The Exhibitor Showcase will be held from 8:00 a.m. – 6:00 p.m. as noted in the above Preliminary Conference Agenda above.

Exhibitor breakdown will be from 6:00 p.m. -7:00 p.m. on Saturday, September 21. Exhibitors are not permitted to begin breaking down their booth prior to 6:00 p.m.

Exhibitor Checklist Deadlines. q Friday, August 30, 2019 – Register exhibitor representatives on-line

Each exhibitor may bring up to two (2) representatives to be present at your booth, and they must be registered by this date. Click here to register your representatives. Additional exhibitor representatives are $75.00 each and should also be registered through the above link (by completing the form a 2nd time). You will be invoiced for the additional fees.

q Friday, September 6, 2019 – Gift Item approvals

All gift items for the tote bags must be approved prior to the Conference. To receive approval, please upload a .pdf (or other file type) of the item to gift item approvals. You will be notified within 2 business days of the approval status. Please review the Tote Bag Gift Item Guidelines on page 5 prior to selecting your gift item. Plan to ship 500 of the items. Please note that including a gift item in tote bags is available only to: · Conference Sponsors · Exhibitors who committed to exhibit prior to August 9, 2019. · Exhibitors who committed to exhibit after August 9, 2019, and have paid to include a tote bag gift item. · Organizations who have committed to pay for a tote bag gift item.

q Between Monday, September 16, 2019 -Wednesday, September 18, 2019 – All shipments to arrive at the hotel &

Credit Card Authorization Form sent to the hotel for Tote Bag Gift Items. When you fill out the shipping form on page 7 and return to the hotel, you will be sent a link to provide your credit card information for the hotel receiving fees. · Shipments that arrive prior to Monday, September 16th will incur additional storage fees. Costs, which are payable

by the exhibitor/tote bag gift item provider, are included in the guidelines on page 7 of this kit. · All exhibitor booth material shipments should arrive at the Philadelphia 201 Hotel between these dates. Please

use the RED shipping labels (print in color) located on page 11 for all exhibitor booth materials. These labels should be included on each package in addition to your FedEx/UPS shipping labels. Please read the shipping information on pages 7 in detail to understand the shipping process and costs. All shipments will incur handling fees from the hotel based on weight.

· All tote bag gift items are to arrive at the Philadelphia 201 between these dates. Please use the BLUE shipping labels (print in color) for all tote bag gift items. These labels are located on page 12. Tote bag gift items must arrive at the hotel by Wednesday, September 18th, to be included in the bags. Note that the costs for handling fees at the hotel and additional storage fees for tote bag gift items are payable by the tote bag gift item provider. You must complete and return the Credit Card Authorization Form to the hotel by Wednesday, 9/18, so that your tote bag gift items can be released to LBBC. See page 7 for more information.

q Wednesday, September 18, 2019 – Tracking information sent to LBBC.

· Please send tracking information for both exhibitor booth materials and tote bag gift items to [email protected] to assist in locating packages at the hotel. Be sure to include “Tracking Information – Exhibitor Materials (Company/Organization Name)” or “Tracking Information – Tote Bag Gift Items (Company/Organization Name)” in the email subject line.

· If you are unable to provide the pre-approved tote bag gift item, please email [email protected]. q Wednesday, September 18, 2019 – Exhibitor assignments

Exhibitor booth numbers will be sent via email by 6:00 p.m. EDT. All exhibit space is in Liberty C/D at Philadelphia 201 Hotel. Exhibitors are welcome to breakfast, and a boxed lunch will also be provided.

q Saturday, September 21, 2019 – Set-up & Exhibitor Showcase

Set-up and registration will begin at 6:30 a.m. in Liberty C/D. The Showcase opens at 8:00 a.m. If you would like your exhibitor materials delivered to your booth by 7:00 a.m., submit the Credit Card Authorization Form in advance. Items will not be delivered to your booth without a completed Credit Card Authorization Form on file. Handling fees are included on page 7.

