There are two options for the necessary approvals to be in place for the storage building. These are the lease option we discussed on the phone and having the Historical Society as the committee of management.

Lease Option

I have attached a draft copy of the 17D lease document for the Committee and the Historical Society to amend as required.

In terms of the rental, you will need to put in a figure, at least for the sake of formality (minimum $104 per annum), however It would be preferable if the committee had its own bank account and the money spent on the reserve came out of that account.

In order to put the lease in place, please send back the amended lease document. Once it has been approved by DELWP, we will send copies of the document to you for necessary signatures.

Historical Society Committee ::ion

An alternative approach to the lease document would be for the Trentham and District Historical Society Inc. to he appointed the Committee of Management itself. This may be a better option considering most of the members of the committee are also members of the Historical Society.

Some of the benefits of this approach include:

- No lease arrangement would need to be put in place.

- Less reporting would required. Annual financial reports would go to Consumer Affairs Victoria only.

- No requirement for 3-yearly elections. DELWP will appoint the incorporated body to manage the reserve, rather than the individual people. -There will only be a requirement for meetings of one group. - No issues with the bank account being in the name of the Historical Society.

If the two groups choose this approach, the Trentham Police Camp Reserve Committee of Management Incorporated will need to write to DELWP formally surrendering their management of the reserve and the Trentham and District Historical Society Inc. will need to write formally expressing their interest in managing the reserve. This can be done by email to publicland.ballaratdeIwp.vic.gov.au.

Following the new arrangement, we will be able to provide landowner consent to the new committee (being the Historical Society) for the new building.
