REPORTING INSTRUCTIONS ON THE DAY OF THE EVENT Upon arrival all volunteers must report directly to the volunteer check-in located at their venue (see list below). Volunteers should arrive at the shift time that they registered for. You will receive your volunteer t-shirt and wristband upon check-in. Please give yourself enough time to park and get to the volunteer registration area and then report to your assignment. ADULT VOLUNTEERS PLEASE BRING A PHOTO ID with you to verify your information. Please have it ready when you arrive at check in to help expedite the volunteer check-in process. Volunteers ages 17 and younger will need to bring the Parental Consent form. This form can be found at the link below. Copies will also be available at the volunteer check-in on the day of the event. Parental Consent form for Volunteers Ages 14-17 Volunteer check-in location will be dependent on your volunteer role: Swimming (Aquatics) – UD Outdoor Pool Powerlifting– Bob Carpenter Center Opening Ceremony– Bob Carpenter Center Motor Activities Training Program (MATP)- Bob Carpenter Center Bocce-UD Field House Hospitality– UD Stuart and Suzanne Grant Stadium or UD Pool-Depending on what venue you registered for. Lunch Distribution and Dinner- UD Stuart and Suzanne Grant Stadium Olympic Village Volunteers- UD Stuart and Suzanne Grant Stadium Softball– UD Stuart and Suzanne Grant Stadium Track & Field– UD Stuart and Suzanne Grant Stadium Tennis– UD Tennis Courts Law Enforcement– LETR tent in Olympic Village Medical- at your assigned venue Awards- at your assigned venue Healthy Athletes– at your assigned venue (Special Smiles – UD Pool, Fit Feet – track, Healthy Hearing and Opening Eyes – UD Field House Volunteer Check-in- at your assigned venue VOLUNTEER DRESS CODE: All volunteers are required to dress appropriately for their required assignment. Sneakers and khaki style pants or shorts are encouraged –No Jeans Please. All registered volunteers will receive an event shirt that must be worn at all times during the event. **ALL Law Enforcement volunteers should be in uniform**

EVENT PARKING In order to insure that you arrive for your shift on time please pay particular attention to the information below: ATHLETIC COMPLEX PARKING: Volunteer Check-in: UD POOL, UD FIELD HOUSE, UD TENNIS COURTS (621 S College Ave Newark, DE 19716) BOCCE, SWIMMING, TENNIS, SWIMMING AWARDS, BOCCE AWARDS, HOSPITALITY FOR UD POOL, HEALTHY HEARING, OPENING EYES, AND SPECIAL SMILES: Parking for these venues will be located in front of the University of Delaware Field House and in the parking lot in front of the Ice Arena both on Friday, June 14 and Saturday, June 15. When arriving at UD do NOT enter through the main entrance of the athletic complex. Use the entrance located just past the Field House. Please allow plenty of time to park and get to your venue. Volunteer Check-in: STUART AND SUZANNE GRANT STADIUM OLYMPIC VILLAGE , SOFTBALL, TRACK & FIELD, TRACK AWARDS, FOOD DISTRIBUTION (LUNCH AND DINNER), HOSPITALITY FOR OLYMPIC VILLAGE, HEALTHY ATHLETE-FIT FEET, AND LAW ENFORCEMENT: Parking for these venues will be located BEHIND THE BOB CARPENTER CENTER both on Friday, June 14 and Saturday, June 15. When arriving at UD do not enter through the entrances on South College Ave. Enter through the entrance off of Route 4 located near the soccer fields (Sincock Lane). Please allow plenty of time to park and get to your venue. Volunteer Check-in: BOB CARPENTER CENTER (631 S College Ave, Newark, DE 19716) MOTOR ACTIVITY TRAINING PROGRAM (MATP), POWERLIFTING, & OPENING CEREMONY: Parking for these venues will be located IN FRONT OF THE FOOTBALL STADIUM AND THE BOB CARPENTER CENTER both on Friday, June 14 and Saturday, June 15. When arriving at UD enter through the main entrance of the athletic complex. Please allow plenty of time to park and get to your venue. FOR ALL VENUES: Adhere to all posted restrictions and only park in legally marked spaces. If you choose to park in metered spaces or in a parking lot or garage that charges you will be responsible for the cost. Special Olympics Delaware and the University of Delaware are not responsible for and will not cover the costs of tickets or towing as the result of illegal parking.

