Welcome to AICE! This is an ideal place to study and make friends. We have supportive staff and great facilities to make your experience here enjoyable. This handbook is to help students learn about our services and our rules. We also have a Survival Guide, which is very useful for new students coming to Australia. The Australian International College of English (AICE) upholds its mission to provide quality education in all of

its programs from High School Preparation to Preparation for IELTS. Our theme is ‘English for Excellence’. Throughout the whole process of teacher induction and professional development, our teachers are continually up grading their skills. Our teaching resources reflect the technological era to allow blended learning and state-of-the art student handouts. AICE is an outcomes driven English learning facility with clearly stated and actioned teaching aims and learning objectives for every course. The weekly curriculum has been written backwards with the learning outcomes first. Our Head Curriculum Developer is a professional writer and experienced teacher. This guarantees the quality and the integrity of the syllabus and the teaching. The College believes that happy, successful and fully supported teachers deliver top quality lessons. This reflects on the quality of the learning and the overall culture of the college. Our students are assimilated into the local community on a daily basis through sports activities, cultural excursions and various extra-curricular activities. This, together with our high academic standards, give our college a leading edge compared to other English colleges. Therefore, AICE provides, not only high quality educational support, but also social and community support to both its students and its staff. COURSE INFORMATION General

English

Content Overview: The General English courses allow students from Beginner level right up to Upper Intermediate level to develop their ESL skills in all four components of English - Grammar, Listening, Reading, Writing, Speaking and Presentation skills. General English Level 5 also has an Academic English component so that students can make a smooth transition from GE into EAP studies and then on to tertiary studies.

Duration: 12 weeks per level and there are 5 levels. Total duration is 60 weeks

CRICOS Course Code: 066109G (Non-Award Program) Mode of Study: Face to face in-class mode

Assessment Method: Weekly skills tests, assessments every 3 weeks in all components of English including presentation skills and debating.

Academic

Purposes

Content Overview: Students who need to prepare for tertiary studies can be well-assured that they will improve in all facets of English for Academic Purposes needed for entry into university education such as Essay writing, Report writing, Referencing and Presentation skills. These skills are an essential underlay for successfully achieving a diploma or degree from an Australian tertiary institution. Duration: 12 weeks per level and there are 5 levels. Total duration is 60 weeks

CRICOS Course Code: 095316E (Non-Award Program) Mode of Study: Face to face in-class mode

Assessment Method: 10 Assessments within a 12 week course which include a referencing test, assessments in three essay genres, a research report as well as a debate and a group presentation of a multi-layered essay.

Preparation

Content Overview: This multi-skills course prepares students who will be commencing Years 7-11 in NSW high schools. And, whilst the focus is on English specific to Maths, Science, English Literature, Geography and History, there is a sports program to encourage a healthy and active lifestyle. Parents and guardians can be fully assured that their children will be safe in a secure and culturally sensitive environment where they can enjoy the company of other students who are heading in the same direction – a successful pathway to an Australian high school. Duration: 12 weeks per level and there are 5 levels. Total duration is 60 weeks

CRICOS Course Code: 074155B (Non-Award Program) Mode of Study: Face to face in-class mode

Assessment Method: Weekly assignments and tests, together with monthly examinations to check progress, are recorded in monthly reports with teachers’ comments on each student’s behaviour and progress. These reports are then sent out to parents and stakeholders so that they are aware of the students’ progress.

PTE Content Overview: The Pearson Test English course is geared specifically to the Pearson Test. In other words, it is prescriptive with approved weekly tests given by a specialised teacher. Students attending this course are given individual help and guidance with focus on all the tested areas. Duration: Total duration is 12 weeks

CRICOS Course Code: 092694C (Non-Award Program) Mode of Study: Face to face in-class mode

Assessment Method: Participating students are given full test preparation and practice of all four English skills culminating in a Pearson mock Test at the end of each week.

IELTS Content Overview: The Preparation for IELTS course gives all participating students a strong base for successfully completing the International English Language Test in either the General or the Academic mode. A Specialist teacher-provides personalised help in Test techniques and the underlying principles of question types and the IELTS format are taught so that the students can sit the test in full awareness and with confidence. Not only that, students are given the opportunity to take a mock IELTS Test every week in each component. This way, the teacher as well as students can ascertain which of the four major English skills need to be strengthened and which question formats need reviewing. Duration: 10 weeks per level and there are 2 levels. Total duration is 20 weeks

Content Overview: This delightful course is perfect for children who need a smooth transition from their own cultural environment into the Australian culture. Students are provided with all that they need in English studies for entry into Australian primary schools with a focus on English, Music, movement, the Arts and Sports activities. Teachers and the classroom environment are especially equipped to engage the students in a safe and culturally sensitive manner. Not only that, there is a bilingual assistant in the classroom at all times to give the children a sense of belonging and security. Duration: 10 weeks per level and there are 5 levels. Total duration is 50 weeks CRICOS Course Code: 094244B (Non-Award Program) Mode of Study: Face to face in-class mode Assessment Method: All lessons and objectives are correlated to Australian Education Department ESL Scales in progress tests throughout the levels. Parents/guardians are provided with feedback on their children’s progress on a weekly basis.

