Evaluation Report of O rientation 2010

INTRODUCTION

The new student orientation is a period for the new students to adapt their selves in PresidentUniversity by guidance from the senior. The orientation activities will be planned and implemented by

the student leaders under the supervision from the Department of Student Affair. By hold these

activities, all new students of President University should have a deep knowledge about President

University, rules and regulation, lecturers, communities. Moreover, the new students should

understand and implement the theme of this orientation, “Giving the Best”.

OBJECTIVES

1. To make the students aware that they have to give the best in every area of their life including

in their study and behavior as a students

2. Encouraging new students to become a great students and leaders

3. Introducing family of President University (lecturers, staff, other students)

4. Introducing the student’s activity in President University such as clubs, PUSU and PUSC

5. Giving a model of how to obey the rules and regulation

EVENTS

Orientation was held from September 15-19, 2010 with all activities that was started at 6 p.m. until

10 p.m. Some of the activities were done in ICT because of the increasing number of students. The

theme of new student orientation 2010 is “Giving the Best”. The rundown schedule is enclosed.

Report :

1. the reharsal time started at 12 o'clock, because of it was the lunch time, so it didn't disturb the office activities. And then the rehearsal finished

at 3 pm,on time with the time that we decided before.

2. all the students came on time at 7pm,then go directly to take photo or just take a seat before they got their dinner.

3. the biggest problem in this day was the food vendor that couldn't come and ready on time. Actually all the student had to get dinner started

from 7 pm, but because the lateness fron the food vendor, the dinner time started from 7.30pm

4. the events started on time at 8o'clock, but it finieshed late. Actually the event had to finish at 11pm, but it finish at 11.30pm

5. after the events, all the stage,sound,and tend already clean, because in the morning, the street will open again, and all the process done at

2.30pm

Based on supervisor point of view, the theme of this orientation (our goal) which is “giving the best ”

is 82 % reached. Most of students active in participating all the activities and rundown which

committee already organized for them, another get sick in the mid of orientation, and the others still

need a longer time to show up their best. Here is the detail of the orientation itself…

Day 1 (Tuesday, September 14, 2010)

After checking their names to find out which group they belongs (there are 30 groups which already

explain before), all freshmen gather in front of wall B to have an introduction to committee from all

division. Then, all of them go to their group post to gather with their own group, having some

introduction with their team mate, prepare for yel-yel competition and cultural nite. At this time,

there are still a lot of students who feel shy, especially the foreigner (language barrier). All

supervisors are really creative in giving those freshmen activities, giving them some ice breaking or

other stuff which similar to that.

Day 2 (Wednesday, September 15, 2010)

Today, all freshmen go to ICT to follow some ceremony. After a long kind of ceremony, they go to Pu

to have their enrollment. When they go back to dorm, they still prepare for yel-yel competition and

cultural night. Special for tonight, they also have to prepare for trashformation (one of GPS program)

for tomorrow. They collect most of trashes in dormitory with their friends. All supervisors explain

about the meaning of their group name, and deliver the value in which part those great names

giving their names and then challenge them that they also have to give their best in every part of

their life. Most of freshmen give a good response and asking several questions, even there are some

student still confuse At this 2nd

day, they start to know each other well, they start to be talk active

than before, but there are some student that already get sick.







Day 3 (Thursday, September 16, 2010)

This morning starts with GPS (Green Planet Supoter-one of the clubs in PU). All freshmen should be

able to transform all the trash to a non-trash thing. They feel so excited for this activity and ready togive their best, even though the sun shines so bright. The winner of this activity is group 3, Tony

Melendez. Next destination is PU. We go to PU to have introduction to clubs. There are 19 clubs that

are introduced to all freshmen. After they see the presentation and performance from all clubs, they

have to choose to join in at least one club. In this day, we have some weather problem, raining,

that’s why we have a small problem. Luckily, all supervisors could handle it by giving them some

activities. At night, as usual, they have to prepare for their yel-yel competition, cultural night, and

brainstorming for the motivational seminar tomorrow about what is giving the best. Some of them

stay a bit late to prepare their brainstorming. They began to feel excited to give their best.

