How to Contact Us During Camp
Please begin by calling the camp office or the Manager of Camp Programs at the numbers listed above. The Manager of Camp Programs is often out of her office during camp hours. Please leave a message and she will get back to you as soon as possible. If you are reporting an absence, alerting us of an early pick up, etc. please call the camp office. New for summer of 2019, we
have a camp cell phone that we will utilize only when the camp office is closed and in emergency situations. If you receive a call from the camp cell
phone, you can call back at 216-633-7292.
Camp Programs Here at Camp Cheerful, we offer year round camp programming. In the
summer months, we have three programs: Cheerful Day Camp, Overnight Camp, and Sensational Day Program. September through April we offer one
Respite weekend a month. For all camps, new attendees are required to attend an intake meeting with a staff member to ensure our camp is a good fit for their needs. The intake determines if the camper is accepted into the
program.
The success of our campers is centered on age-specific groups, excellent staff, a low counselor to camper ratio, and a wide variety of activities
tailored to meet each camper’s needs. Camp is a wonderful place where campers can build relationships with others and gain independence. We
encourage parents to send their camper to at least two consecutive weeks of summer camp. The longer they are at camp, the more experiences they
gain and the better our staff get to know your camper.
5
Camper Safety While one of our goals is to provide a memorable and fun experience for
your camper, our number one goal is camper safety! All of our policies are set in place to keep your camper safe while they are at Camp Cheerful. Please help us by following our procedures and policies to keep your
camper safe!
Forms The forms you received either in the office or in the mail are extremely
important and required for your camper to attend programs. Please read through all of the forms and completely fill them out. Forms include: o Medical Forms Packet
o Family portion and physician portion (physical must be completed by a physician)
o Releases and Authorizations Packet o If you do not wish for your camper to participate in
equine and swimming, please write “Refused” on the form and complete by signing and dating.
o Camp Cheerful’s Policies and Procedures Packet All forms must be returned to the Camp Office two weeks prior to the start
of your camper’s session. If you are missing any of the forms aforementioned, they can be found on
our website at: AchievementCenters.org/campcheerful-forms
or call the camp office at 440-238-6200. Campers will not be permitted to stay at camp if any of the forms are incomplete or missing.
Keep Us Informed
Please keep the Office Manager informed of any changes in address, phone numbers, etc. If you are out of town, it is your responsibility to inform us to best reach you in case of an emergency or provide an alternate contact. If you plan to pick your camper up early, please alert the Manager of Camp Programs or a Coordinator at check-in, so we can have your camper ready
on time. If someone who is not listed on the releases will be picking up your camper, please provide a written note at check-in or e-mail the Manager of
Camp Programs a week in advance. They will need to bring photo identification with them at pick-up.
Furthermore, please update us on changes in your camper’s world. It is extremely beneficial for us to know anything that may be affecting your
camper, such as medication changes, behavior changes, illness of a family member, separation of parents, issues with another camper, etc.
6
Cancellations Before Camp Begins If a camper is not able to attend a registered session, the Office Manager or
the Manager of Camp Programs must be notified in writing within two weeks of the start of the session. The application fee paid at the time of
enrollment is non-refundable. The remainder of the camp fee is refundable for cancellations that occur 14 days prior to the session start date.
Late Cancellations and No Shows
In the event that a camper cancels less than 14 days in advance of the session start date or is a no-show at check-in, the camper/guardian will be charged half of the session fee. If the session was to be charged to a third
party funding source, the camper/guardian will be charged half the session fee. If a camper must cancel late due to illness, they will receive a refund if
they provide a note from their healthcare provider within 14 days of cancelling.
Leaving Camp Prior to the End of the Session
Campers who leave early due to illness will receive a refund if they provide a note from their healthcare provider within 14 days. Campers who leave
camp early for reasons other than illness will be charged a full session fee. If the session was to be charged to a third party, the portion the camper did
not attend will be charged to the camper/guardian.
The Staff Many of our camp counselors are college students who are working toward obtaining their degrees in the human services field. These individuals have
dedicated themselves to ensuring your camper has a fun, safe, and memorable time while at camp. Coordinators are typically individuals who
have worked for Camp Cheerful in the past or those who show strong leadership skills. They assist the Manager of Camp Programs in ensuring
camp runs properly. For a person to become a member of the Camp Cheerful Staff, they must:
1. Pass the initial screening of applications. 2. Participate in interviews, in many instances multiple interviews. 3. Pass a pre-employment drug screen. 4. Pass background screenings including fingerprints and online
registry checks. 5. Demonstrate a strong work ethic and a good attitude. 6. Show they are dedicated to serving others. 7. Successfully complete our intensive training week.
Please remember, these individuals are learning about the campers and trying their best, but we may have teachable moments along the way. If you
have feedback or suggestions, please share them with the Manager of Camp Programs. Do not speak directly with your camper’s counselor.
