It’s time to start thinking about which health care plan you will elect for 2019, and now is a great time to see if a spending account is right for you! Employees have the option to elect three kinds of Flexible Spending Accounts or a Health Savings Account during open enrollment with account eligibility being based on your elected plan. Visit our Flexible Spending Account Page and our Health Savings Account Page to see if there is an option that works for you! 9/18 - Open Enrollment Materials Are Coming! Update HRMS and Go Green! Open Enrollment is quickly approaching and the Office of Total Rewards is getting ready to increase communications! Employees can expect to see specific Open Enrollment announcements via email, mail, and articles in @Rochester and URMC This Week. To help make sure we are reaching all employees, we are asking you to check and update your address and email in HRMS by using the self-service panel. We encourage employees to Go Green and receive their benefits-related mailings electronically by using the link on the bottom right side of your HRMS home page. Questions? for open enrollment webinars and Q&A sessions. Stay tuned as the open enrollment website will go live later this month. 10/10 - Open Enrollment is Less Than a Month Away What you need to know about open enrollment for 2019 benefits:

• Open enrollment is November 1–15. • Materials will be sent to mailboxes and inboxes next week. • The Office of Total Rewards offers many opportunities for employees to learn about their

benefit elections. Check out the Q&A, webinar, and help session schedule and visit the Total Rewards website next week to view the open enrollment web page, containing the information you’ll need.

10/16 - Open Enrollment Tip: Attend a Webinar Open enrollment is two weeks away and the Office of Total Rewards will be hosting five Open Enrollment Webinars. The webinars are conveniently scheduled during the lunch hour (12-1p.m.), review the benefits and enrollment processes, and have a chat feature, allowing you to ask your questions live! The first webinar will be held on October 30th and you must register ahead of time. 10/17 - Open Enrollment Website Now Available The Open Enrollment Website for 2019 benefits elections is live! The site includes all the information you need to make the most informed benefit elections during open enrollment, 11/1-11/15. Helpful sections include:

• ALEX Tool: The tool helps give you a custom recommendation while explaining benefits terminology.

• FAQs: Enrollment can be overwhelming—FAQs can help answer your questions. • Communication: Looking for an email or article that you saw and can’t find? The section is

updated weekly to show all communication sent out. • Sessions and webinars: Leading up to and during Open Enrollment, the Office of Total Rewards

offer numerous ways that employees can help themselves to be the most prepared to elect their benefits.

10/18 - Upcoming Open Enrollment Q&A Sessions There are five upcoming open enrollment Q&A sessions for employees to drop in on and have their questions answered by members of the Total Rewards team and benefit vendors. See the dates below and click here for full location information and details on which sessions include vendor representatives.

10/22 - Have Questions about Open Enrollment?

The more informed you are about benefit options and the enrollment process, the more confident you’ll feel during open enrollment (November 1–22). Get informed at upcoming Q&A sessions, webinars, and help sessions, or by contacting ASKURHR by phone (275-8784) or email.

Please note the 10/22 @Rochester contained an error in the date and a correction was printed the next day. 10/23 - Open Enrollment Reminder: Session Today at River Campus Benefits Representatives will be on River Campus from 11am – 1pm today to speak with employees personally regarding benefit elections for 2019. Employees are encouraged to attend to get answers to their questions on Health Plans, Dental Plans, FSA, HSA, Life Insurance, VSP Vision, Hyatt Legal and Wellness Programs. The session will be held in Wilson Commons in the Bridge Lounge. If today’s session doesn’t work for you, not to worry, there are four more sessions you can attend. Check the schedule here and find the one that works best for you! 10/24 - Open Enrollment Reminder: Session Today at RTP Benefits Representatives will be at Rochester Tech Park from 11am – 1pm today to speak with employees personally regarding benefit elections for 2019. Employees are encouraged to attend to get answers to their questions on Health Care, Dental Plans, FSA, HSA, Life Insurance, VSP Vision, Hyatt Legal and Wellness Programs. The session will be held at 905 Elmgrove Road, Building 5, on the second floor and employees will need a valid UR badge for admission. If today’s session doesn’t work for you, not to worry, there are three more sessions you can attend. Check the schedule here and find the one that works best for you!

10/26 - Open Enrollment: Electing an HSA or FSA for 2019 Interested in having a flexible spending account (FSA) or a health savings account (HSA) in 2019? Learn about eligibility and if an HSA or FSA or is the best fit for you. If you had either account in 2018, you need to re-elect during open enrollment and designate your annual contribution. FSA and HSA election amounts from 2018 will not roll over to 2019; action is required. Open enrollment will be held November 1–15.

