FORGIVEN AND FREED BY GOD IN JESUS CHRIST, Forgiven and freed by grace through faith, the central figure stands in praise.

AND EMPOWERED BY THE HOLY SPIRIT, WE COMMIT OURSELVES: Rooted in faith, the trio of women emerge. The outline of the central figure forms a cross. We are Presbyterian women, engrafted in Christ by the power of the Holy Spirit. It is no longer we who live, but Christ who lives in us.

TO NURTURE OUR FAITH THROUGH PRAYER AND BIBLE STUDY, The right figure holds a book to guide her reading, studying, praying, or meditating.

PRESBYTERIAN WOMEN IN THE PRESBYTERY of GREATER ATLANTA

Brothers and sisters, I myself don’t think I’ve reached it, but I do this one thing: I forget about the things behind me and reach out for the things ahead of me. The goal I pursue is the prize of God’s upward call in Christ Jesus. -- Philippians 3:13–14

I am encouraged to look ahead based on more knowledge of PW at the Presbytery level this year and even more importantly, knowing the amazing women you are that are willing and more than able to serve alongside me. I have always enjoyed meeting new people and learning how we can find unique ways to both love and serve our Lord. This joy has been magnified as I have met you in our Presbytery and enjoyed learning so much from you.

Thank you for your love and willingness to walk this journey together. And…stay tuned for more opportunities!

2019 Annual Gathering -- Minutes

Presbyterian Women in the Presbytery of Greater Atlanta Synod of South Atlantic Sunday, March 17, 2019

Dobbs Chapel, Trinity Presbyterian Church, Atlanta, Georgia

The 32nd Annual Gathering of Presbyterian Women in the Presbytery was called to order by Moderator Gwynne Mesimer at 2:00 p.m. She offered an opening prayer to the women assembled. A procession of banners to the front of the sanctuary was introduced by Sheila Louder. The banners represented the women's creativity of several churches: Fayette, Trinity (Decatur), Shallowford, Clairmont, Eastminster, Hillside, Rice Memorial, Mount Vernon, St. Luke's and New Life Presbyterian Churches. Moderator Mesimer thanked the women of the host church and Kelly Weirich for playing the piano for worship. Agenda items in the Annual Gathering Program packet were approved by common consent. Moderator Mesimer highlighted some items; in particular an explanation of the Matthew 28 Project which will receive one half of the Gathering offering. Credentials Report

Churches represented: 26 Attendance: 92 Presbyterian Women plus one guest

Honorary Life Member Recognition Moderator Mesimer recognized the women who received Presbyterian Women's Honorary Life Membership in 2018 by their local Presbyterian Women. Twenty women have been so recognized. Four of them were in attendance and were presented with a gift bag from Gwynne, delivered by Gaye Alston , Vice Moderator. Finance The 2018 financial report of Presbyterian Women in the Presbytery was presented for information by Kelly Weirich in the absence of Treasurer Barbara Wilson. There were no questions about the report. An annual audit of the Presbyterian Women in the Presbytery accounts was made by Mary Martin, Pat Randolph, and Celestine Tory. They were thanked for this service. The 2019 Budget was approved by voice vote. Elections The following nominees for Synod of South Atlantic Presbyterian Women's Coordinating Team were presented for approval:

Vice Moderator/Planner: Diane Hamrick, Trinity Presbytery (SC) Presbyterian Women Board of Directors Representative: Molly McCarthy, Savannah Presbytery (GA) Search Moderator: Gayle Bone, St. Augustine Presbytery (FL) Racial Equity Member-at-Large: Jan Lewis, Northeast Georgia Presbytery (GA)

The motion to elect these women passed unanimously. The Presbyterian Women in the Presbytery Search Committee Report was made by Mary Martin. Those nominated were: Moderator-Elect: Jo Ann Nelson, Lawrenceville

There were no additional nominations from the floor. Nominees were elected by voice vote. Installation of new coordinating team members Following the election, Dr. Mardee Rightmyer led the installation of coordinating team members with the Litany of Installation. The Presbyterian Women Pledge was recited by all and the incoming coordinating team members took part, pledging their service. The following retiring coordinating team members were presented with a gift by Moderator Mesimer: Carol Lunsford, Mary Martin, Bernita Winfrey, and Carol MacGregor Keynote Address: "Flourish" Aisha Brooks-Lytle, Executive Presbyter of Greater Atlanta Presbytery, presented her vision for healthy leaders and congregations with dynamic encouragement. Presbyterian Women will flourish as it is equipping healthy innovative leaders. She highlighted the practices of prayers, personal, community and in congregational teams. "Pray often, but switch it up" in reference to Joan Gray's quote, where there are barriers to communal prayer. Presbyterian Women is to reclaim our "call stories", overcome barriers to what we are passionate about, and "model" to others our unity in the body of Christ. (Deut 6:4, Micah 6:8, Amos 5:4, John 3:16)

1) prayer, 2 ) pass ion, 3 ) pr iesthood, 4) purpose - to "f lour ish" Offering Gifts given to the offering are being divided between Presbyterian Women's Mission Pledge (Annual Fund) and the Matthew 28 Project in Haiti's central plateau which provides education and food supplements to hundreds of children daily.

