The organiser reserves the right to refuse admission to any participants who has failed to pay their registration fee in full prior to the start of the event.

Presenter instructions

Oral presentations

The meeting room will be equipped with audio-visual aids listed below:

Length of presentations: Presenters are asked to prepare their talks to match the allocated times which will be enforced by the conference chairs.

• Invited talks should be 45 minutes in total, including 5 minutes for questions from the audience• Contributed talks should be 35 minutes in total, including 5 minutes for questions from the audience

Instructions for Speakers • We recommend presenters bring their presentation on a USB stick to load their talk onto the PC on-site.• Your presentation should be loaded on to the PC located in the meeting room in the break preceding the

start of your session. Please save your presentation file in the appropriate named folder saved on thedesktop. Direct connection of personal laptops is acceptable, but not preferred.

Format and Technical Requirements • The meeting room is reasonably large, so speakers should use a minimum 16-point font size in PowerPoint

slides to ensure legibility.• To avoid potential problems with display fonts, please only use fonts common to both platforms (Arial,

Courier, Courier New, Geneva, Georgia, Helvetica, Times, Times New Roman).• For images in your presentations, it is preferable that the images are in jpg format.• If you have embedded video files to your presentation, they must be any of the following formats mpg,

mpeg, wmv avi or QuickTime (mov)• Do not forget to upload any video files separately in addition to your PowerPoint presentation.

Poster presentations

Poster boards are 2m by 1m (h x w) and orientated vertically. Posters should be A0 in size (118.9 x 84.1cm / 46.8 x 33.1 inches), in a portrait format. Fixing material adequate for paper posters will be supplied. Please note any posters printed in fabric might be harder to mount and will possibly fall from the boards.

Posters must be prepared in advance of the conference as it will not be possible to print them on-site.

Each poster is allocated a numbered poster board. Please check your poster’s number in the conference programme. It is possible for all posters to be hung from Monday morning until the end of the Tuesday poster session. However, please only present your poster during your allocated session - this is to ensure there is plenty of space for everyone during each session. Please remove your poster by the end of the Tuesday poster session.

There will be a prize for best and runner up student poster during each session. We will ask that every student presenting a poster places a coloured sticker on their poster to identify themselves to the judges.

The conference has its own dedicated conference mobile app with information related to the programme, exhibitors and sponsors. There will also be daily notifications to keep you up do date with the conference schedule.

The largest concentrations of food outlets nearby are on three adjacent roads. Store Street, Tottenham Court Road and Charlotte Street. A second area is South of the British Museum (around Museum Street).

On Thursday (only) there will be a large farmer’s market (20+ street food stalls) taking place in Torrington Square immediately north of Senate House

Some restaurants which are often able to absorb medium-large groups without pre-booking are:

Dietary requirements

Participants with special dietary requirements are asked to notify the conference office by email prior to their arrival if they have not already done so when registering. Those with special dietary requirements other than vegetarian are asked to make themselves known to the catering team. It will not be possible to provide an alternative menu unless prior notification has been received.

Security

Do not leave your belongings or valuables unattended at any time, abandoned bags maybe removed by personnel.

Smoking

In accordance with government legislation, smoking is not permitted in any building, temporary enclosed structure or substantially enclosed space outside of the building. E-cigarettes are also not permitted in the venue. Smoking areas are located outside the university boundaries/railings.

First aid

Any incidents requiring First Aid assistance should be reported in the first instance to a member of the venue management team, reception or an usher. All members of the IOP conferences are first aid trained.

General information

• Britain's currency is the pound sterling (£). Credit cards - especially Visa and Mastercard - are widelyaccepted in restaurants, bars, cafés and shops. American Express and Diners Club cards are lesscommonly accepted. There are plenty of cash machines (also known as cashpoints or ATMs) available onthe campus.

• Value-added tax (VAT) is a 20% sales tax levied on most goods and services except basic food items,books and children's clothing. Restaurants must, by law, include VAT in their menu prices. If you aretravelling for leisure or business purposes, you may be eligible for a VAT refund. The VAT refund scheme iscalled the Retail Export Scheme or Tax-Free Shopping.

• Electricity – British electrical standards are 50Hz 230 volts, so some North American and Europeanelectrical devices may require converters; all require plug adapters.

• Telephone - If you're visiting the UK from abroad, the UK dialling code is +44 (which replaces the 0).• Emergencies - Visitors should be aware of their personal safety. Call 999 for the emergency services

(police, fire and ambulance) which is a free call from any phone. You can also call 112 for non-lifethreatening assistance and to report crimes. To report non-urgent crime, call the police on 101 from withinthe UK.