REFUND POLICIES Refund prior to commencing study for the first time The Institute will provide a full refund of any tuition fees paid upon receipt of evidence if: 1. The student visa is refused 2. AICE cancels the enrolled course 3. Principal course application has been denied Requests for withdrawal for reasons other than those mentioned above will be eligible for a refund in accordance with the table below:

When the refund is granted below fees are non-refundable. 1. Enrolment fee is non-refundable. 2. Accommodation arrangement fee and Guardianship arrangement fee are non-refundable if the

arrangement has already been made. 3. Airport pickup service fee is refundable if the cancellation is made 2 days prior to the arrival. 4. 2 weeks of prepaid accommodation fee is non-refundable. 5. OSHC fee is refundable if AICE has provided the arrangement service. Please note: There is no refund of fees if the visa is rejected on the basis of fraud as determined by the Department of Immigration and Border Protection (DIBP). Payment of Approved Refunds All approved refunds will be paid within 28 days from the date of receipt of the written request. All refunds are paid in Australian dollars into the bank account nominated in the written request The Institute will not authorise tuition fee transfers to any other institution or to other students. For under 18 students, refunds will be paid to the parent(s) or guardian(s) of the student unless the Institute receives written approval from a parent or guardian consenting for the refund to be paid directly to the student.

Student Services

AICE can support students to adapt to life and study in Australia in a number of ways. We can help students with accommodation, academic guidance and counselling services. In addition, AICE offers students a Survival Guide, which can be found on our website at: www.aice.nsw.edu.au

Accommodation

We can arrange homestay through Homestay Network (http://www.homestaynetwork.org/) . Please feel free to contact them directly or contact our Student Services officer for more details. Homestay is where you live with an Australian family. This gives students the opportunity to improve their English and learn about Australian culture. We can also give you advice on shared or rental accommodation. Academic Guidance

If you have any questions about your studies, the first person to speak to is your teacher. You can also make an appointment to speak to the Director of Studies at Reception.

Counselling Services

If you need extra emotional support or guidance relating to studies or other matters, AICE has college counsellors you can talk to. These counselling officers are teachers who are qualified to offer extra emotional support to students. All you need to do is make an appointment at reception to see one of our college counsellors. However, if you would prefer to speak to someone outside of the college you can contact: 1. Kids Helpline: 1800 55 1800. Kids Helpline offer phone-counselling services to 5-25 year olds. You can

also visit their website at: https://kidshelpline.com.au/ . 2. Lifeline: 13 11 14 or visit their website at: https://www.lifeline.org.au/

Student ID Cards

Students will receive their student ID cards 1 week after enrolment. Students are not able to use their student ID cards for discounts on public transport fares. International students must pay the full fare. ID cards can used as proof of identity and students must carry their ID cards at all times while on AICE premises for security reasons.

The school is open from 8:00 a.m. to 8:30 p.m. However, lift access closes at 7:00 p.m. Reception is available from 8:00 a.m. to 8:00 p.m.

There are many cafes and takeaway shops on Kent Street. In addition, the school is a 5-minute walk to World Square, a 3-minute stroll to Town Hall Square and 6 minutes from Town Hall Train Station.

Classrooms

The classrooms are air-conditioned and have computers and projectors. Students are responsible for their personal belongings. Please do not eat in the classroom. Only drinks are allowed. However, glass bottles are not allowed in HSP classrooms. You may eat in the eating area next to the kitchen. English must be spoken at all times in the classrooms and surrounds as AICE is an English language environment. Also, phones should be placed in bags or in the box on the teachers’ desks.

Computer room

There is a computer room with computers and internet for students to use. However, food and drink (bottled water is allowed) are not permitted in the computer room. Please turn off computers after using. Students cannot use the computer room during class time unless they have permission from their teacher.

Learning & Library

Study corner is available from Monday to Thursday, 3:00 – 4:00pm throughout the year. A fully qualified, experienced teacher is on hand to help students with supplementary materials and learning programs. This is an excellent way to streamline your skills. AICE also has a Reading Lounge available for students with a fully stocked library of readers with CDs amongst non-fiction and fiction books suitable for ESL students. These books are available for one-week loan, too.

Wi-Fi

Wi-Fi is available throughout the school. Just look for the notice boards, which have the password. You can also get the Wi-Fi password from reception.