Offering total: $908.90 Closing: "Moderators' Moment" Moderator Mesimer offered closing remarks looking toward the next year. "It has been my prayerful desire to work with the CT to:

• Prayerfully consider ways to support the women in our Presbytery

• Provide opportunities for women to grow in their faith

• Give thanks for our walk with God which is ours by grace through faith

• Support the connectional relationship with Presbytery and share ways to make that evident in our programming"

Looking toward the next year, the Coordinating Team will use the recently approved process for presbytery wide events. CT members will consider quarterly seminar style gatherings on topics such as missions and Bible Study and to focus on using central locations when possible (churches, seminary). A benediction was offered by Rev. Aisha Brooks-Lytle. The closing hymn was Blest Be the Tie That Binds. Adjournment: 3:30 p.m. Carol MacGregor, Secretary

Directions for Treasurer in the Congregation

There are many opportunities to support the missions and ministries of Presbyterian Women locally, at the presbytery and synod levels, and churchwide. Monies sent in support of our presbytery are shared with our synod. To aid with budget planning, we request that you complete and submit a Pledge Form by Nov. 15. A current Pledge Form is available from the PWP Treasurer, Barbara Wilson. Presbyterian Women in the Greater Atlanta Presbytery have special relationships with the following entities, and we encourage support from your congregation as you see fit:

Moderator’s Annual Report

I want to first thank the members of this Coordinating Team for the opportunity to work with you this past year. It has been my prayerful desire to work with the CT to:

• Prayerfully consider ways to support the women in our Presbytery

• Provide opportunities for women to grow in their faith

• Give thanks for our walk with God which is ours by grace through faith

• Support the connectional relationship with Presbytery and share ways to make that evident in our programming

While I grew up Presbyterian as a Minister’s daughter, I realize I have much to learn about the mechanics of PW. I clearly understand the impact woman working and worshipping together can have not only on us but also on those we love. As we are filled with God’s stories of love and His amazing love for all of us, we are then equipped to fill others’ lives. We began the year with Moderator and Treasurer training for our newly installed church Moderators and Treasurers. We had two sessions throughout the Summer and Fall. Handouts included items needed as well as sample documents. We endorsed the 2018 – 2019 Horizons Bible Study: God’s Promise: I Am with You. We had a group attend the preparation course with the author at Columbia Theological Seminary. The author Amy Poling Sutherlun was a very thorough teacher and gave many great hints and additional information not included in the study guide. This is a most helpful session for those who can attend. Fall brought our workshop event at North Avenue Presbyterian Church. We had over 50 attendees and four speakers as well as Moderator / Treasurer training. The attendance was a good representative sampling of the churches in our Presbytery. The topics shared were:

• Planning for Resilience – Advanced Care Planning - Tammie Quest, MD, FAAHPM

• Resilience…in All Situations… Gun Violence – PC(USA) Overture and A Personal Story - Rev. Stephanie Bishop

• New Ways to teach an Old Theme…Bible Study - Kathy Dawson, PhD

Rev. Dr. D. Scott Weimer, Senior Pastor, welcomed us with prayer and later, shared with us about their daycare center that is targeted to help

homeless mothers. By offering free daycare, this allows women time to look for work knowing their children are cared for in their absence. See below for a sampling of comments received:

• Well organized

• Good mix of topics and speakers with opportunity to network with other PW’s

• Very enjoyable

• All the leaders had experienced living with Resilience. Made the topics real.

• Each segment intensive enough to be instructive

• Like the joint session with multiple speakers

• Great space, easy to get to, plenty of parking. Lunch was good.

