WELCOME

On behalf the Australian Rehabilitation and Assistive Technology Association (ARATA) and the 2018 Conference Organising Committee, we have the pleasure of welcoming your organisation to participate in the 2018 Australian Assistive Technology Conference (AATC) as an Exhibitor and/or Sponsor.

AATC is the biennial conference hosted by ARATA. The conference aims to give assistive technology users, developers, and suppliers – and the health professionals, government bodies, funders and other stakeholders engaging with them – the opportunity to interact and network with peers, industry partners and friends. From the 14th to 16th of November 2018, Melbourne will host more than 300 delegates from across Australia to discuss the conference theme of Experiences, Opportunities and Innovations.

The 2018 conference marks 25 years of ARATA, the national peak body representing rehabilitation and assistive technology stakeholders. ARATA’s mission is to build and sustain an inclusive assistive technology community of practice. ARATA’s activities aim to advance rehabilitation and assistive technologies in Australia by supporting

and promoting best practice for rehabilitation and assistive technology provision. Our biennial conference key to building a national forum for information sharing and liaison between people who are involved with the use, selection, customisation, supply, research and ongoing support of rehabilitation and assistive technologies. One of the unique features of our ARATA membership base is the range of people involved in the use of AT as a result of their work or daily life. In the early stages of conference preparations, a key focus is to ensure inclusive access of the AATC 2018 venue for all attendees, and also to allow our exhibitors to display vehicles and other large equipment items that need specific access to a venue. The conference will be held at the newly expanded Melbourne Convention and Exhibition Centre, which offers the necessary requirements to best meet the needs of both delegates and exhibitors.

About 2018 Australian Assistive Technology Conference

The 2018 Australian Assistive Technology Conference will bring together over 300 delegates from a wide range of industry professions including assistive technology users, technology developers and providers, rehabilitation engineers, occupational therapists, physiotherapists, speech pathologists, nurses, psychologists, education specialists, University academics, government representatives and funders of assistive technology.

Assistive technology comprises products and services used to provide assistive solutions that, combined with opportunities for use in desired occupations, across multiple environments, and without prejudice, enable individuals’ functioning and participation1,2.

Assistive technologies (AT) are critical to the health and wellbeing of one in ten Australians, and national expenditure on AT exceeds $4.4 billion3. Enhancing inclusion by enabling participation benefits everyone in society, and advances in technology are transforming the lives of people of all ages by enabling greater participation in a broad range of activities4.

Conference OverviewThe 2018 Australian Assistive Technology Conference theme is Experiences, Opportunities and Innovations. This theme allows focus on the expertise of assistive technology users, developers and suppliers, as well as the burgeoning opportunities and innovations occurring in the field of assistive technology in Australia and internationally.

The program will include three days of international and national keynote presentations focused on assistive technology use across the lifespan (and within both community and rehabilitation settings), a breakfast meetings for all conference delegates, targeted workshops, platform presentations, and exhibition and equipment showcases. The delivery of conference content by experience assistive technology users will be central to the program.

The conference will be held in the eighth year of a 10-year National Disability Strategy in Australia. This strategy has been designed with a vision to achieve ‘an inclusive Australian society that enables people with disability to fulfil their potential as equal citizens’1. The conference program will examine progress towards achieving this strategy, as well as the work that remains in the area of assistive technology. Key policy reforms underway in Australia and internationally, including the areas of education, work, disability, aged care, and assistive technology standards will be central to programming, offering attendees a comprehensive professional development experience.

A key part of each AATC conference hosted by ARATA is the Day 2 breakfast session, running from 7.30am-9.00am. This session brings together all conference delegates and key industry partners to work together to produce a specific output of importance to the assistive technology sector.

In 2018, the breakfast session will be delivered collaboratively with Occupational Therapy Australia (OTA). Registration for this session will therefore be opened up for attendance by all OTA members (registering online as part of continuing professional development), in addition to AATC members.

