Awardees MUST bring the completed forms contained in the commencement kit and the following original documents contained in their scholarship application at time of enrolment:

• Evidence of citizenship• Academic transcripts for all completed qualifications completed at institutions other than MonashUniversity (transcripts must show successful completion of degree). NB: Complete transcripts are required, not just testamur or certificate. • Withdrawal from current degree (if applicable)• Appropriate legal documentation as evidence of name change (if applicable)• Enrolment form provided with your letter of offer (if applicable).

Certified documents will be accepted if they have been certified (stamped, signed and dated to confirm they are a true copy of the original) by:

• The awardee’s current or previous educational institution;• a Monash registered agent;• a Monash administrative staff member (academic unit, faculty or MIGR level);• a solicitor;• a commissioner for declarations;• a government official or• a notary public.

Enrolment is to be completed in person at the Monash University Institute of Graduate Research in building 3D (all students excluding Art, Design and Architecture master’s students who are required to submit their forms to the Faculty Office). Please note that our Office is open for enrolments Mondays to Fridays from 9am to 5pm. If awardees are unable to attend our office to enrol, please call our enrolments staff on (03) 9905 3009 to make alternative arrangements. Students from the Parkville campus may lodge their forms and complete enrolment requirements on their home campus.

Following this initial enrolment, it will be your responsibility to maintain your enrolment until your thesis is submitted. Re-enrolment is an annual event and important information regarding re-enrolment will be sent to your Monash student email address in September each year.

Monash Student Email Account Enclosed with this letter is a form 'IT Access at Monash' which will enable you to have email and internet access.

In order to activate your Monash student authcate account you must open the link provided on the form and complete steps 1 and 2 as outlined. Your newly created authcate account will also be the user name of your email account. A student email address has the format, [email protected].

All correspondence relating to your enrolment will be sent to your student email account. If you do not intend to access this email regularly, it is recommended that you arrange to forward your student email to your Monash staff, or non-Monash email address. Further details on how to manage your student Google email account are available once you login to the my.monash portal or your Monash student email account.

Enrolment Questionnaire Enclosed with this offer is information on how to complete the compulsory Enrolment Questionnaire. Please follow the instructions to complete the questionnaire. This information is required for government reporting purposes. If this questionnaire is not completed your enrolment will not be valid.

Scholarship payments Scholarship payments are made on a fortnightly basis. In order for MIGR to suspend or resume your stipend payments (where required), the relevant forms need to submitted to our office by 10am on the Thursday preceding each pay day (see page 5 for a complete listing of pay dates and cut off dates for 2015).

Establishment/relocation allowance Awardees who relocate their place of residence to Victoria from interstate or overseas to take up their scholarship may be eligible for an establishment/relocation allowance of A$1,000.

The establishment/relocation allowance will not be paid to awardees who relocated to Victoria prior to the offer of the award or to awardees who relocate their place of residence to another residence within Victoria.

Awardees who have relocated from overseas are required to provide evidence of their date of arrival in Australia (eg arrival stamp or copy of travel itinerary/ticket). Awardees relocating from within Australia are required to provide evidence of their previous address (such as a telephone or electricity bill) at time of enrolment. Awardees eligible for the establishment/relocation allowance will receive A$1,000 together with their first scholarship payment.

Instructions for students CURRENTLY ENROLLED in the research degree for which the scholarship was awarded In order for your scholarship payments to commence in 2015 you are required to:

• have re-enrolled for 2015; • complete the banking details form; Note: if you are currently in receipt of a scholarship, you are

not required to submit a new banking details form. • transfer to full-time enrolment (if you are enrolled on a part-time basis), unless you are taking up a part-

time scholarship. The form is available from http://intranet.monash.edu.au/migr/candidates/manage/variation.html;

• submit your banking details form and transfer to full-time form (if applicable) to the Monash University

Institute of Graduate Research, Building 3D, Clayton campus. Scholarship payments Scholarship payments are made on a fortnightly basis. In order for MIGR to commence (or suspend) stipend payments we are required to finalise paperwork before 10am on the Thursday preceding each payday (see page 5 for a complete listing of pay dates and cut off dates for 2015). Reimbursement of OSHC (for IPRS, MIPRS & VMIPRS awardees only) IPRS, MIPRS and VMIPRS awardees can claim for OSHC reimbursement. The reimbursement will be calculated on a pro-rata basis from 1 January (end of year round) or 1 August (mid-year round) of the year for which the offer is made. 1. Purpose of this form

This form is designed to assist students and supervisors to meet the requirements of Monash University (Vice-Chancellor) Regulations relating to intellectual property through understanding, identifying and agreeing on the circumstances when the student must assign the intellectual property generated as part of their research program to the University.

The Associate Dean (Research) for the faculty should be consulted if a student and their supervisor disagree.

2. Who should complete this form and when

There are two steps in the management of student IP matters:

1. Complete this IP Declaration 2. Assignment where required

3. Monash IP Statute and Regulations

Research is a key national resource. Monash University is a public research institution mandated to conduct research and utilise its resources for the public good. This includes the identification, protection and, where appropriate, commercialisation of the intellectual property arising from its research activities.

The University’s rules governing intellectual property are set out in Monash University (Vice-Chancellor) Regulations, Part 5. Upon admission all students are bound by these Regulations.

Under the Regulations a student owns copyright in their thesis. When a student submits the thesis, the University will ask the student to grant the University a non-exclusive licence to enable the thesis to be published online within the Monash University open access research repository (ARROW) for the dissemination of research outputs.

