Dear wedding couple On behalf of Askari Game Lodge & Spa we would like to congratulate you on your engagement, and to
thank you for considering us as a venue for your Big Day.
The four star Askari Game Lodge, this just over an hour from Johannesburg, Pretoria and Rustenburg, offers
so much more than just another wildlife experience. Aside from being surrounded by tranquil bush veld
environment teeming with wildlife and rich in history, you will be pampered at every turn by our willing,
friendly and dedicated staff.
Askari Lodge with its Big 5 and proudly South African flavour, has carved a niche in the international market

Our Wedding Package is designed to assist you in planning a perfect Wedding Ceremony and
Reception. We will work hand in hand with you to ensure that all the arrangements are done in
accordance to your wishes. As the reception is a major part of your wedding day, it is the quality of the
food and drink, its presentation and the overall standard of service that helps to make the day
memorable. At Askari Game Lodge & Spa we fully appreciate this, and employ our wealth of
experience, matched with personal service, to ensure you enjoy a day to remember.
During your initial visit to view our facilities we will discuss with you, over tea or coffee, the general detai ls
of your day. By the end of your second visit we will have covered all the arrangements for the day, from
the approximate time of arrival through to the colour of the napkins. If you feel that further meetings are
needed to resolve any uncertainties or problems, we will be happy to meet again. This means that if you
decide to use Askari Game Lodge you are safe in the knowledge that your reception is in the best hands,
and that you are free to deal with all those other important wedding day matters.

“I want to express a BIG thank you to Andre for all that he did to ensure that the day was a
success. It isn’t an easy task when the bride and groom live in London. Andre is a true professional
and the personal attention he put into everything was very much appreciated, he went out of his
way to ensure that everything ran smoothly on the day and that Warren and Pru enjoyed every
moment. Andre also helped organize a boma braai on the Sunday night for the overseas guests
that had stayed. They were overwhelmed with the hospitality, please thank the chef and kitchen
staff on our behalf. I just thought I would mention that we used your preferred suppliers for décor,
music and the marriage ceremony and would highly recommend each of them to anyone who is

Facilities Askari Game Lodge & Spa offers you the use of the Antique Style chapel or for the more adventurous bride
the use of our open air forest venue. The wedding reception will take place at our Day visitors Centre in
either Akira function venue or in the Azima Restaurant overlooking the majestic Magaliesberg Mountain
range.
The lodge also offers accommodation for 60 guests in our Chalets overlooking the Elephant Dam. Leisure
activities for the bridal couple or their guests include Askari Spa, game drives, Elephant Experiences and hikes
which may be booked at reception or with the wedding coordinator.
A non-refundable deposit of R16 000.00 is required to secure your booking. Your booking will only be
confirmed when proof of payment is received from our bank. This deposit only guarantees the venue
availability for the date originally booked. Should you cancel your function, this deposit may be applied for
an alternative available date, but will unfortunately not be refunded to you.
Venue hire : R16 000.00 The venue hire includes the following:
Accommodation(Bed & Breakfast) for the Bride the night before the wedding

Venue hours Lunch functions are from 12h00 to 17h00. (Strictly no after hours)
Morning functions : 08h00-13h00 (Strictly no after hours)
Evening functions are from 16h00 to 24h00. (Strictly no after hours)
R3000-00 per hour or part thereof will be charged for functions exceeding the specified venue hours.
Facilities not included in the venue hire Bar - Bar tab (cash, bar tab, limit or combination) - you are welcome to bring your own wines
and/or champagnes, should it not be available on the Askari Lodges’ wine list; however, this will
be subject to a corkage fee of R150.00 a bottle. Drinks to be supplied by wedding party must be
agreed with the Wedding Coordinator in advance. No other beverages may be brought on site.

Décor and Flowers. Draping and flowers for the function are not included in the venue hire. All
decorations to be discussed with the Wedding Coordinator to ensure that no damage is done
to the venue.
Photographer or DJ or minister – this is for the brides own arrangement – see preferred suppliers
list
Confetti. Confetti for the function is not included in the venue hire. Only bio-degradable items
such as flower petals, oats, bubbles and rice may be used as confetti.
Waiters and barmen – Additional waiters are available at a ratio of one waiter per 10 guests for
buffet at R75 / waiter / hour charged from one hour prior to reception. One barmen are included
in venue hire to cater for groups of up to 30 people. Every extra 30 guests (or part thereof) will
require one extra barman at R95 / barman / hour charged from one hour prior to reception.
Babysitter facilities – Babysitters can be requested at extra charge. Minimum of 1 babysitter per 4
children at the reception venue @R75 p/hour minimum 5 hours. Booking in advance essential and
subject to availability.
Dance floor extensions- This can be arranged by the wedding coordinator at an extra cost