In January, we hosted our Spring Retreat at Calvin Center. The keynote speaker was Rev. Alyce Spells Kelly. She is a conference speaker and Bible Study teacher, contributor to ecumenical and interdenominational churches, and both secular and Christian organizations. The Eighth Day is her second book. The Golden Boom, A Message of Hope and Promise to the Baby Boomer Generation is her first book. The attendance of 34 women was largely representative of District 7 with 45% of the attendees representing the southern area of our Presbytery. Six rooms were utilized by overnight attendees. The retreat and the retreat committee had overwhelmingly positive comments with the following being shared on the evaluations:

• Allows for various topics and allows one to choose topic in which

interested.

• Thanks for all the hard work the Retreat Committee did to make the

Retreat possible.

• This was one of my best days, it couldn’t be more meaningful.

• This retreat was a meaningful one to me.

• Good amount of time for each session.

• Exposure to other charities.

Some of the comments related to improving the retreat were:

• Calvin Center has become a bit dreary and rundown

• Date not good for others from my church

• Presbytery member attendance less than a local church

• Needed a wider audience

• Overnight is difficult for many; a one-day retreat is OK

In August, 24 women from our presbytery attended the Triennial Gathering of Presbyterian Women in Louisville, KY. During that conference, we secured

our keynote speaker for the Winter Retreat as well as brought back much information for our churches.

In early 2018, a new need was brought to our attention. That need was communicated to our Coordinating Team during the Annual Gathering as well as during CT meetings. There has not been a clear process to obtain funding of new programs or venues. The request was made that we add a line item in the budget for this aspect of development. The Finance Committee met to discuss possible options to support this request. We determined the best way to handle this was to establish and distribute three documents to support new and / or evolving programming within our Presbytery for the development of women. The first is a process document to guide the group that is planning new programming toward this goal. The second document focuses on the proposed budget and the third is an evaluation plan. The documents were presented to the Coordinating Team at the CT meeting in January 2019. It is assumed that this process and supportive materials may require amendments as the needs of our community change.

Our future commitments include sending delegates to the PW Synod Gathering at Epworth by the Sea in October 2019. We will also survey our member churches to determine what / if any changes we make to our Fall Workshop and Spring Retreat. Our goal will be to increase attendance and diversify our audience. We will also explore alternative methods of Bible study such as E-learning, Bible study for young women, and ongoing seminars. Increasing the awareness of our church moderators regarding the connectional nature of our churches and Presbytery will remain a continued focus for the PW leaders in our Presbytery.

Church Women United (CWU): www.churchwomen.org An ecumenical association of Christian women who worship, pray and serve the Lord together in their community. CWU units encourage prayer for peace and justice in the world through the Fellowship of the Least Coin. CWU also conducts ecumenical celebrations, including World Day of Prayer, May Friendship Day, Human Rights Celebration, and World Community Day.

Columbia Friendship Circle (CFC): An organization of women in two Synods (South Atlantic and Living Waters) that supports Columbia Theological Seminary through prayer, encouragement, and financial support of selected projects. In recent years, CFC has focused on scholarships for students with families. Their annual meeting, "Come See Columbia Day" is held at Columbia Seminary, typically the third Thursday in April.

Coordinating Team (CT): The elected and appointed leaders of Presbyterian Women in the congregations, presbyteries, and synods. At the national level, the Board of Directors is the equivalent of our former Churchwide CT.

Creative Ministries Offering Committee (CMOC): The committee of the Presbyterian Women churchwide which designates the recipients of the Thank and Birthday offerings of Presbyterian Women.

Fellowship of the Least Coin: www.flc.net.ph An ecumenical movement of Christian women who pray for peace, justice, and reconciliation. Around the world, each woman offers the “least coin” of her currency to demonstrate unity with women of every nation. The coins thus collected fund grants approved by an international committee. In the U.S., Church Women United oversees this fellowship and distributes Circle of Prayer devotional booklets.

PRESBYTERIAN CHURCH (U.S.A.) Article I – Name This organization shall be known as Presbyterian Women in the Presbytery of Greater Atlanta. Article II – Purpose Forgiven and freed by God in Jesus Christ, and empowered by the Holy Spirit, we commit ourselves:

• to nurture our faith through prayer and Bible Study,

• to support the mission of the church worldwide,

• to work for justice and peace, and

• to build an inclusive, caring community of women

that strengthens the Presbyterian Church (U.S.A.) and witnesses to the promise of God’s kingdom.