7
Behavior Management It is extremely important to us at Camp Cheerful that all campers feel safe while they are here with us at Camp. Some of our campers do have self-
injurious or other various behaviors and it is the goal of Camp Cheerful to keep everyone safe. To do so, it is extremely important parents and
guardians are upfront with staff in regards to the behavior their camper may demonstrate prior to the start of the session. We also request that
behavior plans are sent to us after a camper has been accepted.
Staff members are trained to utilize positive reinforcement throughout the day. They are not permitted to use corporal or verbal punishment. Staff are
trained to be consistent in how they are managing behaviors with the campers. We recognize that misbehavior is often the way our campers communicate to us something is wrong. We truly care about how our
campers are feeling and we will do what we can to assist them.
Camp Staff will contact the guardians if the camper is acting disruptively and requires further support. During this conversation, the camp staff and
the guardians will work together to determine what appropriate steps should be taken. This may include a modified behavior plan, a parent
conversation with the camper, or removal from camp programs.
Campers who act out intentionally to hurt themselves, staff, or another camper will be sent home immediately at the discretion of the Manager of
Camp Programs. Bullying is not tolerated while at camp. If the behavior does not end after counselor, coordinator, and manager intervention, the
camper will be sent home.
Incident Reports If your camper comes home with an incident report, try not to panic! We
send home incident reports for a variety of reasons. These reasons include scraped knees, falls, minor injuries, behavioral issues, etc. We have a
Quality Assurance department that tracks all of our incident reports and will let us know if they identify a pattern.
An incident report is a way of letting parents and guardians know what happened and how your camper reacted to the situation. Typically, you will
only receive a call if something occurs that the camper would need to be picked up, due to an illness or injury.
If you have any questions in regards to an incident, please feel free to
contact the Manager of Camp Programs at 440-238-6200 ext. 224 or by e-mail at [email protected]
8
Communication About Camper’s Day Each day you will receive a sheet about your camper’s day, we refer to
these as “ADL sheets”. These are handed to parents/guardians at check out or put in the camper’s backpack if they ride transportation. Overnight
campers will receive an envelope of ADL’s at check-out.
Medication Check-In If your camper will be taking prescription or over-the-counter medications
while at camp, they must be checked in with the nurse and must be in their original containers. Please only send enough medication for the duration of the session. You will receive a Medication Administration Record (MAR) in your confirmation packet about a week prior to the start of sessions you have registered for. This MAR must be accurately filled out prior to arriving
for drop off. On the MAR include: 1. Name of medication as it is listed on the prescription bottle 2. Identify whether it is a tablet, capsule, cream, liquid, etc. 3. Dosage per tablet or capsule 4. Identify how the medication is given (the route); whether it is by
mouth, topical, etc. 5. What time the medication is to be administered
The nurse will keep a log indicating when the medication was administered and by whom. Prescribed medications will be administered as directed by
the physicians order on the prescription bottle. *See page 23 for an example of a completed MAR*
Illness and Injury
Camp will notify parents/guardians for a variety of health care reasons including: vomiting or diarrhea, a suspected sprain or broken bone, rashes, lice, seizures, and any other medical situation that requires care we are not able to provide. A nurse is on site 24/7 for overnight camp and an additional
nurse is usually on site during day camp hours. If the nurse determines that the camper needs to leave camp due to illness, the parent or guardian will be contacted. If they cannot be reached we will
call the emergency contact. The camper usually needs to be picked up within one hour of reaching the guardian/emergency contact.
Severe Allergies and Emergency Medications
If your camper has a severe allergy (whether they have an EpiPen or not), they will receive a red wrist band to wear while they are at camp. Your
camper’s counselor will be aware of allergies, but we want all camp staff to be aware of their allergy.
If your camper has emergency medications such as an EpiPen or Diastat, these need to be turned into the nurse at the beginning of each session and
will be returned to you at the end of the session. We will not keep the
9
medication between sessions. After the medication is turned into the nurse, the emergency medication will be placed into a red drawstring bag and will
be carried by their counselor throughout the day.
Check-In/Out Procedures All campers must be accompanied by a parent or guardian to check in. Do
not drop a camper off alone. Each program has their own check in/out procedures that are fully outlined on page 12 for Cheerful Day Camp, page
15 for Sensational Day Program, and page 18 for Overnight Camp.
When dropping off your camper, you will sign them in on the sign in/out sheet. At this point, you will be able to speak to the Manager of Camp
Programs or a Coordinator and then meet your camper’s counselor. At this time please feel free to share any tips/tricks or information about your
camper. When leaving camp, the person checking them out must also sign out on the sign in/out sheet. They will need to sign their name and identify
the time in which the camper left.