Menus All Menus & Prices on menus are subject to change without prior notice.
Buffet Menus – is priced per person is a choice of starters, carvery, main courses, desserts or
dessert buffets.
Catering – For an extensive menu collection, feel free to ask your coordinator and should you wish
to make any changes our chef would be delighted to assist you. Halaal/Vegetarian catering can
be arranged, at an additional charge, but for no more than 10% of your total numbers.
“No outside Catering/self- catering allowed” Plated Menus are available, consisting of a starter, a main course and a dessert. (Selections will be
given on plated menus)

Should you have any special dietary requirements, please discuss it with the coordinator. Askari Lodge cannot cater for Halaal meals. Should you have any Halaal guests we will have to order
in food for them at a surcharge.

Guests must book 2 nights for wedding rate to apply – for 1 night normal leisure stay.

Please Note
When Booking Askari Lodge, the venue hires includes the accommodation for the Bride and Groom
only and any other accommodation needs to be booked if required.
When wedding accommodation is booked we do require a 50% Deposit to confirm such bookings-
NO accommodation will be booked provisionally
We do not hold ourselves responsible for the safe-keeping or custody of any property or goods
placed or left on the premises, nor of any persons visiting the Lodge. Under no circumstances will we
make good or accept responsibility or liability in respect of any damage, theft, loss or injury,
however caused.
All guests that enter Askari Game Lodge or any area of the Askari Africa Private Game Reserve are
required to sign an indemnity on arrival. No individual may sign on behalf of a family or group. We
regrettably cannot accept any guests not signing such an indemnity.
Please note that our facilities are NON SMOKING. We do have designated smoking areas.
We do require that adult supervision of any children is maintained at all times. Remember that we
are a Big Five Game Lodge, and there are wild animals that come to the Lodge, especially at night.
All décor and flowers should be removed directly after the function by décor company appointed
Askari will not move or remove décor - Failing to do so will result in a clearing charge being raised.
All décor should be done at least 2 hours prior to the function.
Askari lodge does not accept any responsibility for décor companies, their service or their décor
items.
Normal check-in times are applicable to wedding guests. (i.e. 14h00)
In order to ensure a successful and stress- free event we respectfully request that no last minute
changes are made on the day of the wedding. Changes should be made no later than 14
(fourteen) days prior to the wedding by an authorized person and should be done via the Wedding
Coordinator and not other members of staff. These documents must be signed off by the Bride &
Groom & the wedding coordinator.
All rates quoted include VAT at 14%. All rates are subject to change.
Please be advised that a final coordination meeting must take place no less than fourteen (14)
working days prior to the wedding date. All details in respect of the wedding decided and agreed
upon, by both Askari Game Lodge management and the guest will and shall only be changed
through written communication. These changes may only be made by the due signatories of this
document. No verbal changes will be accepted by Askari Game Lodge management after the
confirmation of this document.
Our Wedding Coordinator is available to see you by prior appointment only.
Entertainment will be subject to the approval of Lodge management.
Due to the nature of our business and also being a game reserve we require that music volume be turned down at 23h00 and ended at 24h00. No Music permitted after 24h00.

Accommodation
Please contact our Reservations Department for additional accommodation requirements
Honeymoon accommodation for the bridal couple is with the compliments of Askari Lodge which includes a
welcome cocktail on arrival, gift basket in the room and a romantic turn down.
Any other accommodation can be booked with your wedding coordinator. A full payment is required
to secure these bookings.
No provisional bookings are made and you are required to confirm and pay not less than 2 months
before your wedding date.
To book EXCLUSIVITY for the lodge, you are required to book and pay for ALL the lodge rooms on the
night of your wedding, should this be on a Saturday night, you are required to take the Friday and the
Saturday night which will then guarantee you this exclusivity of the lodge.