INCLEMENT WEATHER Every effort will be made to keep all venues and schedules going as planned, however, the top priority is the health and safety of all participants involved in the event. All venues will continue as planned unless there are EXTREME weather conditions forecasted. If this does occur, volunteers be notified on Wednesday, June 12, 2019 of the following changes: Track & Field: Track will follow a modified schedule. Swimming: Moved to McKean High School indoor pool on Saturday, June 22, 2019 Tennis: Moved to DuPont Country Club (1001 Rockland Rd, Wilmington, DE 19803) Softball: Moved to Schutte Park (10 Electric Avenue; Dover, DE 19904) on June 29, 2019 Bocce & Powerlifting will go on as scheduled Once a decision has been made to go to an inclement weather plan it will not be reversed.

Special Event Inclement Weather Plans Opening Ceremony: Will continue as scheduled and based on the weather the parade of athletes may be cancelled. Olympic Village/ Family BBQ: Activities will be cancelled or postponed based on weather conditions. Some activities may be moved to indoor venues based on availability of space. Healthy Athletes: Indoor Healthy Athletes (Hearing & Eyes in the Field House) will continue on as planned. A determination will be made to bring pieces of Healthy Athletes to these venues

SPECIAL EVENTS 2019 SUMMER GAMES OPENING CEREMONY- Bob Carpenter Center Friday, June 14, 2019 12:30pm –2:00pm OLYMPIC VILLAGE Friday, June 14, 2019 2:30pm-Dusk Activities to Include: DJ and music – all day Hospitality tent with area info Shuffleboard Arts & Crafts Mini Golf Corn Hole and other yard games Law Enforcement Displays and Demonstrations Life-sized games – Connect-4, tic-tac-toe, and more!

FAMILY BBQ - Olympic Village Friday, June 14, 2019 5:00-7:30pm There will be music, entertainment and dinner for all athletes, coaches, volunteers and family members. Come celebrate with our athletes! Free food and refreshments.

FOOD SERVICE Food services will be provided during the 2019 Summer Games to all credentialed participants (i.e. athletes, coaches, volunteers and unified partners). Meals will be served according to the following schedule: Friday, June 14, 2019 Lunch Football Stadium East & South Stands 10:30am – 12:00pm Dinner -Olympic Village & East Stands 5:00pm – 7:30pm NOTE: Dinner is open to all athletes, coaches, volunteers and family members as part of our Summer Games celebration. MEDICAL SERVICE The 2019 Summer Games will provide medical services for all attending program members. The medical committee has designed several areas of care to ensure for the proper provision of medical services. MEDICAL PERSONNEL SCHEDULE Medical personnel will be onsite at venues & Special Events throughout the games. All Medical personnel will be clearly identified. SAFETY THE SAFETY OF OUR ATHLETES AND VOLUNTEERS TAKES PRECEDENCE OVER ANYTHING ELSE. SECURITY The goal of security is to provide a safe environment for all constituents and allow them to enjoy the 2019 Summer Games without concern for their personal safety or the safety of the program. PERSONNEL Security personnel will be posted at selected sites throughout the Summer Games to provide a deterrent and intervention force for situations determined to be threats to any aspect of the Summer Games. A security presence will be at the residence hall and selected competition venues and non-competition sites. Volunteers serving as security personnel will be easily recognizable and available to assist as needed. When attending all Summer Games functions, please remember the following safety tips: Wear your credentials at all times and expect to show it at all security access points. Your

credential will be your wristband and volunteer T-shirt. Your credential identifies you as being part of the Special Olympics community and will provide you access to specified competition venues and non-competition sites.

Keep your belongings in a secure place. Do not leave personal items where they may be easily accessed.

In case of an emergency, contact 911. Report all suspicious persons and incidents to the Summer Games Management Team or

the Games Security personnel.