10/30 - Office of Total Rewards Update: Details on Open Enrollment, Fitness Classes

Where do you go to select your benefits during open enrollment? As open enrollment approaches, it’s important to know where to go to make your 2019 benefit elections. Keep in mind, health care, dental, life insurance, VSP Vision, and Hyatt Legal plans are all “roll-over” benefits, meaning that if you do nothing during open enrollment, your 2018 elections will automatically continue into 2019. To make elections, changes, or cancel coverage, you may use the following platforms:

• Health, dental, HSA and FSA elections: Complete through HRMS. Beginning November 1, your homepage will have an open enrollment button for you to click on to make these elections.

• Life insurance elections: Complete through Securian Financial. Starting November 1, go to your HRMS homepage and click on the Securian Financial button on the right side of the page.

• VSP Vision and Hyatt Legal Plans: Complete on YOURBenefitsExtras.com. Your HRMS homepage will also have a button that you may use to navigate to the correct site.

Where can you find a schedule for the upcoming session of free Well-U fitness classes? As a University employee, you have access to special wellness benefits, including free, at-work fitness classes. The next session of Well-U–sponsored fitness classes will be held November 12 to December 21, and you can view the upcoming class schedule on the Well-U fitness class page. Online registration for classes begins Tuesday, November 6, at 9 a.m. 10/31 - Open Enrollment Starts Tomorrow

Open Enrollment for 2019 benefit elections begins tomorrow. Still not sure what elections to make? Visit the Total Rewards tools and videos page for short videos; benefit descriptions; and ALEX, an interactive tool to help figure out the best benefit elections for you. Open enrollment for 2019 benefits starts today and employees have until November 15 to make their elections. Visit the open enrollment website to learn all your benefit options, or stop by Corporate Woods today for a Q & A session. If today’s Q&A session doesn’t fit into your schedule, there are two more sessions, plus webinars and help sessions coming up.

11/2 - Open Enrollment Webinars Can Help You Make Benefit Decisions

If you need help understanding benefit options, terms, and any other benefit-related topic during open enrollment, an open enrollment webinar can help. Attend a webinar live or on demand—whatever works best for your schedule. If you listen live, the chat box is available to ask your questions and have them answered live by a benefits representatives. View the webinar schedule and register to attend and check the Open Enrollment Website later today for the on-demand webinar to watch at your convenience.

11/5 - Open Enrollment: Q&A Session with Vendors This Week

The Office of Total Rewards will host two Q&A sessions (November 7 in Flaum Atrium and November 9 at Corporate Woods) for employees to attend to ask specific questions about their benefits. Representatives from Total Rewards and benefit plan vendors will be present to answer questions. Employees are encouraged to stop by to get their questions answered about 2019 health care and dental plans, HSAs, FSAs, life insurance, VSP Vision Care, and the Hyatt Legal Plan.

11/6 - Four Ways to Get Help with Open Enrollment

The Office of Total Rewards offers multiple ways to help employees navigate benefit elections:

• Q&A sessions: Get your questions answered by Total Rewards and vendor representatives. View the schedule here.

• Webinar: Listen on-demand through the Total Rewards website, or register to attend live. • Help sessions: In need of a computer or help with the online enrollment, visit a help session to

complete the online enrollment process. • Contact ASK-URHR at 275-8784 or email [email protected].

11/7 - Open Enrollment Help Session Today at Medical Center

Representatives from the Office of Total Rewards and benefits plan vendors will be in the Flaum Atrium from 10 a.m. to 2 p.m. for an open enrollment Q&A session. Employees can stop by at their convenience to have their open enrollment and benefits questions answered. No registration is required. If today’s session doesn’t work for you, there is one more Q&A Friday at Corporate Woods. 11/ 8 - Details about Open Enrollment Confirmation Messages

Employees are encouraged to put all open enrollment confirmation items in a safe and secure place for the plan year.

• HRMS will send an email confirmation for health, dental, FSA, and HSA elections. • For Securian, if you chose to receive information electronically, you will get an immediate email.

You will also receive a new or updated Certificate of Coverage in the mail in January if you have increased or decreased their coverage.

• For VSP and Hyatt Legal, you will receive an immediate confirmation email. You will also receive a VSP Evidence of Coverage and/or Hyatt Legal Plan Certificate of Coverage in the mail in January.

• In December, you will also receive a confirmation statement in the mail from the Office of Total Rewards that details all benefit elections.