Terms & Conditions
1. A non-refundable payment of R16 000-00 is required to secure your booking/date and venue. Your
booking will only be confirmed when proof of payment is received from our bank. This deposit only
guarantees venue availability for the date originally booked.
2. Your wedding will be confirmed on receipt of your deposit, a completed booking sheet and signed
terms & conditions. Deposits will only be accepted by credit card or direct bank transfer. (Please see
banking details below).
3. Please forward proof of any payments to the wedding coordinator and please always add your
reference number.
4. Accommodation will be booked for the bride the night before the wedding and on the night of the
wedding accommodation for the bride & Groom is included. Any extra/other accommodation
booked the night before or after the wedding requires FULL PAYMENT. No accommodation will be
booked provisionally
5. Due to the nature of our business and also being a game reserve we require that music volume be
turned down at 23h00 and ended at 24h00. No Music permitted after 24h00- NO EXCEPTIONS WILL
BE MADE
6. NO cheques will be accepted.
7. Askari Game Lodge may accept another booking in place of yours should your deposit or final
payment not be received before the specified dates in your contract.
8. Initial invoice – An invoice representing 50% of the estimated cost of your function (excluding
accommodation) will be sent to you more than two month prior to your wedding date. Payment
of this invoice should be made no less than one month prior to your wedding.
9. Second invoice – A second invoice (excluding accommodation) will be sent to you and full
payment thereof is required 21 days prior to your wedding. This allows you to finalize guest numbers,
etc. and represents the total cost of your wedding excluding extras (if applicable).
10. Extras invoice – An extras invoice will only be generated if any additional expenditure has been
made not covered by the wedding costs. These extras may relate to bar accounts, overtime hours
exceeding the venue hours, damages and incidentals. This invoice is to be settled in full no later
than five (5) days after your function.
11. Cancellations. The initial confirmation deposit for venue hire is non-refundable and will not be refunded should you cancel your wedding.
12. If the wedding is cancelled 2 months or more prior to the wedding, a 50% cancellation fee
of the total wedding account will be charged
13. If the wedding is cancelled 1 month prior to the wedding, a 100% cancellation fee of the
total wedding account will be charged.
14. If the wedding is cancelled less than two weeks prior to the wedding, a 100% cancellation fee
of the total wedding account will be charged.
15. Postponements: Postponements may only be done more than 2 months before the original date
booked. Should you postpone your wedding for whatever reason, Askari Game Lodge may refund
or move a portion of the money paid to us onto the new date. This will ONLY be allowed with written
permission from the General Manager.
16. An appointment must be made to discuss final wedding arrangements a minimum of 21 days prior to your wedding.
17. Final guest numbers and all arrangements must be received no less than 21 days prior to the wedding. 18. Bar allocation/limit and corkage (if applicable) must be paid 1 month prior to the wedding. Any
extensions/increases to the bar limit required during the function, may only be secured with a credit
card or cash payment. Should the full bar limit not be reached, the balance will be credited to your
account.
19. Corkage on wines or champagne will be charged at R150-00 per 750ml bottle. Full payment
must be made on the amount of bottles to be brought in 10 days prior to the function. No
other Alcoholic/non Alcoholic drinks may be brought in.
20. Wine lists and bar prices are available on request, subject to change and market
fluctuation. Final price lists will be available 21 days prior to the wedding.
21. We are not allowed to serve alcohol to persons under the age of 18 years. No persons under the age
of 18 years are permitted in the bar. Guests are not permitted to bring any food or beverages to the
Lodge UNLESS agreed in advance (such as wine/champagne covered by the corkage fee for

functions). Guests are not permitted to bring any food or beverages for consumption during game
drives or any other activity. A breach of these conditions will result in an extra charge being added to
the final bill representing the amount that the Lodge would have otherwise charged for any food or
beverages purchased on site.
22. Additional waiters are available should you require additional waiters at R75 per waiter per hour
charged from one hour prior to reception.
23. A suite will be provided to the bride the night before the wedding as well as the honeymoon
chalet for the Bride and groom for the night of the wedding.
24. Gratuities are at your discretion.
25. All damages to the venue and/or Chalets, crockery, cutlery, linen and furniture will be charged directly to the main wedding account.
26. All guests that enter Askari Game Lodge or any area of the Askari Africa Private Game Reserve are

28. Askari lodge will not be held responsible for any services from a 3rd party whether from our
preferred suppliers’ list or not.
29. Any Suppliers will be responsible for bringing all there own equipment, e.g. Ladders, extensions,
multi plugs, microphones etc. Askari Lodge does not supply any of these items.
30. Askari Lodge does not allow any flower arranging on Site. All flowers must be done of site and
shipped in complete. We will not be held responsible for any Flowers and/or Décor items being it
safe keeping or any damage to these items.
31. Anything hired in or on behalf of the guest will be charged directly to the guest. Askari Game
Lodge will charge a 25% handling fee plus VAT.
32. Askari caters for 150 guests maximum
33. Askari Game Lodge will take NO responsibility for the wedding cake the day before or after the
wedding, or should it not be collected on the day after the wedding date.
34. Askari caters for 140 guests maximum, any more will be charged extra per chair, crockery and
cutlery.
35. We regret no food tastings available. Sunday lunch is available to see & taste the quality of the
food prepared by our chefs. (charges apply)
36. Check in and Check out times: Normal check in & check out times applies to guests checking into
the chalets for the wedding. Check in 14h00 and Check out at 10h00. Should you require earlier
use of the chalets it is advisable to book accommodation the night before the wedding.
37. Elephant Photos: A half hour photo session is included in the venue hire:
38. Preferred photographers will be allowed to take the photos with the elephants for safety reasons.
(see suppliers list for contact details) Any others must be briefed before the time.
39. Only the Bride & Groom will be going to the elephants for the photos
40. You will be briefed on safety before going to the elephants, should you not adhere to these rules
and regulations the experience will be stopped immediately
41. You are required to keep to the chosen time for the Elephant Photos. Should you be late this
interaction will be cancelled.
42. Although the Elephants are trained animals, they still remain wild and must always be handled as
such
Operating Policies 1. Once the final function sheet has been signed, Askari Game Lodge will use this as the sole
specification to facilitate your wedding, any changes to this signed document must be made in
writing.
2. The venue will be available to you from 08h00 on your wedding day. 3. Please be advised that all final operational details, as well as cleaning, will be completed by Askari
Game Lodge, no less than two hours prior to your chapel service.
4. Askari Lodge will not accept any deliveries prior to the date of your wedding unless prior
arrangement has been made with the Wedding Coordinator. 5. No decorating or flower arranging may take place at Askari Game Lodge prior to the date of your
wedding. No flower arranging may be done on site; these should be prepared off site and shipped in