Student Portal

Students will receive letters and announcements through the student portal. New students must create an account by going to AICE’s website www.aice.nsw.edu.au . First, go to ‘Sign In’

This will take you to a new page. Then, click on ‘Sign Up’.

You can also check your attendance through the student portal.

Kitchen

There is a kitchen with a sink, fridge, microwave and kettle. There are also tables and chairs. It is important that you clean up after yourself when using the kitchen and eating area.

Food vending Machines

There are also food vending machines in the kitchen area where you can get drinks or snacks. Please report any problems to reception.

Photocopying / printing / faxing

Students can ask reception to photocopy, print or fax. To print, just email the print job to reception at [email protected] .There may be a small fee.

Bathrooms

The bathrooms are located behind the lifts. There is also a bathroom with wheelchair access.

Noticeboard

There is a noticeboard, which has class schedules and other announcements. You can also place advertisements on the noticeboard after asking reception for permission.

Conduct

Smoking is not allowed anywhere in AICE or the building. DO NOT Smoke in the area on the ground level or near the entrance. Make sure that, if you are smoking outside, that you check for any signs around you, as you are not able to smoke in some areas in the center of Sydney, and that penalties may apply.

CONDITIONS OF YOUR VISA - Attendance

80% Attendance

As a student visa holder, you must maintain at least 80% attendance. Attendance is very important. If your attendance rate starts to fall, we will send you warning letters. If your attendance drops to below 80%, the school will need to contact the Department of Education, Employment and Workplace Relations (DEEWR). This may result in the cancellation of your student visa. You will be given the chance to appeal before matters are reported to the DEEWR.

Monitoring Attendance

A student’s attendance is marked per hour by their class teacher. Students get full attendance for each complete hour they are in class. If a student arrives late to class, he/she will be marked absent for that time in increments of 15 minutes. If a student is 5 minutes or more late from a break, he/she will be marked absent for that time. In addition, if a student often leaves class for extended periods, that student may also be marked absent for that time in 15 minute increments.

AICE Attendance Policies

If your attendance drops:

• Below 85%, you will receive the first warning letter. • Below 80%, you will receive the second warning letter. • Below 70%, you will receive a Notice of Intention to Report.

1. If you arrive late you will be marked ABSENT in 15 minute increments. 2. If you arrive more than 5 minutes late for the second, third, fourth or fifth hour of class you will be

marked ABSENT for that time. 3. You only have 5 minutes after the break. 4. If you leave class for more than 5 minutes you will be marked ABSENT in 15 minute increments.

CONDITIONS OF YOUR VISA - Course Progress

Monitoring Progress

A student’s progress is assessed by their class participation and test results combined. The overall pass mark for most courses is 60%. For EAP, the overall pass mark is 70%.

Successfully Completing a Level

Most courses are 12 weeks. EYL is 10 weeks. To successfully complete a level, students must attain at least 60% in each test with no score lower than 50% over the 12-week period. Students must also have a good level of class participation. Students who achieve 80% for a number of consecutive tests, can complete the level earlier than 12 weeks (However, this does not apply to EAP students). Students also need at least 80% attendance to successfully complete an EAP course. For more information about completing a level, speak to your class teacher.

Getting a Certificate of Completion

Students can get a Certificate of Completion for the last level they had successfully completed when they finished their studies. First, students must request a certificate and then it can be collected one week after the student finishes their course. For information about ordering a certificate, speak to reception.

Health Insurance

While you are in Australia, you must maintain health insurance called Overseas Student Health Cover (OSHC). Request deferment/leave or absence

Do you need to defer or ask for a leave of absence? Request for deferment and leave will be subject to the deferment and leave of absence policy of AICE. Please note that course deferment will only be approved in circumstances that are considered compassionate and compelling (exceptional circumstances beyond the control of the student) with supporting evidence attached. Please complete the Deferment and Leave of Absence form from reception and include the necessary evidence. Please note that, if a student defers his/her studies AICE must inform the DEEWR.

Transfer to another Provider

Transferring to another college will be subject to the Transfer to Another Provider Policy of AICE. Please complete the Transfer to another Provider form available at reception. One of the conditions of a student visa is that you may only transfer to a different college within the first six months of your principal course under exceptional circumstances and with a release letter from AICE.

Withdrawal from study

Do you need to stop studying? Withdrawing from a course will be subject to the Refund Policy of AICE. When you withdraw from your course, this will affect your COE and your student visa. Students must complete a Withdraw Form from reception explaining their reason for course withdrawal.

Class Transfers

Only General English students are eligible to apply for a Class Transfer as HSP, EYL AND EAP students are not eligible to apply. A Class Transfer Form can be obtained from reception. You must have a signed approval by the Director of Studies before attending your requested class. The first transfer fee is FREE. However, there is a $50 administration fee for the second request.