Day 4 (Friday, September 17, 2010)

Today after having breakfast, all freshmen go to PU to watch movie. There are several movies which

are provided for them, such as Pursuit of Happiness, Slumdog Millionaire, 3 idiots, I am Sam, and

many more. Here, they have discussion with their supervisor about the movie. All supervisors deliver

what is the value of this movie. For example, from 3 idiots we can learn how to give our excellent,

we chase the excellent character. Most of freshmen are very enthusiast with this discussion. They

also give their opinion about what they learn from their movie. After watching movie, they go back

to have yel-yel competition. They really excited but also nervous at the same time. Yel-yel

competition itself can run smoothly. And the winner goes to group Diego Maradona, and the runner

up goes to group Oprah Winfrey and Iwasaki Yataro.

Day 5 (Saturday, September 18, 2010)

Today, they have Amazing Race. It is an outbond activity. They have go to 20 post, where each post

has its own game to play. They have to complete the game, then they will be scored full. They do

really excited with amazing race. Every group shows their best in playing those games with their

team mates. They give support one to another in running the amazing race, they work as a team.

Some of them get sick, but their friend can backup them. It runs until afternoon. In the afternoon,

they prepare for the cultural night audition. They are so enthusiast in the cultural night competition,

because the winner can perform in closing ceremony or cultural night at Monday. They do practice

and practice. The big five to follow the cultural night are group Iwasaki Yataro, Diego Maradona,

Steve Jobs, and Wilman Rudolf.

Day 6 (Sunday, September 19, 2010)

Today is the day for service project. There are 5 representatives from each group to join this service

project, where they share their love to each other. Actually, at the first time most of the freshmen

don’t want to join to the service project because they are very exhausted but their supervisors give

them understanding about it, about serving other and how we invest our time with them. After

knowing that, they give themselves for this project. The service project runs smoothly and no

barrier. They do it happily, even they feel so lucky for joining this service.







Day 7 (Monday, September 20, 2010)

This is the day for cultural night. Every freshmen dress properly to enjoy the show, they see all

performance which is already arranged by the committee. At the end of cultural night, thecommittee announces the best group for the orientation. Finally, the best group goes to Iwasaki

Yataro. Cultural night itself is closed by a dance performance from committee and beautiful

fireworks.

Medic Division Day to Day Report

Day 1: Tuesday, September 14, 2010

In the first day of orientation, almost everything was going according to the plan. We divide

ourselves into team so we could easily manage any students who needed the help of first aid.

Rista was responsible for team 1-6

Adyanto was responsible for team 7-12

Fridatari was responsible for team 13-18

Bram was responsible for team 19-24

Dita was responsible for team 25-30

We went to each team to gather information of the students who has special sickness in accordanceto prepare if anything happened to them and prepare any medicine that we could provide.

Day 2: Wednesday, September 15, 2010

In the second day, we checked to the supervisors of each team that we were responsible for, to list

the student’s name that were sick. We do this every morning after they had their breakfast before

they start their orientation activity. There was one student who fainted because of asthma and one

student fainted because she couldn’t be in a crowded area. The medic division also was responsible

in handling the NAPZA test helped by the event organizer division. Again in the night, we controlled

to each team to gather the name of students that were sick.







Day 3: Thursday, September 16, 2010

In the third day, as usual we checked to the supervisors of each team that we were responsible for,

to list the student’s name that were sick. The students who weren’t strong enough to walk and join

the orientation were permitted to stay in their dorm to rest so they could recover. We listed the

name of the students who stayed to check whether they were truly sick, already had their meal, and

drank their medicine. On this day, there were two students who stayed at the clinic because they

severe from their sickness. At PU, there were two students who were sick because of gastric but we

could handle it quickly. Again in the night, we controlled to each team to gather the name of

students that were sick.