Article III – Membership Section 1 Membership in Presbyterian Women is open to all women in the Presbytery of Greater Atlanta who choose to participate in or be supportive of Presbyterian Women in any way. Section 2 Finances a. Presbyterian Women in the Congregation (PWC) shall support the operating budget of

Presbyterian Women in the Presbytery (PWP), Synod, and Churchwide and the Mission of the Presbyterian Church (U.S.A.) (PC (USA)) by sending pledges to the Treasurer of Presbyterian Women in the Presbytery of Greater Atlanta.

b. The budget for the year shall be submitted by the Finance Committee to Presbyterian Women in

the Presbytery Coordinating Team (PWP/CT) at the February meeting for approval and sent to the PWC 30 days prior to adoption at the Annual Gathering.

c. Expenses not budgeted shall be approved for payment by the PWP/CT. d. The financial records of the PWP/CT shall be examined annually by the Audit Committee which

shall be appointed by the Moderator. The Audit Committee shall determine the method of examination to be used. The audit report shall be presented at the Annual Gathering.

Article IV – Leadership Section 1 Leaders of Presbyterian Women (PW) shall be known as the Coordinating Team (CT). This Team conducts the business of Presbyterian Women in the Presbytery (PWP). Any woman who serves on the Presbyterian Women Coordinating Team (PW/CT) shall be a member of the Presbyterian Church (PC (USA)) and a member in good standing of a congregational PW within the Presbytery of Greater Atlanta. Section 2 All elected and appointed leaders are voting members of the Presbyterian Women in the Presbytery Coordinating Team (PWP/CT) and shall provide leader training when requested. Section 3 All elected and appointed leaders are accountable to Presbyterian Women in the Presbytery (PWP) of Greater Atlanta through the Coordinating Team (CT). Section 4 Qualifications for all leaders are: All leaders are expected to earnestly and faithfully support the Purpose of Presbyterian Women. Section 5 Elected Leaders shall be:

Section 6 Duties of Leaders a. Moderator

Purpose: To plan and coordinate the work of Presbyterian Women in the Presbytery (PWP) of Greater Atlanta.

b. Vice-Moderator / Spiritual Growth

Purpose: To assist the Moderator in planning and coordinating the work, and to promote the spiritual development and growth of Presbyterian Women in the Presbytery (PWP) of Greater Atlanta.

c. Moderator-Elect Purpose: To prepare to become Moderator of Presbyterian Women in the Presbytery (PWP) of Greater Atlanta.

e. Treasurer Purpose: To receive, disburse, and keep accurate records of funds of Presbyterian Women in the Presbytery (PWP) of Greater Atlanta.

f. Treasurer-Elect Purpose: To prepare to become Treasurer of the Presbyterian Women in the Presbytery (PWP) of Greater Atlanta.

g. Moderator of Search Committee Purpose: To administer the work of the Search Committee of the Presbyterian Women in the Presbytery (PWP) of Greater Atlanta.

h. District Leader Purpose: To be the link between local church PW groups and the Presbytery PW Coordinating Team (PWP/CT).

i. Historian Purpose: To maintain and preserve historical records of Presbyterian Women in the Presbytery (PWP).

Members-at-Large: j. Justice and Peace Coordinator

Purpose: To promote awareness of issues which are relevant to the mission and Purpose of PW. k. Leader Development

Purpose: To encourage and provide support for leadership of Presbyterian Women in the Presbytery (PWP).

l. Missions Coordinator

Purpose: To promote community and global mission projects to PW in the Presbytery. m. Racial-Ethnic Liaison

Purpose: To represent concerns of African-American, Asian, Hispanic/Latina, and African Immigrant Presbyterian Women and encourage their participation in PW.

n. Resource Coordinator

Purpose: To plan for and promote the use of all appropriate resources for the work of Presbyterian Women in the Presbytery (PWP).

o. Search Committee Members

Purpose: To identify and evaluate candidates for PWP/CT leadership positions.

Article V – Nominations, Election and Term of Office Section 1 Nominations Any Presbyterian woman in the Presbytery of Greater Atlanta (PWP) may recommend nominees for any elective office through the Search Committee.

Districts 2, 4, 6, 8, 10, & 12 in even years Section 3 Receipt of Nominations Presbyterian Women in the Congregations (PWC) shall receive the names of the nominees selected by the Search Committee at least thirty (30) days prior to election. Section 4 Additional Nominations Nominations may be made from the floor with prior consent from the nominee and notice to the PW Moderator. Section 5 Election Leaders shall be elected at the Annual Gathering. Section 6 Eligibility for Voting All members of PWP of Greater Atlanta attending the Annual Gathering shall be entitled to vote. Section 7 The Vote Election shall be by acclamation unless there is more than one nominee for an office. Where there is more than one nominee for an office, the voting shall be by written ballot for that office, majority of votes cast electing. Section 8 Filling of Vacancies Vacancies occurring between Annual Gatherings shall be filled by the Presbyterian Women in the Presbytery Coordinating Team (PWP/CT) based on the recommendations provided by the Search Committee. In case of a vacancy in an elected position, the Administrative Committee may appoint an interim until the position is filled. Section 9 Terms of Office All Presbyterian Women in the Presbytery Coordinating Team (PWP/CT) members, except the Moderator-Elect and Treasurer-Elect, shall be elected for two-year terms, and shall remain inactive for one year before becoming eligible to serve a second term in the same office, except as noted below for District Leader. If a leader has served more than half a term, it is to be considered a full term in that office. a. The Moderator-Elect and Treasurer-Elect shall have a term of one year only. b. The District Leader term of office shall be two years and District Leader shall be eligible to serve