Security at Check Out If someone other than you is picking up your camper, please notify the
Manager of Camp Programs or the Coordinator at Check In. If they are not on the list of individuals authorized to pick up your camper, you will need to
stop in the office to add them to that list. If the office is closed, you will need to leave a note that is signed and dated. When it is the first time
someone is picking up a camper, we will ask for identification and compare against their file to ensure the camper is permitted to leave with that
individual. If there is any extenuating circumstance that a camper should not leave
with a parent, guardian, or someone who at one point was authorized to pick them up, please notify us of this situation immediately- both verbally
and in writing.
Alcohol, Drugs, and Tobacco Camp Cheerful is a drug and tobacco free environment. The use of alcohol
or drugs, legal or illegal, by campers, volunteers, or staff is strictly prohibited and will result in immediate dismissal from the property. If your camper uses tobacco products, arrangements can be made in designated areas. With smoking, there will be designated times arranged. It must be during downtime, as the counselor has other campers to care for during
activity times. Cigarettes and lighters must be turned into the Manager of Camp Programs at check-in and will be stored in a locked location.
10
Special Equipment We understand many of our campers may have special equipment such as
wheelchairs, strollers, communication devices, walkers, sensory equipment, etc. Please bring whatever items necessary throughout the camp day. If the item is large and cannot be carried (such as a walker), it will be stored in the
Great Hall until use. Please label these items with camper’s full name.
Pull-Ups and Briefs If your camper uses pull-ups or briefs, please send plenty of these with your
camper either in their backpack for Cheerful Day/Sensational or in their luggage for Overnight camp. Our staff is trained in how to change campers, both children and adults. We have scent-free wipes at camp, but if you have
a specific wipe brand you prefer are used for your camper, please send those wipes as well.
What Not to Bring
There are check-lists specific to each program towards the end of the handbook with the specific information about each program.
What should not be brought to camp are toys, electronics (unless utilized for communication), gaming equipment, money (to participate in Snack
Shack, all money must be turned in at Check-In to Manager of Camp Programs or a Coordinator), cell phones, or anything valuable to your
camper. If you choose to send these items, Camp Cheerful is not responsible for lost, stolen, or broken items.
Lost Items
Camp Cheerful is not responsible for lost clothing or other personal property brought from home. While the staff do their best to assist campers in keeping their belongings together, something may get left behind. Please do not send your camper to camp in new or their best clothing, as they may
not look new when they leave. Make sure all personal items, toiletries, bedding, and clothing are labeled with camper’s full name.
Lost and Found
There is a lost and found table located in the Great Hall. Please check the lost and found at check-out. All unclaimed items will remain in lost and found for one week following each session of camp. After one week, all
items will be donated to a charitable organization.
11
Snack Shack: Our Camp Store The Snack Shack is operated by the River Rock Adult Day Program clients and staff. The Snack Shack is usually open in the summer from 11:30 am-
1:30 pm on Monday-Thursday. Each program will have a designated time to purchase drinks and snacks from the Snack Shack. The Snack Shack offers a variety of items such as chips, fruit snacks, candy, freshly popped popcorn,
ice cream, slushies, flavored water, Gatorade, and more. The prices of items vary. We do not offer pop and will not be serving pop to campers.
In your confirmation packet you receive prior to each week of camp, there will be a Snack Shack form in which you are able to identify whether your
camper can participate in purchasing a treat from the Snack Shack and what items they are permitted to purchase. An envelope will be attached for
money to be put in. Forms will be collected Monday morning at check-in and any change remaining will be sent home with the camper Friday. If your camper is attending multiple weeks and you wish to send a larger amount
of money, please indicate on the form you would like to roll change into the next week. Each week a form will need to be signed in order for your
camper to participate.
Pre-Summer T-Shirt Sale If you are interested in purchasing a Camp Cheerful t-shirt, please print the
order form off of our website: AchievementCenters.org/campcheerful-forms
or pick up an order form in the Camp Office. On this form you will be able to see the design of the t-shirt. T-Shirts will be available for pre-order only from February 25th-April 19th purchase. If you miss the deadline, we will
have a small amount in limited sizing for purchase in the office. For your pre-order to be processed, the order form and payment must be
turned in by 4:00 PM on April 19th, 2019. *Campers only receive a t-shirt in an alternate color with the same design if
they attend session one of Cheerful Day Camp to wear on field trips*
Swimming Each summer camp program will have the opportunity to swim daily,
weather permitting. Our pool is heated, however, it must be at least 70 degrees outside in order for the pool to open for the day. If your camper is
not able to swim and should wear a life jacket while in the pool area, please be sure to mention it to their counselor. It should also be included in their application information, but we take safety around the pool very seriously!
If your camper regularly wears a pull-up or brief, they must wear a swim diaper or swim brief. Campers who typically wear pull-ups or briefs that do not have the appropriate swim wear will not be permitted in the pool that
day. Camp Cheerful does not provide swim diapers/briefs.