complete. 6. Askari Game Lodge will not accept any responsibility for any deviation by you from the signed final
function sheet.
7. Askari Game Lodge will not accept any responsibility for poor service deliverance be it actions and/or
opinions from a third party supplier, be it recommended or otherwise.
8. All third party supplier details must be made known to Askari Game Lodge no later than the final
appointment (14 days prior to the wedding date).
9. No liquor, other than that supplied by Askari Game Lodge may be used at the wedding. No outside
or private catering is permitted at Askari Game Lodge.
10. The venue is available for a period of 8 (eight) hours from the schedule time of the reception, but not
beyond 24h00.
11. Music volume must be turned down at 23h00 and off at 24h00 – no exceptions will be made.
12. Should you exceed the times stipulated a charge of R3000.00 per hour or part thereof will be levied
to your account
13. Askari Game Lodge reserves the right to close the bar at anytime, at its discretion to protect the
property, guests or staff of Askari Game Lodge.
14. Askari Game Lodge will allocate a Wedding Coordinator & Event Manager as well as staff to run your
wedding. This staffing allocation will be done at our discretion and will be to the level that we see
functional to run a successful wedding.
15. Askari Game Lodge or any of its employees do not accept responsibility for any loss or damage of
personal property or that of a 3 rd party supplier.
16. All damages caused to the venue/Chalets (structural), cutlery, crockery, linen and furniture will be
charged directly to the client. (Signatory as per the service agreement).
17. Askari Game Lodge reserves the right to cancel any booking (provisional or confirmed) forthwith
and without liability on its part, in the case of any damage and/or destruction caused to the venue
by fire, acts of God, industrial unrest and any other cause beyond the control of Askari Game
Lodge, which shall prevent Askari Game Lodge from performing its obligations. However in these
circumstances, Askari Game Lodge will make all reasonable efforts possible with available resources
to assist in finding an alternative venue for your wedding.
18. All decorations are to be discussed with the Wedding Coordinator prior to proceeding, to ensure no
damage is done to the venue. All décor to be moved around on, to and from Askari premises by Brides
décor companies only – brides to make arrangements them self’s regarding, Askari will not take
responsibility for Brides décor.
19. No fireworks or wish lanterns will be allowed on the Askari Game Lodge property.
20. No animals may be brought onto the Askari Game Lodge property. 21. No candles are allowed to be placed directly on the table linen. It is your responsibility to ensure
that the appropriate precautions are made in this regard. Candle holders must be wide enough to
prevent the wax from dripping onto any Askari Game Lodge table linen (including linen napkins).
Askari Game Lodge reserves the right to remove any candles, should such precautions not be
taken. Askari Game Lodge furthermore reserves the right to charge the client (signatory of service
agreement) in full for any damages caused to any table linen as a result of burns or wax drippings.
22. Please be advised that all decorations must be removed directly after the function from the venue,
alternative arrangements can be discussed with the coordinator.
23. Should decorations not be removed by the agreed time, Askari Game Lodge will not accept any
responsibility for any damage to such decorations, should this have to be removed by Askari Game
Lodge employees.
24. Only flower petals, oats, bubbles and rice may be used as confetti. Strictly no tinsel, paper or paper streamers allowed.
25. All prices are inclusive of VAT and exclude any staff gratuity.
26. Times set out for elephant photos or interactions are set and under NO circumstances will the
elephants wait for anyone– we respectfully request that you keep to these times. If at anytime
the elephant manager feels it is unsafe being with the elephants, the interaction will be stopped
and guests will be moved to safety. Under no circumstances will we allow or ask the elephants to
do anything they do not feel comfortable with.