two consecutive terms in the same District. c. The newly elected leaders shall be installed at the Annual Gathering and shall assume office

immediately. d. All Leaders shall complete their terms of office. e. The term for appointed leaders shall be one year. Article VI – Gatherings Section 1 The Annual Gathering of Presbyterian Women in the Presbytery (PWP) of Greater Atlanta shall be held the third Sunday of March, unless otherwise ordered by the PWP/CT. Section 2

Regular gatherings of the PWP/ CT shall be held in February, May, August, and November, unless otherwise ordered by the Administrative Committee. Section 3 Special gatherings of PWP of Greater Atlanta may be called by the PWP/CT. Written notice shall be sent to Congregational Moderators thirty- (30) days’ prior, stating the business to be transacted. No other business shall be transacted except that which is mentioned in the call of the special gathering. Section 4 Special gatherings of the PWP/CT may be called by the Administrative Committee. Notice shall be given to all PWP/CT members ten (10) days prior. No other business shall be transacted except the specific business that is mentioned in the call of the special gathering. Article VII – Committees Section 1 Administrative Committee a. The Administrative Committee shall have general supervision of the affairs of the Presbyterian

Women in the Presbytery and Presbyterian Women in the Presbytery Coordinating Team (PWP/CT) between regular meetings and shall report any action to the PWP/CT at its next meeting.

b. The Administrative Committee shall consist of the Moderator, Vice-Moderator, Secretary, Treasurer, Treasurer-Elect, District Leader Coordinator, Moderator of Search Committee and Moderator-Elect, all with voice and vote.

c. The Secretary shall record Administrative Committee minutes. In the case of virtual meetings, the secretary shall keep an electronic file of email exchanges.

d. A quorum shall be at least three (3), including the Moderator, who shall serve as Chair. Section 2 District Leader Committee a. The District Leader Committee shall consist of the District Leader Coordinator and the District

Leaders. The Moderator shall serve Ex-Officio. b. The District Leader Coordinator, appointed by the Moderator, shall chair the District Leader

Committee and provide coordination among and knowledge and support to the District Leaders. Section 3 Finance Committee a. The Finance Committee shall prepare the Annual Budget to be adopted at the Annual Gathering,

and to be published in the Yearbook/Directory. b. The Finance Committee shall prepare the Annual Budget for distribution to the PWC thirty (30)

days prior to the adoption at the Annual Gathering. c. The Finance Committee shall consist of the Treasurer as chair, Vice-Moderator, District Leader

Coordinator, the Moderator Ex-Officio, Treasurer-Elect and two (2) other members of the PWP/CT, to be appointed by the Moderator.

d. The Finance Committee shall make recommendations in response to funding requests. Section 4 Search Committee a. The Search Committee shall consist of five members, including the Search Moderator, and shall

reflect diversity. Term of service shall be two years, with election of two members in even years and the Search Moderator and two members in odd years.

b. Members of the Search Committee shall not succeed themselves and shall be ineligible for one (1) year for nomination to another position on the PWP/CT, with the exception that a member of the Search Committee may be nominated as Moderator of the Search Committee.

c. The Search Committee may prepare and distribute forms and letters in order to solicit a broad range of potential and recommended nominees.

d. The Search Committee shall prepare a list of nominees for presentation at the Annual Gathering of PWP.

e. The prepared list of nominees shall be distributed to the PWC thirty (30) days prior to the Annual gathering at which the election shall occur.

f. The Search Committee shall provide recommendations to the PWP/CT to fill vacancies occurring between Annual Gatherings.

