ASSIGNMENT OF SPACE AND PAYMENTAll booth contracts and applications are subject to review and approval by the NASRO staff and management, pursuant to the directive of the NASRO Board. All exhibit space will be allocated on a first-come, first-served basis. Confirmation of space request will be sent upon receipt of signed contract, approval and full payment. NASRO reserves the right to re-assign booth space if necessary at anytime for any reason. Payment in full is due within 30 days of the contract submission if paying by check. No exhibitors shall assign, sublet, or share the whole, or any part, of the space contracted with any other company without prior written consent of NASRO. All exhibit space requests are due by May 1, 2017.

BOOTH SPECIFICATIONSThe standard booth size is 10’ x 10’ (approximately 3.05m x 3.05m). Except for custom-size, or island displays, the booth price in this agreement provides installation, maintenance and removal of standard framing materi-als. The materials include a quality fabric, 8’ high flameproof backdrop; 42” high side divider rails; and an expertly lettered 7” x 44” exhibitor sign for each space. One six foot long table, two chairs and a wastebasket is included. The exhibit hall is carpeted.

EXHIBITOR NAME BADGESWe request that all badges be ordered through the exhibitor services kit. FREE BADGES: Each exhibiting company is entitled to three (3) free Exhibitor Badges per 10’ x 10’ booth. Exhibitor badges admit company representatives to the Exhibit Hall during scheduled installation and exhibit hours and at other times by prior arrangement. Exhibitors may pick up their badges at the registration desk on Sunday, July 23, 2017, 9:30 a.m. EXHIBIT HALL ONLY BADGES are available to exhibiting companies for additional representatives and permit entrance into the Exhibit Hall. The charge for each additional Exhibit Hall Only badge is $75 per representative.

INSTALLATION & DISMANTLINGInstallation of exhibits may commence on Sunday, July 23 at 9:30 a.m. All exhibitors must be fully assembled and ready for display no later than 2:00 p.m. on Sunday, July 23. Dismantling of exhibits may begin after 7:30 a.m. on Tuesday, July 25. All exhibits and materials must be totally removed from the exhibit hall no later than 12:00 p.m. on Tuesday, July 25. Dismantling and

packing to depart from the event during exhibit open hours including

optional hours will not be allowed. In the event of teardown during

exhibit hall and optional open hours, booth staff will immediately be

requested to cease teardown and be escorted from the exhibit hall.

OFFICIAL SERVICE CONTRACTORUpon receipt of your completed contract and payment in full, an Exhibitor’s Service Kit will be mailed or emailed to each exhibitor. This packet will include all necessary information and forms regarding shipping of displays, display rental, floor coverings, telephone service, electrical service & utilities, additional furniture and accessories, etc. April Moody, SS&G Management (985) 377-8800, [email protected].

CANCELLATIONExhibitors may reduce or cancel contracted space by submitting written notice to Jennifer Thornton at [email protected]. Such notice must be received and acknowledged by NASRO no later than May 1, 2017. Exhibitors canceling an entire exhibit space before March 1 shall be charged an administrative fee of 25 percent of the total cost of display space. Cancel-lation of contracted exhibit space between March 1 and May 1, 2017 will receive a 50 percent refund. No refunds will be made if written notice of cancellation or reduction is received after May 1, 2017. Sponsorship contri-butions are non-refundable.

CONFERENCE GUIDE AND OTHER PRINTED MATERIALAll advertising materials, company listing information and contracts for exhibit space must be submitted and acknowledged by May 1, 2017 for inclusion into the Conference Guide and other printed material. There is no guarantee an exhibitor's company information will be included in any printed material if the information is received after this date.

SECURITYNASRO will not be responsible for 24-hour security services at the Hotel. While every precaution will be taken, NASRO assumes no liability for lost or stolen items. The ultimate responsibility remains with the individual exhibi-tors to protect their property and appropriate protection and insurance should be arranged.

LIABILITYIn consideration for the opportunity to display services and products at an NASRO Conference and Exposition, Exhibitor, its officers, directors, agents and insurers, agrees to indemnify and hold harmless NASRO, directors, contractors, employees and agents and the Hotel from any loss, injury, suit, action or cause of action, or claim whatsoever resulting from any incident, accident, fire, theft or any claim or loss to any person claiming loss or injury, including any loss or damage to property of Exhibitor, its employees, agent or subcontractors, loss or injury to any manufacturer’s demonstration partic-ipants, their employees, agents, guests and general public. Said indemnifi-cation and agreement to hold harmless, NASRO, The Thornton Group LLC (TTG) and the Hotel, as aforesaid, shall include reimbursement for any costs, expenses and reasonable attorney’s fees incurred by indemnities. Further, any claim of damage to the property of the Hotel resulting in the immediate assessment of damages against NASRO and TTG from any act or omission of Exhibitor, its agents, employees, contractors and subcontractors, shall be immediately paid or assumed by Exhibitor. In addition, Exhibitor acknowl-edges that NASRO and TTG does not maintain any insurance to cover loss or damage to any property of Exhibitor. Exhibitors are advised to obtain commercial insurance to cover all losses and claims.

