmas meal. We currently have an idea of the menu but due to technical difficulties we are unaware of the exact details. At the current time there has been no response for the Christmas meal, hopefully when the price per
head is confirmed, the number of people asking for their place will increase.
Themed Socials
8th November will be the pirates Vs ninjas social.
RocSoc
Liam Edwards and Steph Reveley to talk about the guitar hero competition and Nick Brooks informed the committee that ACOG members get membership entry price to their events, providing they are in costume.