11/9 - Open Enrollment Q&A Session Today

Representatives from the Office of Total Rewards and benefits plan vendors will be at Corporate Woods from 11 a.m. to 2 p.m. for an open enrollment Q&A session. Employees can stop by at their convenience to have their open enrollment and benefits questions answered. No registration is required. Parking is free.

10/31 - Open Enrollment Kicks Off Tomorrow! The Open Enrollment period runs Nov. 1-15 and this is the only time that (outside of qualifying events) employees can make changes to their benefits for the upcoming year. You can prep for your open enrollment elections by doing any of the following:

• Visit the Open Enrollment Website. Learn where you need to go to elect each benefit and which benefits roll over from year to year.

• Review your 2018 claims by visiting Aetna or Excellus. • Use ALEX—the interactive tool that uses your estimations on your upcoming year to help you

decide which plan may be your best fit!

ENROLL in your 2019 benefits If you'd like to keep the same health care, dental, life insurance, VSP Vision, and Hyatt Legal Plan elections as you had in 2018, no action is needed! Your 2018 coverage for these benefits will automatically roll over into 2019. Your 2018 FSA and HSA elections will NOT roll over into 2019. If you would like to begin or continue contributing to an FSA or HSA, you must enroll/re-enroll for 2019. All elections can be made via the HRMS homepage starting November 1st. Use the:

• 2019 Open Enrollment link to make health care, dental, FSA and HSA elections • Securian Financial link to make life insurance elections • YOUR Benefits Extras link to make VSP Vision Care or Hyatt Legal Plan elections

Email below was sent to employees who had an HSA in 2018 on Tuesday, October 30, 2018.

Your 2018 HSA election will not automatically roll over into 2019. If you are enrolling in the YOUR HSA-Eligible Plan for 2019, you are also eligible* to contribute to an HSA in 2019! Your 2018 HSA election will not automatically roll over

into 2019. If you would like to continue contributing to an HSA, you must re-elect a

contribution amount in HRMS during Open Enrollment.

University Funding

Eligible full-time faculty, staff, residents, and fellows earning less than $52,000 (salary

band 1) who enroll in the YOUR HSA-Eligible Plan will receive $200 (for single) or

$400 (for family) of University funding into their HSA account. You must certify your

eligibility on HRMS during Open Enrollment in order to receive funds. *Additional eligibility requirements apply

FAQs

1. What happens to the remaining money in my HSA at the end of 2018?

Unused funds in an HSA will roll over into your account for next year,

even if you switch health care plans.

2. Can I change my contribution amount later in the year?

Yes. Changes to an HSA annual contribution amount can be made at any

point throughout the year by submitting an HSA contribution form.

Your 2018 FSA election will not automatically roll over into 2019. If you would like to continue contributing to an FSA in 2019, you will need to re-

enroll and elect a contribution amount in HRMS during Open Enrollment

Types of Flexible Spending Accounts

There are three types of FSAs available to University of Rochester

employees: Health Care FSA, Limited Purpose FSA and Dependent Care

FSA.

1. Health Care FSA - Use to reimburse qualified out-of-pocket medical,

dental, prescription or vision expenses.

2. Limited Purpose FSA - Use to reimburse qualified dental or vision

expenses (cannot reimburse any out-of-pocket medical expenses until

the Tier 1 plan deductible has been met). You must be enrolled in the

YOUR HSA-Eligible Plan and contribute to an HSA in order to qualify

for a Limited Purpose FSA.

3. Dependent Care FSA - Use to reimburse daycare expenses for

eligible dependents.

FAQs

1. What happens to the remaining money in my FSA at the end of 2018?

You have until April 30, 2019 to submit reimbursement claims for

health, dental or vision expenses incurred during the 2018 Plan

Year. You may roll over up to $500 of unused funds from your 2018

Health Care or Limited Purpose FSA into the 2019 Plan Year. Any

unreimbursed 2018 funds exceeding $500 will be forfeited.

Unused funds in a Dependent Care FSA cannot be rolled over into

2019

2. Can I change my contribution amount later in the year?

You may not change your annual contribution amount unless you

experience a corresponding qualifying event. Take some time to

assess your anticipated medical expenses before electing a 2019

contribution amount during Open Enrollment.

How to Make Your 2019 Elections

Log in to HRMS (rochester.edu/people):

• Open Enrollment Button - use this to make health, dental, HSA and FSA elections • Securian Financial Button - use this to make life insurance elections • YOUR Benefits Extras Button - use this to make VSP Vision and Hyatt Legal Plan

Once you make your elections, be on the lookout for a confirmation email, notifying you that you successfully completed your enrollment. If you plan to make your elections while off-site, be sure to set up Duo, allowing you to access HRMS from non-University locations.