Day 4: Friday, September 17, 2010

In the third day, as usual we checked to the supervisors of each team that we were responsible for,


the orientation were permitted to stay in their dorm to rest so they could recover. At PU and ICT

there were some students who was sick like gastric and headache but it could be handled without

any problem.

Day 5: Saturday, September 18, 2010

In the fifth day, as usual we checked to the supervisors of each team that we were responsible for,


the orientation were permitted to stay in their dorm to rest so they could recover. Because theamazing race was held in PU and dorm, so we split into two. So far, there was only one student who

was injured and immediately brought to clinic. Again in the night, we controlled to each team to

gather the name of students that were sick.

Day 6: Sunday, September 19, 2010

Because this day the activity was not held for all the students, so only 5 students from each team

joined the activity while the others could take a rest at dorm. Only two from the medic division that

picket, there was no serious sickness occurred.

Day 7: Monday, September 20, 2010

We didn’t make any special preparation. Along the Cultural Night event, there was one student who

got stomachache and one student fainted because of she couldn’t stand in crowded places. The

student who fainted was directly brought to the clinic.

Security Division Day to Day Report

Day 1: Tuesday, September 14, 2010

In the first day of orientation, almost everything was going according to the plan. However, security

division caught a female student smoking in Resto Plaza area while other freshmen were doing their

group sharing. Security division took all of the cigarettes that she possessed and gave her warning.

Before 12:00 AM, security division also checked the entire Resto Plaza area to make sure thateverybody has returned to his/her own dormitory

Day 2: Wednesday, September 15, 2010

In the second day security division sounded the megaphone twice at 05:00 AM and 05:45 AM to

wake the freshmen up. Some changes were made in this day. Based on the schedule, freshmen

should’ve walked from ICT to PU at 11:00 AM, due to the unexpected rain and our inability to

provide buses to transport them from ICT to President University campus building we have to wait

for the rain to stop and freshmen were started to walk at around 12:30 PM. Luckily, committee were

able to managed the time so that everything was going according to the schedule. However, security







division got two different commands from EO division at the end of the event, but we could manage

it right away. Again, Before 12:00 AM, security division also checked the entire Resto Plaza area to

make sure that everybody has returned to his/her own dormitory.

Day 3: Thursday, September 16, 2010

floor. Everything was still under control. Before 12:00 AM, security

division also checked the entire Resto Plaza area to make sure that everybody has returned to

his/her own dormitory.

Day 4: Friday, September 17, 2010

freshmen rooms, searching for the things that are prohibited such as: cigarettes, alcoholic drinks,

condoms, drugs, and porn. We did found almost all of them except condoms and apparently we did

not find any drugs. Before 12:00 AM, security division also checked the entire Resto Plaza area to

make sure that everybody has returned to his/her own dormitory.

Day 5: Saturday, September 18, 2010

Everything was going according to the plan and we also help Equipment division cultural night

preparation. Before 12:00 AM, security division also checked the entire Resto Plaza area to make

sure that everybody has returned to his/her own dormitory.

Day 7: Monday, September 20, 2010

Security division gathered all of the freshmen in front of wall B at 06:15 pm and guided them to walk

to Campus for cultural night at 06:30. Almost everything wasn’t going according to the plan except

the event timing itself. We couldn’t make all the freshmen to finish their food before 08:00pm and

some of them were still taking some food due to the inability of the catering that has been assigned

by PU management themselves to prepare the food on time. Because of that, some of the freshmen

were still eating while rector was doing his speech. Half of the students were going back to their

dorm even before the event finished. Most of them said that they were sick and some of them said

that they have to wake up early for the morning class.







Food and Beverage Production

Food and Beverage division was distributed the food to the student 2010 and also the committee.President University has been using 7 restaurants as food vendors. There are Te’nie, Sri Rejeki,

Golden Resto, DPC, Ninoe President, Pan – Pan, and Sari Nikmat. Menu has been decided by

agreement from Mr. Sendy Widjaja, Mrs. Novrida, Vice chairman I of orientation, Food and beverage

division and also some of the vendors (Te’nie, Pan – Pan, Golden Resto, and Sari Nikmat).

