Venue & Room Logistics
Registration
Venue & Room Logistics All session rooms will have the following:• All rooms setup in classroom style with 2 theater rows of
seating at the back
• Water Coolers are outside the room in the corridor. Water at the front of the room is for our speakers
• Podium, Screen (7.5x10), LCD projector and laptop (with pointer/slide advancer)
• Podium Microphone, 1 Lavalier, 1 hand-held microphone and 1 microphone on a stand for audience questions.
• House Sound is available for video presentations.
• Lighting & audio is controlled by the AV Concepts technician (see card on the laptops). Call or email, do not text them.
• Heating/Cooling is controlled by PCC, so text Lisa at 602.332.3174 with room number if this is an issue
• No Wi-Fi is available in the session rooms (only lobbies and exhibition hall will have wi-fi signal).

On-Site Help
• Laptops• Dealing with and Documenting
Technical Issues (e.g. big screen PPntnot advancing while laptop advances)
• Room 152 set aside for:
– Committee Meetings– ADEQ Small System Workshop– Student Design Competition
• Room 153 -154 set aside for the Career Fair
• Room 155 set aside as a Speaker Ready Room, but will also be used for AZ Water Board meeting on Thursday AM.
• We have access to a couple “show offices” for secure overnight storage of equipment, signage, etc.
• Registration will be in the South Ballroom Lobby
– On-site Check-in and on-site Registration, extra meal ticket purchase and pick up.
– All attendees will receive badge, lanyard, tote and program.
• Restroom Locations
– 2 sets off the lobby, 1 set off the ballroom lobby
– 2 sets at the back of the exhibition hall
– 1 set located behind the 150-154 session rooms
• Emergency Evacuation (fire alarm etc.)

Prior to the Conference
• Moderators were sent notification emails with a link to the duty checklist and FAQ sheet. Use the checklist! Read the FAQs.
• Moderators were provided speaker presentation templates. Work with your respective speakers and tailor the slides accordingly.
• Moderators were emailed instructions. Please read and follow the instructions.
• Moderators were emailed the moderator scripts. Memorize your scripts.
• At least one week prior to the conference, moderators must upload their speaker’s presentations to the conference website. The FAQ sheet includes instructions on how to do the upload.

At the Conference
Moderators and speakers are to check in early .
Moderators are to pick up Moderator Packet & Conference Materials
Speaker Ready Room (RM 155) will be available for speakers to practice.
Moderators and speakers are to maintain coordination.
• Have cell phone charged, on vibrate, and ready for verbal or text communication with PCC staff, late speakers, etc.
Moderator Packet Contents
• Contact #’s (Conf chair, AV, etc.)
• Moderator Instructions
• Speaker Warning Signs (5 min, 2 min, STOP!)
• Laser Pointer
• Clip Board
Presentation Logistics
• Follow the moderator script that you were provided.
• Read the Welcome Slide and scanning procedures slide then introduce the 1st speaker by reading the Bio Slide.
• Keep the program on time! Always maintain 20-5-5 minute schedule: (for numerous reasons including audience needs time to change rooms)
• Open floor for Audience Q&A and discussion:
• Facilitate audience questions
• Ask speaker to repeat question so everyone can hear it
• Thank speaker(s) with applause
• Introduce the next speaker(s) with Bio Slide.

Scanning Procedure for Accurate
PDH Certificate
• You are welcome to stay in a track for multiple sessions without scanning out.
• You MUST scan out for breaks and lunch or you will NOT receive credit.
• If you plan to stay in the room during a break, you must scan out, then scan back in.
• You will be emailed a link to your PDH certificate 20 to 30 days following the conference.