The Exhibition is a major learning component for delegates attending the Australian Assistive Technology Conference, providing an excellent opportunity for companies to promote their products and services.

Running for the 3 conference days the exhibition space will be the main networking point for delegates with all catering and refreshment breaks to be held in the area.

All refreshment breaks will be held in the Exhibition area and reference to the Exhibition will be made throughout the Conference proceedings. A full exhibitor listing and floor plan will be published in the Conference program and website.

Exhibitor Tables

There are 10 exhibitor tables available. The Exhibition floor plan indicating table locations is provided on page 13. The table will be 1.8m x 0.9m wide and two chairs will be provided. One corporate banner can be displayed next to the table (no larger than 800mm wide). If power supply is required, please request this at the time of booking.

Exhibition DisplayIf you are interested in a display for larger products / equipment like accessible vehicles, this can be arranged. Please contact us to discuss your requirements – please note that approval is case by case. Packages including costs will be customised to your display requirements.

Each Exhibiting organisation will be able to purchase up to 2 additional Conference registrations for the cost of $500 ex GST.

The exhibition space will be the main networking

point for delegates.

Exhibition BoothsThere are 30 Exhibition booth spaces available. Secure your preferred booth early to obtain the best location and avoid disappointment, especially if you require multiple booths. Allocation of Exhibition booths will be done strictly on receipt of a completed application form.

Each booth will be erected by a professional exhibition contractor prior to set-up, and will include the following:

• 3m x 3m booth floor space, with walling 2.4m high

• A fascia banner featuring your company name (maximum 30 characters)

In 2018 the conference exhibition will run over the full 3 days of the conference with bump in for Exhibitors from Tuesday 13th of November 2018 at 1 pm to 5pm. The exhibition Hall will be open to delegates from Wednesday 14th of November until after the final afternoon tea break on Friday 16th of November. Bump out will occur following the final afternoon tea break on Friday the 16th of November.

These terms and conditions constitute a contract between you (‘the Exhibitor/Sponsor’), Australian Rehabilitation & Assistive Technology Association Inc. and All Occasions Group Pty Ltd (‘the Congress Organiser’) in relation to the Sponsorship and/or use of exhibition space at the 2018 Australian Assistive Technology Conference being held at the Melbourne Exhibition and Convention Centre (MCEC) in Melbourne, Australia from 14 to 16 November 2018 (‘the Congress’). By signing the application form you are indicating your acceptance of these terms and conditions. The expression ‘Exhibitor’ refers to an organisation using space in the Conference Exhibition.

Acceptance and Allocation

The Congress Organiser reserves the right to accept or reject any application at its absolute and unfettered discretion with the return of any deposit paid in the event of a rejection. Sponsorship and exhibition packages, which may be limited in number, will be generally allocated in the order of the receipt of application forms. Allocation of Sponsorship packages and booths regardless of the preference indicated, and alteration of the floor plan is at the discretion of the Congress Organiser, whose decision will be final.

Application and Payment

To confirm your acceptance of a Sponsorship or exhibition package please complete the Booking form at the back of this brochure and return to [email protected] and specify the package required. A confirmation letter will then be sent to you outlining the exhibitor or Sponsorship details, along with a tax invoice due within 21 days. If payment is not received by this date, the package will be released for re-sale. As spaces are strictly limited, returning a Booking Form does not guarantee a place as a Sponsor/Exhibitor. You will be contacted with a confirmation letter to confirm your acceptance as a Sponsor/Exhibitor.

Cancellation Policy

Cancellations will be accepted in writing only. A cancellation notice which must be received no later than 30 August 2018 will be subject to a 50% cancellation fee. Any cancellation notice received after 30 August 2018 will be subject to a 100% cancellation fee.