RESTRICTIONSNASRO reserves the right to determine the eligibility of a company or their product/service for inclusion in the exhibits, and reserves the right to restrict exhibits that, because of noise, method of operation, materials or for any other reason, becomes objectionable to NASRO. NASRO also reserves the right to prohibit any exhibit that, in the opinion of NASRO management, may detract from the general character of the exhibit show as a whole or offers the same or similar product/service currently provided by NASRO. In such event, any exhibitor terminated prior to expiration of the conference for cause shall not be entitled to a refund or be entitled to damages for any direct or in-direct expenses incurred by exhibitor. The exhibition of a compa-ny’s products or services within the NASRO Exhibit Hall does not represent an endorsement of those products or services by NASRO. No signs will be affixed by any means to the walls, doors or any other surface in the exhibit area. NASRO policy firmly restricts representation or an organization that has not been assigned an official exhibit booth from soliciting business and /or distributing promotional material of any type within the exhibit area or any other areas assigned to NASRO by the Hotel. No one is permitted into the Exhibit Hall during installation times except for authorized personnel (those with Exhibitor Badges) who are working or supervising the installa-tion of booth equipment or furnishings. This can be a dangerous time with crates, machinery, etc. Absolutely no children under the age of eighteen (18) will be admitted in the exhibit hall during installation or break down under any circumstances.

This exhibit contract incorporates the National Conference Rules & Regulations contained in the NASRO Marketing Guide and on NASRO’s website at www.nasro.org. We have read and understand the exhibit rules and regulations, and agree to abide by them and additional rules deemed necessary by the National Association of School Resource Officers (NASRO). Exhibit space is to be occupied solely by our organization in exhibiting our products or services at any NASRO event. Booths may not be shared or sub-let. Exhibitor agrees to hold NASRO and TTG harmless from any liability, loss, or claim during any NASRO event. All applications are subject to review and approval by the NASRO staff and management, pursuant to the directive of the NASRO Board before any application is accepted and approved.

Bernie James, J.D., Professor of LawBernie James, a professor at Pepperdine University, is a contributing editor to the NASRO Jour-

nal of School Safety. He specializes in Civil Rights, Constitutional Law, and Education Law, and

is author of the textbook Education Policy and the Law: Cases and Commentary and numerous

articles on law, education, and religion. He lectures in the United States and Canada on consti-

tutional issues, and serves as a commentator for the national and local media discussing U.S.

Supreme Court decisions.

Kristina Anderson, Virginia Tech Survivor and Founder of Koshka Foundation for Safe SchoolsKristina Anderson is a survivor of the Virginia Tech tragedy and the founder of Koshka Founda-

tion for Safe Schools, a non-profit which creates resources and content for raising the level of

awareness toward campus safety for students, parents and educators. The foundation also

works to provide resources and support for survivors of trauma.

Frank DeAngelis, Retired Columbine High School PrincipalFrank DeAngelis was a staff member at Columbine High School in the Jeffco School District in

Littleton, CO, since 1979, starting as a Social Studies teacher and filling the roles of Assistant

Principal, Dean of Students, Assistant Football Coach before becoming the Principal in 1996.

He retired in June 2014 after 35 years at Columbine High School. Frank has been involved in

numerous professional activities and associations, and has received multiple awards for his

coaching and leadership skills. He is presently serving as a consultant for safety and emergen-

cy management for Jeffco School District and continues to speak about recovery after a school

tragedy at a variety of conferences, and has assisted as a consultant after a number of other

violent school events.

ASSIGNMENT OF SPACE AND PAYMENTAll booth contracts and applications are subject to review and approval by the NASRO staff and management, pursuant to the directive of the NASRO Board. All exhibit space will be allocated on a first-come, first-served basis. Confirmation of space request will be sent upon receipt of signed contract, approval and full payment. NASRO reserves the right to re-assign booth space if necessary at anytime for any reason. Payment in full is due within 30 days of the contract submission if paying by check. No exhibitors shall assign, sublet, or share the whole, or any part, of the space contracted with any other company without prior written consent of NASRO. All exhibit and sponsorship requests are due by March 1, 2017.

BOOTH SPECIFICATIONSOne six foot long draped table and two chairs will be provided. The exhibit hall is carpeted. The exhibit hall will be in prefunction space outside the Wynfrey Ballroom, 2nd floor.

