Allocation Policy& ProcedureThe allocation of places in Hallsaccommodation is co-ordinated by theAccommodation Service only. Althoughpriority is given to first year students, it isunfortunate that we cannot meet the demandand place every first year student in halls whoapplies. Therefore, we rely on the privatesector to house many first year students andhave secured a number of rooms in privatedevelopements. The allocation of halls is madeto first year undergraduate students based onthe distance they live from Cardiff and thedate their application is received.

Halls AllocationProcedure

Return your application formstraight away

You will have received your Halls ApplicationForm with this booklet along with otherrelevant information. You should complete thisand return it to the Accommodation Officestraight away, even if you are waiting for examresults. When we receive your form, we willdate stamp it and this is the date we use whenwe allocate you a hall (first come first served).

Local Students

Local Students are classed asthose living in the followingLocal Authority areas:• Cardiff• Newport• Torfaen• Rhondda Cynon Taff• Caerphilly• Merthyr Tydfil• Vale of Glamorgan• Bridgend

Although we give priority to first year students, unfortunately, as demand is always high, we can not guarantee all first yearstudents a place in halls. From experience we know that every year a certain percentage ofstudents who are offered halls early, cancel their halls accommodation in the first few days /weeks of term starting. Therefore, all local students are placed on a ‘waiting list’ and may be given places within the first few weeks of University starting.

We advise that you should not panic andshould hold back on securing alternativeaccommodation as we will most likely securelocal students into halls within the first fewdays/weeks of University starting.

The Accommodation Office can provideyou with a list of guest houses for temporaryaccommodation.

We are available to provide advice andguidance throughout your search foraccommodation. UWIC regrets that itcannot enter into any form of tenancyagreement with a landlord on yourbehalf.

The Accommodation Office maintain a registerof landlords with student houses. This list isconstantly updated and is available to studentson request. Whilst we endeavour to list onlyproperties of a reasonable standard, not allproperties will have been inspected; the listtherefore does not imply recommendation orapproval of a landlord or an individual property.Landlord on our register will comply with alllegislative regulations.

We also provide:a comprehensive advisory service with usefulinformation on tenancy agreements, insuranceand the pitfalls to avoid. Various booklets onthe process of renting and students’ rights astenants are available. We also compile a list ofstudents seeking to share with other students. This is a list where students contact us andplace themselves on a ‘looking to share list’.This list is distributed to other students whowant another student to join them in a house. All agreements and responsibilities whenrenting are between the landlord and the

student (not UWIC). It is therefore importantthat before signing any agreement you arecertain of its implications, so please contact usshould you need any advice. It is important tonote that rents in Cardiff do vary by area andby type of accommodation. The averageweekly rental charge for self cateringaccommodation is between £55 and £70 perperson per week excluding services such aselectricity, gas & water. This is usually for afurnished house or flat sharing with otherstudents. Board and lodging accommodationis more expensive and charges range from £70to £80 per week. This would usually involveliving in a family home where breakfast andevening meals may be provided. Should yourequire any advice, or wish to receive ourhelpful information pack on renting privately, please feel free to contact us.

Please note: Once you have signed acontract for private accommodationyou will be committed to thatcontract.