Legal Responsibility

The Australian Rehabilitation & Assistive Technology Association Inc., the Congress Organiser and the Melbourne Exhibition and Convention Centre (‘the Organisers’) accept no responsibility for any act, omission or other default on the part of the Exhibitor/Sponsor during or in connection with the Congress that results directly or indirectly in any loss, damage, personal injury or death. The Exhibitor/Sponsor agrees to indemnify the Organisers in respect of any claim and demands in respect thereof. The Exhibitor acknowledges that the Organisers are not responsible for any loss or damage

to the Exhibitor’s property and that all Exhibitor material and equipment is the sole responsibility of the Exhibitor. The Organisers will not be liable for any indirect or consequential damages arising out of a breach of this Exhibition/Sponsorship contract. In the event that the Congress or Exhibition is cancelled or delayed through no fault of the Organisers, including but not limited to fire, flood, labour disputes, natural disasters, acts of God, civil disorders, riots, insurrections, work stoppages, slowdowns or disputes, or other similar events then the Sponsor/Exhibitor shall not be entitled to any refund or any claim for any loss of damage.

Exhibitor Manual

An Exhibitor Manual outlining all technical aspects of exhibiting will be circulated no later than 3 months before the Congress. It will include the following:

• Technical details about the venue, final exhibition details and information.

• Contractor details services available to exhibitors and order forms.

Exhibitor Display Rules

• The Congress Organiser shall determine the hours during which the Exhibition shall be conducted and the hours of access for Exhibitors, including any variations of access times as may be necessary.

• The allocated exhibition booth must be staffed at all times during the exhibition and removal of any exhibition display must not commence until after the exhibition closes.

• All advertising material, such as banners, must be displayed within the designated booth area.

• Excessive noise that inconveniences other exhibitors or the congress must be avoided.

• Exhibitors must not obstruct aisles and walkways.

• While Exhibitors are encouraged to pursue novel methods of attracting people with their stand, practices disadvantaging other exhibitors or detracting from the Exhibition are not permitted.

Custom Stand

All custom stand designs must be approved by the Conference Organiser and Melbourne Convention and Exhibition Centre to allow for unrestricted views. Custom booths which aren’t open plan (for example a structure with one or more walls) may need to be located against the perimeter of the Exhibition.

Detailed Requirements and Due Dates:

• The Congress Organiser’s requirements regarding the artwork for logos and advertisements, specifications and delivery details for signage, arrangements for static display, delivery of satchel inserts or other arrangements will be sent to you in a confirmation letter at a later date with relevant due dates.

• Logos will be requested in both .jpg and .eps format, high resolution 300dpi. If logos in other formats are received, the Organiser are not responsible for the quality of the logos displayed in any of the promotional material.

• In the event that materials, information or artwork required by the Congress Organiser are not received by the designated due date, their use for their intended purpose cannot be guaranteed the Organisers are not responsible for any losses sustained as a result.

Partnerships

Nothing contained in the agreement will be deemed to constitute a partnership, joint venture or agency relationship between you and the Australian Rehabilitation & Assistive Technology Association Inc. and/or the Conference Organiser.

You must not do anything where you will, in any way, be represented that you are a partner of 2018 Australian Assistive Technology Conference and/or the Conference Organiser.

Registrations

Sponsors/Exhibitors are not permitted to attend Congress Sessions or Networking Functions unless the relevant tickets are offered as part of the particular Sponsorship or Exhibition package. Should Sponsors/Exhibitors wish to attend the Congress as a delegate or attend Networking Functions, the appropriate registration must be purchased. Specific Sponsor/Exhibitor registration online link will be sent out at a later date.

Sponsorship and Exhibition Packages

Please refer to the Sponsorship packages in this Sponsorship & Exhibition Proposal document. Any variations to the description of each package must be as agreed in writing with the Conference Organiser. Sponsorship and Exhibition entitlements will not commence until the Acceptance Form and deposit is received by the Conference Organiser.

Venue

The Sponsor/Exhibitor and the servants, agents, contractors and invitees of the Sponsor/Exhibitor are also to observe the rules, regulations and procedures as prescribed by the Melbourne Convention and Exhibition Centre.