Gift Items for Tote Bags - Guidelines Our goal is for attendees to receive fun, useful and informative items in the attendee tote bags. If you qualify to provide an item, please consider item selection, size and weight in determine your item. As this is a “gift bag” for attendees, brochures can be heavy and costly to ship and for attendees to carry, which could cause the attendees to leave the brochures behind. Instead, please consider providing a small gift item that includes your website address for attendees to reference. For the convenience of the attendees, we suggest avoiding any items that may be difficult for air travel. Gift items may include your branding, and we request that you provide 500 of the item. Some popular items with attendees have been; creams and lotions/dry skin or sun protection, anti-bacterial sprays, journals/pens, stress ball/Putty, journals/pens, dry shampoo, pashminas, essential oils, metal Straws and/or reusable silverware and hot/cold eye masks, etc. If you would like any suggestions, we are happy to help with ideas. Standard Booth A standard exhibit booth includes a 6’ x 30” table with skirting and a table cloth, 2 chairs and one small wastebasket. Receiving, Handling & Fees All inbound and outbound shipments are handled through the hotel shipping department. Please contact Avril Atherton at the hotel if you have any questions regarding your shipping and receiving needs. You can email Avril at [email protected]. Please carefully follow the package shipping label instructions provided on page 11-12. In addition to the main shipping label, each package must also be labeled with either the RED shipping label for exhibitor materials or the BLUE shipping label for tote bag gift items. Items that are not labeled properly may be difficult to locate and may not be accessible when needed. All shipments to the hotel will incur handling fees according to the fee schedule provided on page 7. You will need to complete the Credit Card Authorization Form in advance (for all tote bag gift item providers) to pay your handling fees to ensure that the hotel will release your gift items for inclusion in the tote bags. ALL FEES DUE MUST BE PAID TO RECEIVE YOUR PACKAGES. LBBC will not be responsible for receiving and handling fees for any tote bag gift items or exhibitor materials. Tote bag gift item shipments will not be released to LBBC if the provider has not submitted a completed Credit Card Authorization in advance. Additionally, shipments that arrive prior to Monday, September 16, will incur storage fees as noted in the information on page 7. Please check with your shipping carrier to clarify package arrival information. Carry-in Exhibitor Materials Exhibitors may carry-in their own exhibitor booth materials through the hotel main entrance. Once you enter the hotel through the main lobby entrance or from the parking garage, take the elevator to the floor labeled BR for Liberty C/D. Booth Services - Audiovisual, Internet & Power If you require booth services including audiovisual equipment (such as a monitor), internet and/or power, please complete and return the PSAV Audiovisual Exhibitor Services forms on pages 8-10. Please note that your booth number will not be available until the end of the day on Wednesday, September 18th. We will

provide booth numbers to the hotel when available so that they may coordinate the services ordered by individual exhibitors. **If you have specific questions regarding audiovisual equipment, internet or power, please contact Travis Barone with PSAV, at [email protected] or (215) 448-2942. Exhibitor Passport At the Conference, attendees will receive a card which lists each exhibitor in an individual box. Attendees will visit your booth and ask you to initial your organization’s box. You will receive a sharpie marker at your booth to initial the cards. Attendees can enter their completed cards in a prize drawing. Return Shipping from the Conference If you will need to ship exhibitor booth materials back to your organization/company after the conference, please bring your packing supplies and shipping labels and make sure that you have completed the Credit Card Authorization Form. All box(es) to be shipped out will need to be packed, taped and labeled by 7:00 p.m. on Saturday, September 21, and left in your exhibit area. Additional handling charges will apply based on the fee schedule on page 7 for “Incoming/Outgoing Shipments/Packages”. The packages will be shipped out to your company/organization on Monday, September 23. Parking The Philadelphia 201 Hotel offers valet parking as well as secure underground self-parking. The current pricing is $35.00+ tax for self-parking and $42.00+tax for valet parking. Questions?