Re-sitting exams

Were you absent for an exam? Only students who provide AICE with a valid Medical Certificate, which covers the exam day, or give legitimate/compelling reasons for their absence will be given the opportunity to re-sit an exam. The class teacher and the Director of Studies will decide the time. Please complete the Request for re-sit of exam Form available at reception and attach supporting evidence. This form must be submitted within 5 working days of the exam date.

Getting around

The best way to travel is by train or bus. Taxis are very expensive. Some students like to use Uber. First Aid Kit

There is a first aid kit at reception, which includes band aids and gauze. AICE is forbidden by law to give students any form of medication. You will need to go to the pharmacy for medicines. Other emergencies – Police/Ambulance/Fire

In an emergency where you need the police, an ambulance or there is a fire, dial 000. The emergency number in Australia is 000. If you need the police, but it is not an emergency, call the Police Assistance Line on 131 444.

Overseas Student Health Cover (OSHC)

All student visa holders must have Overseas Student Health Cover (OSHC). Your OSHC provider should have a 24-hour emergency number. Please read your policy details to find out about your cover and the services you have access to. Evacuation procedure

If you hear the fire alarm during class time, follow your teacher’s instructions and leave the building using the fire stairs. There are two sets of emergency fire stairs and both are located behind the lifts, one near the male toilets and one near the female toilets behind the lift. If you hear the fire alarm during break time, go to the reception area for instructions. You should leave the building using the nearest fire stairs. Do not use the lifts in an emergency. Once you leave the building, you must go to the designated assembly area and find your teacher so that s/he can check your name. You must stay with your teacher and wait for instructions. COMPLAINTS AND APPEALS PROCESS

Class matters

If you are not happy about something relating to your class, e.g. the work is too difficult, a classmate is not being nice to you, the first person to speak to is your teacher. If you do not want to talk to your teacher, you can speak to the Director of Studies.

Internal Appeals

There are some situations where a student needs to access AICE’s internal appeals process. One example is when a student has been given a Notice of Intention to Report for low attendance. That student can lodge an internal appeal. In addition, students can lodge an internal appeal if they are not happy with a decision AICE has made and informal discussions have not worked. To lodge an internal appeal, please go to reception and fill out a Complaints and Appeals Form. Students should read the Policies and Procedures for Complaints and Appeals on the Complaints and Appeals Form.

External Appeals

If a student is not happy about the outcome of an internal appeal, that student can lodge an external appeal. This means making an appeal to an organisation outside of AICE. The College can provide students with a list of external bodies that they can contact to lodge an external appeal. PRIVACY POLICY AICE has certain obligations in relation to the personal information, which it holds about its students. In collecting personal information, AICE will comply with the requirements of the Australian Privacy Principles set out in Privacy Act 1988. Students are entitled to protection of their privacy, as are staff and others who might have dealings with AICE. Privacy considerations apply to all information AOIC may hold about students, including factual data (address, phone numbers, age, enrolment status, etc.), academic progress (examination results, evaluation and assessment and academic standing) personal welfare (family, medical or financial matters.) and the circumstance of any suspected breach of a student’s visa conditions (National Code Standard 3.1 (d). Student’s information collected during the enrolment process could be made available to Commonwealth and State Government Agencies, including the Tuition Protection Service (TPS) under the ESOS Act 2000. This information may also be disclosed to staff and the student’s agent where applicable. AICE collects and holds personal information in paper-based and electronic records and systems. Personal information may be collected in paper-based documents and converted to electronic form for storage (with the paper-based document either being archived or securely destroyed). AICE will securely store all records containing personal information and take all reasonable security measures to protect personal information held from misuse, interference, loss, unauthorized access, modification or disclosure. Photography, Audio & Video/DVD rights: By attending AICE, students give the college the right to use any audio or visual reproduction of a student undertaking college activities for college purposes such as promotion.

Student Privacy

AICE recognizes a student’s right to privacy. We collect and store your enrolment details and academic information and adhere to the Privacy Act 1988. The information you provide to AICE has to be made available to Commonwealth and State agencies. Furthermore, AICE is obligated under the ESOS Act 2000 and the National Code to inform the Department of Education, Employment and Workplace Relations (DEEWR) about particular changes to your enrolment or any breach by a student of a student visa condition. Social Media Policy

Students should not post about other students, classmates, teachers or matters they are dealing with, as this is both inappropriate and a breach of privacy legislation. AICE takes every care to provide a secure study environment. CCTV cameras are in operation in the certain areas of the college such as reception, corridors and kitchen. Please keep personal and valuable items with you at all times when in the college. The college is not liable for any loss of personal property.