Article VIII – Amendments Section 1 Members of Presbyterian Women in the Presbytery (PWP) of Greater Atlanta may propose amendments in writing to the Administrative Committee for action and recommendation to the PWP/CT. Section 2 These Bylaws may be amended at an Annual Gathering by a two-thirds vote of those present and voting, provided written notice of the proposed amendments has been submitted by the Presbyterian Women in the Presbytery Coordinating Team to Presbyterian Women in the Congregations (PWC) at least thirty (30) days prior to the Annual Gathering. Section 3 These Bylaws may also be amended at an Annual Gathering without prior written notice by a three-fourths vote of those present and voting. Any such proposed amendments must be submitted in writing. Section 4 These Bylaws may be suspended at an Annual Gathering by a two-thirds vote of those present and voting provided notice of such suspension has been submitted in writing to the members thirty (30) days prior to the Annual Gathering. Article IX – Quorum The quorum for an Annual Gathering of the Presbyterian Women in the Presbytery (PWP) of Greater Atlanta shall represent at least one-fourth of the Congregational PW’s groups in the Presbytery of Greater Atlanta. Article X – Dissolution In the event the Presbyterian Women in the Presbytery (PWP) of Greater Atlanta disbands, after all duties and obligations have been met, the monies remaining in the treasury shall be sent to the Treasurer of the PW Churchwide Coordinating Team (PW CCT). Article XI – Standing Rules PWP CT may adopt Standing Rules in conjunction with the Bylaws. Article XII – Parliamentary Authority Robert’s Rules of Order, Newly Revised, shall govern PW in all cases to which they are applicable and to which they are not inconsistent with these Bylaws and the current edition of the Book of Order of the PC (USA)

1. Presbyterian Women in the Presbytery (PWP) of Greater Atlanta may take an offering for a specific purpose at the Annual Gathering. The PWP Coordinating Team (PWP/CT) shall approve this purpose in advance of the Annual Gathering.

2. Mileage for authorized expenses shall be reimbursed at the rate reflected in the Annual PWP Budget.

3. Courtesies a. Illness: A get well card shall be sent by the Vice-Moderator/Spiritual Growth to a PWP/CT

leader who is hospitalized or who is confined at home. b. Death of a PWP/CT Leader: A Memorial gift of $50.00 shall be made in the deceased

leader’s name and an acknowledgment sent to the family of the deceased. Guided by the family’s wishes, the Moderator will designate the receiving organization, and will direct the Treasurer to proceed accordingly.

c. Death of an immediate family member of PWP/CT: Upon the death of an immediate family member, a card of condolence shall be sent to the leader by the Secretary. (“Family” shall be interpreted as husband, parent, guardian, siblings, child or others living in the leader’s household.)

d. Outgoing Moderator gift: At the end of the PWP Moderator’s term, an Honorary Life Membership or appropriate gift shall be presented to the Moderator by the Moderator-Elect, to be paid for with the PWP budget.

4. Reimbursement: PWP/CT Leaders may be reimbursed as follows for reasonable expenses related to carrying out their duties and responsibilities:

a. Mileage to and from training events, district church events, and worship services. b. Cost of supplies (envelopes, paper, etc.) c. Printing charges – exercise good stewardship; only print what is necessary. d. Postage

5. PWP/CT Leaders shall not accept personal financial honorariums for executing their duties.

6. Scholarship Guidelines: a. For all scholarships awarded, the money shall be reimbursed after the event and with

appropriate verification of attendance. A written summary of the experience shall be submitted to the PWP/CT within 30 days of her return.

b. All scholarship recipients shall agree to be available for speaking engagements upon request (at both local churches and presbytery events) for at least 12 months after the event. No personal financial remuneration is to be accepted, although reimbursement for mileage by the requesting entity is appropriate.

c. Scholarship recipients should not be eligible for funds two years in a row, unless there are extenuating circumstances.

d. If financial need necessitates scholarship funds prior to an event, the Finance Committee shall establish appropriate terms with the recipient.

7. Events and Stewardship: a. Events hosted or sponsored by the PWP/CT should be pre-approved well in advance by the

PWP/CT and organized by an ad hoc committee (minimum 3 Coordinating Team members), normally at least two CT meetings prior to the event date.

b. Every effort to stay within the established budget should be made. c. The PWP/CT will not pay usage fees (including, but not limited to space rental, parking

attendants, servers, and security personnel) to host an event, as there are plenty of church facilities in our presbytery that willingly offer theirs for free. An exception is for an overnight retreat which includes lodging and requires conference rooms.

d. A meal is not necessary at any event which lasts less than 4 hours. e. The PWP/CT does not pay for a caterer to supply food – many PW groups will provide

refreshments if asked. If a caterer or other source is used, the cost is to be passed on to the attendees.

f. Asking attendees for a nominal fee or donation is appropriate – it encourages a commitment to attend and facilitates adequate preparations.