Under the Regulations a student will also own rights in any other intellectual property created unless that intellectual property is part of a collaborative research activity, in which case assignment of these rights is required.

4. Nature of collaborative research and implications for students

In many disciplines students’ research projects will form part of a broader research project, or where specialist data sets have been gathered and/or equipment and funding have been applied over a number of years, or where a confidential research design has already been undertaken. In these cases the student benefits from the data gathering, resources and expertise that have already been applied to the research area. In many cases third party funding is involved in the project. These are the circumstances that may give rise to an obligation to assign student-created IP to the University. In other circumstances students may choose to assign their IP to the University. In the event that a student’s research outputs have commercialisation potential, with or without the

circumstances described above, a student electing to assign IP to the University can facilitate negotiations with other parties during a commercialisation process. Collaborative Research Activity Example Usual time for signing Deed

A research project undertaken by more than one person.

A research project that is subject to an agreement with a third party under which the University has obligations relating to intellectual property.

A research project based on a concept or proposal developed by a member of staff, affiliate or third party, or, collaboratively by the student and a member of staff, affiliate or third party other than one which the student has independently developed and the research which the student will independently undertake.

A research project undertaken using University resources, other than standard resources or resources procured by the University commonly provided to students, or collaboration provided by the student's supervisor in the form of standard supervisory advice and guidance at the level that would be expected.

A research collaboration between the University and another university or research institute which the student’s research project contributes to.

A research project involving other staff or students of the University.

An agreement with persons, such as an external body funding the research, may state that intellectual property arising from the project is owned by or licensed to the funding body. The student assigns IP to the University to enable it to pass to the funding body.

So if a mining company is funding research into a device which detects weaknesses in railway tracks, on condition it owns the research outputs, student outputs on this research must be assigned to the University.

A staff member receives a research grant for a research project and the student's research project arises from the concept or proposal in the grant application.

It does not apply where, after learning about a staff member's published research, the student comes up with a new (though related) research concept or proposal.

The University's contribution must exceed what the student could normally expect by way of resources to complete enrolment (i.e. more than standard supervision, scholarship, laboratory/office space or standard computer access).

Examples may include a particular machine or instrument purchased by the University enabling the student to undertake the project, a non-standard enzyme or reagent that may be necessary for the student to perform experiments, or hospital owned patient data that may need to be provided for a student project that may only be accessed by a medically qualified University employee.

Instructions for completing the Scholarships Banking Details form 1. Scholarship holders can elect to deposit their stipend into a maximum of three separate accounts. Please note payments are unable to be

Academic Progress Milestone Reviews Milestone reviews play an important role in a student’s research training. They are not only a mechanism for progress management; they are also a research development opportunity which facilitates the student’s acquisition of the necessary skills to present their research to their academic peers. They are designed to support and facilitate a student’s progress towards their thesis submission date, providing them with an opportunity to receive structured feedback on their progress to date. Each milestone’s requirements are defined by the student’s stage of research and may include requirements specific to their discipline. As a minimum, a milestone must comprise an oral presentation at a forum open to the public, a written submission from the student, and an interview, with written feedback to be provided to the student. MIGR will email information regarding all milestone reviews approximately 8 weeks prior to the due date. Further information regarding the confirmation requirements and process are available within Section 2 of the Graduate Research Progress Management Procedures available from ttp://policy.monash.edu.au/policy-bank/academic/research/mrgs/grad-research-progress-management-procedures.html. Students enrolled in the following programs are exempt from this requirement:

• Staff PhD and Doctor of Medicine (Unsupervised) • Joint award degrees, which are subject to the milestone requirements for the particular joint award

program. Confirmation: All probationary students are required to present their work in progress to a review panel and submit a confirmation report at the end of their probationary period. Its purpose is to:

• Determine whether, in the case of PhD students, the research project has been appropriately conceived as clearly achievable within 3 years EFT; Determine whether, in the case of research master’s students, the research project is appropriately conceived as clearly achievable within the standard duration of the degree;

• Provide formal assessment of the student’s overall performance within the probationary period of enrolment, including an assessment of their progress in relation to mandated coursework units or training, while also ensuring that the student’s research direction is sound, their methodologies are appropriate and the standard of their comprehension and writing is in accordance with the requirements of their degree; Confirm, where relevant, that ethics and Intellectual Property (IP) arrangements are in place, ensuring that a plan of action is agreed to where there are issues;

• Ensure that the resources available to the student, including supervision and facilities, are adequate for the purpose of completion of the degree within the required timeframe;

• Provide students with the opportunity to receive peer review feedback on their research and oral presentation and development of presentation / communication skills from experienced researchers.

Progress review: The purpose of this milestone is to ensure that:

• Any issues identified at the Mid-Candidature Review / Progress Review have been addressed; • The student’s research project is at an advanced stage and should be ready for examination by the

thesis submission date; • The student is able to demonstrate command of their research both in written and oral forms; • Appropriate feedback is provided to the student about the readiness (or otherwise) of the thesis for

examination, providing feedback on any issues that need to be addressed prior to submission; and The student has completed any required coursework and training, and that the student and supervisor/s have begun to discuss potential examiners.

Final Review: The purpose of this milestone is to ensure that:

thesis submission date; • The student is able to demonstrate command of their research both in written and oral forms; • Appropriate feedback is provided to the student about the readiness (or otherwise) of the thesis for

examination, providing feedback on any issues that need to be addressed prior to submission; and The student has completed any required coursework and training, and that the student and supervisor/s have begun to discuss potential examiners.