BAG CHECK For the comfort and safety of all participants and spectators at the 2019 Summer Games, each entry point at the Summer Games will have Event Security posted. When entering any venue all bags will be subject to search. The following items will not be permitted in ANY VENUE during the games: Glass Bottles/Cans Alcoholic Beverages Open Containers Large bags (other than bags with needed medical, sport related or personal items) Umbrellas Weapons/Firearms Animals (other than service animals) Outside Sporting Equipment (not associated with the sport or team)

When entering The Bob Carpenter Center, the following ADDITIONAL items are not permitted: Noise Makers Backpacks Coolers/Ice Chests/Thermoses ANY Outside food or drink

NOTE: Medical needs bags and/or equipment will be permitted Additional restrictions may be applied by event personnel if it is felt there is a risk of safety to any participants or spectators. Patrons are kindly asked to leave the above items at home, and not in their vehicle, if possible. There will not be a place to check prohibited items. Special Olympics Delaware and the University of Delaware appreciates your cooperation in making this event safe and enjoyable for everyone.

HEAT-RELATED ILLNESS Delaware has the potential for high humidity and extreme heat during the summer months. Exposure to such heat may make a person seriously ill. The likelihood of heat-related illness depends on factors such as physical activity, clothing, wind, humidity, working and living conditions, and a person’s age and state of health. People at risk for a heat-related illness include those who work or exercise outdoors, the elderly, young children, and people with specific health problems, such as poor circulation. Once the signals of a heat-related illness begin to appear, the victim’s condition can quickly worsen. It is important to get help fast if you experience any of the following signs of a heat- related illness: Heat Cramps: painful muscle spasms that usually occur in the legs and abdomen. Heat Exhaustion: a more severe condition than heat cramps. Signs include cool, moist, pale or flushed skin; headache; nausea; dizziness; weakness; and exhaustion. Heat Stroke: The least common but most severe heat emergency. It most often occurs when people ignore the signals of heat cramps or exhaustion. Heat stroke develops when the systems of the body are overwhelmed and begin to stop functioning. Heat stroke is a serious medical emergency. Signs include red, hot, dry skin; changes in consciousness; a rapid or weak pulse; and heightened shallow breathing. Heat-related illness detected in its early stages can usually be reversed. Get out of the heat, call for medical assistance immediately, loosen any tight clothing and apply cool, wet cloths, such as towels or sheets. If conscious, a person may sip cool water or a commercial sports drink. Being prepared to face the heat is important. Dressing appropriately, drinking plenty of water and taking frequent rest breaks can help you to stay healthy. Watch or listen to area weather for heat indexes and be prepared.

EMERGENCY PLANS The following information has been created to provide communication and safety recommendations for all Special Olympics Delaware programs attending the Summer Games at the University of Delaware. The keys to dealing with an emergency and minimizing its effects are: Stay calm Communicate well with the appropriate people Cooperate with the appropriate authorities

SEVERE WEATHER SITUATION The steps below are to be followed by the program: SODE Games Management Personnel will make an announcement that severe weather is

moving into the area. Upon hearing the announcement all delegation members, event personnel, volunteers

and spectators will need to seek shelter. The following areas are adequate shelter during a lightning storm:

• Inside the Bob Carpenter Center • Inside the Field House • Inside either Ice Arena • Inside cars with windows rolled up (all-metal vehicle, not a convertible)

Do not seek shelter underneath the football stands or under trees or around light poles. The following areas are adequate shelter during a tornado:

• Inside the Bob Carpenter Center • Inside the Field House • Inside either Ice Arena

Do not seek shelter underneath the football stands, in vehicles or under trees or around light poles.

EVACUATION OF A VENUE The steps below are to be followed by the program: In the event an alarm goes off in a building or there is an announcement by SODE Games Management Personnel that a building needs to be evacuated, the following procedures should be followed: Stay Calm Move immediately in a calm but organized manner to the nearest exit.

Bob Carpenter Center & Carpenter Sports Center: Lit exit signs are located at the end of each hall indicating a stairwell that is to be used in the case of emergency evacuation. DO NOT USE THE ELEVATORS Upon exit of the venue proceed to the gathering area designated in the plans included in this document. All meeting points must be 200 feet from the building/venue being evacuated.

EMERGENCY MAPS Please review the following documents for evacuation plans of all buildings. These plans show you the EXITS in the event an alarm is sounded. Personnel will be on- site to direct you to these exits. There is also a map that contains designated meeting points for your delegation when a venue has been evacuated.