8. Duties and Responsibilities of Coordinating Team (CT) Leaders:

ELECTED LEADERS

a. Moderator i. Preside at all meetings of the Presbyterian Women in the Presbytery Coordinating Team

(PWP/CT) and the Annual Gathering. 1. Prepare and distribute an agenda to PWP/CT leaders for all meetings at least 3

days prior to the meeting. ii. Serve as a member of PW Synod CT. iii. Attend PW Synod and PW Churchwide Gatherings as our presbytery’s voting

representative. 1. Appoint additional voting representatives to PW Synod Gatherings as instructed

by the PW Synod CT and to PW Churchwide Gatherings as instructed by the PW Churchwide Coordinating Team (CCT).

iv. Serve as a member of the Presbytery Council of the Presbytery of Greater Atlanta, and attend Presbytery meetings as a voting commissioner.

v. Communicate information to PWP/CT leaders from Presbytery, Synod and Churchwide. vi. Provide and present written Annual Report to PW at Annual Gathering and to the

Executive Presbyter and Stated Clerk of the Presbytery of Greater Atlanta no later than March 31st of each year.

vii. Be knowledgeable about CT job descriptions and arrange orientation/training with the Leader Development and/or Vice-Moderator, and District Leader Training with the District Leader Coordinator.

viii. Write articles for PathWays, and submit by the editor’s deadline. ix. Serve as ex-officio member of all committees, except Search. x. Serve as chair of the Administrative Committee. xi. Develop a long-range planning program with the CT, as appropriate. xii. Appoint a PWP/CT leader to be responsible for “electronic communications” duties:

management of our webpage on the presbytery’s website, providing timely posts on our FB page, keeping our electronic calendar updated, et. al.

xiii. Receive and respond to correspondence. xiv. Appoint leadership positions and committee members as specified in the bylaws. xv. May appoint a parliamentarian at meetings. xvi. At year end, appoint an Audit Committee, including a Chair, of at least three (3) persons. xvii. Maintain files and records to pass on to successor.

b. Vice-Moderator/Spiritual Growth

i. Attend all meetings of the Presbyterian Women in the Presbytery Coordinating Team (PWP/CT) and the Annual Gathering.

ii. Preside at all meetings/gatherings in the absence of the Moderator. iii. Become familiar with all of the responsibilities of the Moderator, and assume the Office

of Moderator in the event the Moderator is unable to serve.

iv. Represent Presbyterian Women (PW) as requested by the Moderator. v. Be responsible for the logistical arrangements of Coordinating Team (CT) meetings and

other PWP Gatherings. vi. Provide a prayer and devotional for PWP/CT meetings. vii. Be informed about spiritual growth resources and share these with the PWP/CT leaders. viii. Promote use of PW Bible Study and prayer groups. ix. Maintain contact with all PWP/CT leaders and shepherd those with prayer requests and

concerns. Inform PWP/CT leaders of prayer requests and concerns. Send a get well or concerns card as appropriate.

x. Collect and present Credentials and Attendance Reports of gatherings, retreats, and workshops. If collecting this data is more appropriately accomplished by the event coordinator, the Vice- Moderator shall offer assistance.

xi. Serve on the Administrative Committee. xii. Serve on the Finance Committee. xiii. Maintain files and records to pass on to successor.

c. Moderator-Elect

i. Attend all meetings of the Presbyterian Women in the Presbytery Coordinating Team (PWP/CT) and the Annual Gathering.

ii. Become knowledgeable of all responsibilities of Moderator. iii. Represent PW as requested by the Moderator. iv. Attend leadership and training opportunities to build a network of women to be resources

when serving as Moderator. v. May be invited by Moderator to meetings that will acquaint her with her future office. vi. Serve on the Administrative Committee.

d. Secretary

i. Attend all meetings of the Presbyterian Women in the Presbytery Coordinating Team (PWP/CT) and the Annual Gathering.

ii. Keep accurate minutes of all PWP/CT meetings and submit for approval. A copy of the minutes should be sent to the Moderator within two weeks following the meeting, and to the PWP/CT leaders soon thereafter.

iii. Provide minutes of Annual Gathering for approval and for publication in the Yearbook within two weeks of the event.

iii. Gather and maintain written and pictorial history of all activities related to Presbyterian Women in the Presbytery.

iv. Create a consolidated Annual Historical Report of PWP and submit to the PWS Historian at the prescribed time. Forward a copy of this report to the archives at Columbia Theological Seminary.