Day 1Based on the schedule, in the first day there were some problems. Some of Vendors came late.

There were Ninoe President and Te’nie. Ninoe President came at 07.00 am.For lunch, the vendors

who come late were Ninoe, Te’nie and Sri Rejeki. And for the dinner was Ninoe.

Day 2

All things are done based on the schedule. But, some vendors came late when delivered the meal.

There are Ninoe President, Sari Nikmat, and Sri Rejeki.

Day 6

In this day, we only provide meal for the dinner for 900 portions. The vendor who has been chosen is

Sari Nikmat. We have a lot of problem in this day. Such as:

Committee only provides 2 tents and tables. For table setting and skirting are the

responsibilities of the vendor. But, in fact the committee should help the vendors to set

table and also skirting the table. It is because until 04.00pm the vendor hasn’t finish table

setting yet.

The arrival time of the meal is delayed from the schedule that should be 06.00pm. It is

because the vendor is not ready to provide meal for the big event. The problems come out

for the limited of the human resources and also the equipment.

Based on agreement, we want vendor provide 5 lines (4lines for student and 1 lines for VIP)

but in fact, there are only 3 lines for the student and 1 line for VIP.

The storage of the meal is not in the proper place. For example, the rice is placed in the

plastic bag.

The cleanliness of the meal is unsatisfied.

Over all, everyone got the meal.

Recommendations:

Choose the vendors that ready to provide meal in the big amount.

Let the vendors and F&B division are connected directly by themselves without any

mediator.

Equipment Report

The equipment division is consisting of 7 peoples. The head of equipment division is Ferry. Weare already decide to our job desk, and we are look for the vendor to borrow the equipments a week

before the orientation day started. The thinks that we borrow are chairs and carpet, stage and tent,

walky-talky, and some goods that from PU, such as mega phone, sofa and table, projector and

screen, sounds and micro phone. We take the goods from PU form a day before the orientation day

(14 Sep 2010) because we need to do briefing to the new students on night. Some of us are

preparing the chairs and the sound at ICT for the opening in the next day.

The chairs that we rent and the sound that we borrow are used in the first day of orientation (15

Sep 2010, morning till noon) and we use the ICT chairs too. That day is rain so there is a problem

when we move the chair to the New Hall. Next day (16 Sep 2010) is club expeditions; we prepare thetable for each club to be used. Because the PU’s lobby can’t be use, the stand club is held at packing

area behind the PU building. The schedule is a little late because of rain. Because the cable from the

laptop to the mixer is broken, we borrow the computer speaker to support the sound.

The third day (17 Sep 2010), in the morning we go to ICT to done the motivation seminar, we use

the carpet for the students to sit. There is a problem for the sound, and the speaker was a little

disappointed, but in break time we try to fix it, and the events done well. The noon day, we do the

group discussion at PU. At night we talk about the stage, because the first two days is raining, we

decide to rent the tent for the cultural night day, but we already use the additional fund. We decide

to still rent the tent, rather than use the ICT:

The place is too small to cover all of the committee (only the students)

Need fund for the transportation and rent the ICT

The ICT’s stage is too small for the band instrument, etc

The forth day (18 Sep 2010), is amazing race. The equipment already prepared by the amazing

race division. The fifth day (19 Sep 2010), is service project. The equipments that needed are sound

system in the morning for the briefing, and in the noon we use the projector and screen for the

presentation.

The last day (20 Sep 2010), is cultural night. The stage is very good and the decoration is very

beauty. We borrow the mini stage and some chairs from PU to make it complete.

The importance problem is the fund, until a week after the orientation done, we haven’t fully

paid the vendor.







ENCLOSING

This new student orientation program helps the new students to adapt with President

University. Moreover, the activities in this orientation will be the first training ground for the

students to understand and implement the meaning of “Giving the Best”. That is all for the proposal

of the New Student Orientation of Academic Year 2010-2011. We would like to thank you very much