EXHIBITOR NAME BADGESWe request that all badges be ordered through the exhibitor services kit. FREE BADGES: Each exhibiting company is entitled to two (2) free Exhibitor Badges per reserved exhibit space. Exhibitor badges admit company representatives to the Exhibit Hall during scheduled installation and exhibit hours and at other times by prior arrangement. Exhibitors may pick up their badges at the registration desk on Sunday, May 7, 2017, 12:00 p.m.

INSTALLATION & DISMANTLINGInstallation of exhibits may commence on Sunday, May 7 at 12:00 p.m. All exhibitors must be fully assembled and ready for display no later than 3:00 p.m. on Sunday, May 7. Dismantling of exhibits may begin after 12:00 p.m. on Tuesday, May 9. All exhibits and materials must be totally removed from the exhibit hall no later than 3:00 p.m. on Tuesday, May 9. Dismantling and

packing to depart from the event during exhibit open hours will not be

allowed. Other dismantling hours may be arranged with show manage-

OFFICIAL SERVICE CONTRACTORUpon receipt of your completed contract and payment in full, an Exhibitor’s Service Kit will be emailed to each exhibitor. This packet will include all necessary information and forms regarding shipping of displays, display rental, floor coverings, telephone service, electrical service & utilities, additional furniture and accessories, etc.

CANCELLATIONExhibitors may reduce or cancel contracted space by submitting written notice to Jennifer Thornton at [email protected]. Such notice must be received and acknowledged by NASRO no later than March 1, 2017. Exhibitors canceling an entire exhibit space before March 1 shall be charged an administrative fee of 25 percent of the total cost of display space. Cancel-lation of contracted exhibit space between March 1 and May 1, 2017 will receive a 50 percent refund. No refunds will be made if written notice of cancellation or reduction is received after May 1, 2017. Sponsorship contri-butions are non-refundable.

PRINTED MATERIALAll advertising materials, company listing information and contracts for exhibit space must be submitted and acknowledged by March 1, 2017 for inclusion into any printed material or to receive sponsorship recognition. There is no guarantee an exhibitor's company information will be included in any printed material if any information is received after this date.

SECURITYNASRO will not be responsible for 24-hour security services at the Hotel. While every precaution will be taken, NASRO assumes no liability for lost or stolen items. The ultimate responsibility remains with the individual exhibi-tors to protect their property and appropriate protection and insurance should be arranged.

LIABILITYIn consideration for the opportunity to display services and products at any NASRO Event, Exhibitor, its officers, directors, agents and insurers, agrees to indemnify and hold harmless NASRO, directors, contractors, employees and agents and the Hotel from any loss, injury, suit, action or cause of action, or claim whatsoever resulting from any incident, accident, fire, theft or any claim or loss to any person claiming loss or injury, including any loss or damage to property of Exhibitor, its employees, agent or subcontractors, loss or injury to any manufacturer’s demonstration participants, their employees, agents, guests and general public. Said indemnification and agreement to hold harmless, NASRO, The Thornton Group LLC (TTG) and the Hotel, as aforesaid, shall include reimbursement for any costs, expenses and reasonable attorney’s fees incurred by indemnities. Further, any claim of damage to the property of the Hotel resulting in the immediate assessment of damages against NASRO and TTG from any act or omission of Exhibitor, its agents, employees, contractors and subcontractors, shall be immediately paid or assumed by Exhibitor. In addition, Exhibitor acknowledges that NASRO and TTG does not maintain any insurance to cover loss or damage to any property of Exhibitor. Exhibitors are advised to obtain commercial insurance to cover all losses and claims.

RESTRICTIONSNASRO reserves the right to determine the eligibility of a company or their product/service for inclusion in the exhibits, and reserves the right to restrict exhibits that, because of noise, method of operation, materials or for any other reason, becomes objectionable to NASRO. NASRO also reserves the right to prohibit any exhibit that, in the opinion of NASRO management, may detract from the general character of the exhibit show as a whole or offers the same or similar product/service currently provided by NASRO. In such event, any exhibitor terminated prior to expiration of the conference for cause shall not be entitled to a refund or be entitled to damages for any direct or in-direct expenses incurred by exhibitor. The exhibition of a compa-ny’s products or services within the NASRO Exhibit Hall does not represent an endorsement of those products or services by NASRO. No signs will be affixed by any means to the walls, doors or any other surface in the exhibit area. NASRO policy firmly restricts representation or an organization that has not been assigned an official exhibit booth from soliciting business and /or distributing promotional material of any type within the exhibit area or any other areas assigned to NASRO by the Hotel. No one is permitted into the Exhibit Hall during installation times except for authorized personnel (those with Exhibitor Badges) who are working or supervising the installa-tion of booth equipment or furnishings. This can be a dangerous time with crates, machinery, etc. Absolutely no children under the age of eighteen (18) will be admitted in the exhibit hall during installation or break down under any circumstances.