v. Maintain files and records to pass on to successor.

h. Moderator of Search Committee i. Attend all meetings of the Presbyterian Women in the Presbytery Coordinating Team

(PWP/CT) and the Annual Gathering. ii. Have a thorough knowledge of all PWP positions. iii. Administer the Search Committee and convene meetings as necessary. iv. Maintain a data base of names of women who have been submitted for leadership

positions. v. Present the names of women called to PWP leadership positions at the PWP/CT

registration; planning and working with host location. iv. Provide written evaluation of annual workshops to the PWP/CT within one month after

the workshop event. v. Research useful leadership advice and share with the Coordinating Team (CT)

leadership at PWP/CT meetings. vi. Maintain files and records to pass on to successor.

k. Missions Coordinator

i. Attend all meetings of the Presbyterian Women in the Presbytery Coordinating Team (PWP/CT) and the Annual Gathering.

ii. Be informed and provide information about local and global mission projects to the PWP/CT leaders.

iii. Promote local involvement. iv. Provide information about special mission projects as they arise, including “Together in

Service.” v. Encourage participation in and support of PW’s USA Mission Experience and PW’s

n. Justice and Peace Coordinator

o. Search Committee Member

ii. The work of the Search Committee is an ongoing process. iii. Meet and mingle with Presbyterian Women at a variety of PW events. Network as much

as possible and contribute to the data base of candidates for PW leadership. iv. Under the direction of the Search Committee Moderator, participate in the evaluation

process with other Search Committee Members. v. Identify possible candidates and determine who might be an effective recruiter for each

nominee. vi. Maintain files and records to pass on to successor.

APPOINTED LEADERS – MISSION PARTNER LIAISONS

p. Atlanta Ministry with International Students (AMIS) i. Attend all meetings of the Presbyterian Women in the Presbytery Coordinating Team

y. PathWays Editor

PathWays is the newsletter of Presbyterian Women in the Presbytery of Greater Atlanta. It is published quarterly, in February, June, September, and December.

i. Attend all meetings of the Presbyterian Women in the Presbytery Coordinating Team (PWP/CT) meetings and the Annual Gathering.

ii. Gather information which should be included in PathWays. iii. Collect articles from PWP/CT members and others. Solicit information from appropriate

sources. iv. Compile articles and lay-out newsletter using Microsoft Publisher or similar software. Edit

document to insure accuracy and readability.

v. Maintain electronic list for email distribution to PWP/CT, PWC leaders, and other constituents of PWP. (File should be converted to .pdf format before sending by email).

z. Spiritual Retreat Coordinator

i. Attend all meetings of the Presbyterian Women in the Presbytery Coordinating Team (PWP/CT) meetings and the Annual Gathering.

ii. Plan and host an annual spiritual retreat to which all women are welcome and encouraged to attend.

iii. Chair a committee of at least three (3), for theme and program; publicity, budget and registration; planning and working with host location.

iv. Provide written summary and evaluation of retreat to the PWP/CT within one month after the retreat.

v. Maintain files and records to pass on to successor.

aa. Yearbook/Directory Editor

The Yearbook/Directory is the information resource for Presbyterian Women in the Presbytery of Greater Atlanta. The Yearbook is published annually in April. The Directory is published annually in August.

i. Collect updates from PWP/CT Moderator and Treasurer for the Yearbook. The updates

include: A. PWP/CT Calendar B. Moderator’s Report to the Presbytery C. Financial Report D. Budget E. Audit Committee Report F. Synod of South Atlantic Coordinating Team roster G. Annual Gathering Minutes

ii. Collect updates from the District Leaders for the Directory. The updates include: A. Church name, address, phone number, email, pastor(s), and website B. Coordinating Team roster for each PWC group’s Moderator (or Co-Moderators),

Vice-Moderator (or Rising Moderator), Secretary, Treasurer, and Historian iii. Compile the information, send to PWP/CT for review, and then finalize. iv. Build email distribution list from church directory, and share with PathWays Editor. v. Distribute electronic file to PWP/CT and provide file to be posted on the presbytery

website. vi. Printed copies shall be made upon request for those women without internet access. vii. Maintain files and records to pass on to successor.

9. Approval and Amendments a. Approval of these Standing Rules and subsequent amendments shall require a majority vote

of the current PWP/CT with a two-week notice, or a two-thirds vote without notice. b. Dates of approval/amendments shall be included as part of this document. c. Standing Rules may not conflict with the approved PWP bylaws.

These Standing Rules were approved by the PWP/CT on May 6, 2017.
