Aberystwyth Community of Gamers Committee Meeting Conference Call: Skype 6th September 2011 9pm Welcome Nick Brooks welcomed everyone to the last meeting through skype including guest James O’Leary, who is organising a charity gaming event in Swansea. Apologies Liam Edwards could not make the meeting due to other commitments, Lisa Newton was sometimes present during the meeting, due to unforeseen circumstances she could not be present at all times during the conference call. Minutes Some typos were asked to be corrected by Kieran Russell and information on the banner was asked to be clarified by Sam O’Hara both of which will be carried out at the earliest possible opportunity. Otherwise the minutes were passed by the committee. James O’Leary James O’Leary is running a charity gaming event in Swansea, which he is inviting people from Cardiff University, Aberystwyth University and Swansea University, who will also host the event on their premises. The charities which the event will be held in aid to raise funds for have yet to be decided. They will be decided by consensus by the three universities involved or having each university decide on a charity which they would like to donate money for. Everyone will have input on what games to be played, James O’Leary sees the following titles would be most likely played at the event: a Call of Duty title, Team Fortress 2, Quake and League of Legends. Ben Mayne raised concerns that were expressed with the discussion over League of Legends at previous committee meetings, mostly being the length of the games. However all games will be discussed once Swansea’s Student’s Union has given the go ahead to have space to use for the event. The tournament is being planned for mid-late March 2012, In regards to contacting Cardiff University’s Gaming Society, James will be contacting them through Cardiff University’s Students Union.

Any Other Business MineCraft Server Nick Brooks and Ben Mayne are currently rebuilding the MineCraft server after the number of people using it decreased sufficiently to deem that it would cause minimal disruption to the users of the server. However the rebuild took a turn for the worse when it was discovered that Fedora was not the Operating System that they should be using the run the server, so there is a slight delay to it being put back up online. Ben Mayne would like to run the MineCraft server with events and competitions running every month on the server. Ben Mayne and Nick Brooks will talk about the server, and what is going to be done over the next few days. Bank Sam O’Hara has delivered his report on how the community bank account is going to be used. All money at the end of the month will be removed from the community account and deposited with the Guild when Sam O’Hara has completed the budget. The community account is nothing more than a holding account allowing us to to carry out day to day operations. Ben Mayne’s Committee Status With the societies fayre coming up Ben Mayne requested that his committee status is cleared up. As far as the committee is concerned Ben Mayne is a member of the committee by appointment. Although his position does not have a title, he will be running the social networking accounts with Rhys Short along with admin of the website on its completion and the MineCraft and other game servers with Nick Brooks. Sponsorship Keiran Russell and Nick Brooks have discussed alternative ways of getting sponsorship. Nick Brooks has been working with AberVaults on some of their technical matters, which has yielded better and better offers for the society. As a result Nick Brooks has proposed offering technical support from members of the society in return for sponsorship. Nick Brooks will be asking for volunteers to help with this from the society as well as the committee. From the Committee Rhys Short said he will help where he can and that it would be a good idea to find out who else in the society will also help. Umbrella Organisations Keiran Russell asked if the logo of Full Restore (Pokemon For Japan) should be part of our

hoodies, however this was discounted as there is nothing in the constitution that said we needed to do this and that they could get their own hoodies just as easily as we can. Societies Fayre Update Nick Brooks has been e-mailed from about the leaflets that are required for the society, Nick Brooks will get a working draft of the leaflets and get them approved by another committee member and then get them prepared for the fayre. Nick Brooks will be getting the t-shirts for the fresher’s fayre the cost of which will be covered by the committee members paying for their own t-shirts.
