General Information

Wedding Ceremonies Right in the center of the Embassy Suites Phoenix · Biltmore is a lavish Atrium available for your ceremony. This lush, tropical environment provides a stunning back drop for your ceremony and

photographs. Rehearsal, set up and breakdown of the ceremony are included in the site fee for up to 130 guests as well as one (1) standing microphone with sound system, a table for a unity candle or sand ceremony, guest book table, private changing rooms for the bride and groom, one (1) bottle of house

sparkling wine and one (1) cheese and fruit platter for the bride’s changing room. $1,000 plus service charge and sales tax

Receptions The Embassy Suites Phoenix · Biltmore will provide tables with complete settings, a cake table, a guest

book table, and a gift table. All linen supplied is your choice of floor length black, ivory or white, however specialty linen can easily be arranged for an additional charge.

Included in the price per person is a Vegetable Crudités Display which is designed to whet your guests’ appetite for your cocktail reception. As your guests enter your reception, a Champagne or Sparkling

Cider Toast awaits them and for dessert your wedding cake will be provided by Fleur de Lis.

When the fun is all over you will not have far to travel to enjoy a complimentary two-room suite here at the Embassy Suites Phoenix · Biltmore which includes a delicious cooked-to-order breakfast the next morning.

Event Coordination

At the Embassy Suites Phoenix · Biltmore you will work with one of our skilled staff members to plan every detail of your day. Not only will your coordinator attend to all of the small details, they will be

onsite throughout your day to ensure everything is perfect.

Menu Selection To ensure that your menu selections can be made available, we ask that you submit your choices at least

four weeks in advance. Please let us know if you have any special requests, special dietary needs or particular menus in mind. We are happy to customize menus!

Food and Beverage Service

State liquor law dictates that liquor cannot be brought into the banquet facilities from outside sources. The hotel does not allow food to be brought onto the property, whether purchased or

catered from outside sources.

Deposits/Contracts

An initial deposit of 30% of the food and beverage minimum (this deposit will be applied to your balance) will be due with your signed contract, which will outline your payment schedule. Full payment of your estimated balance is due twenty-one (21) business days prior to your event. A credit card authorization

form is required to be on file to guarantee any additional charges incurred.

Service Charge and Sales Tax Currently a 22% service charge is added to all food and beverage prices and is subject to state sales tax. The total bill which includes: Food and Beverage, Service Charge, Site Fee, and

Equipment Rental are also subject to this service charge and Arizona state tax.

Minimum Attendance & Fees

For all meal functions, a food and beverage minimum is required. If this minimum is not met, a surcharge will be applied.

Guarantee Policy A final attendance guarantee must be received by 10:00 am three (3) business days prior to your event. This number is not subject to reduction. If your attendance exceeds the guarantee, billing

will be for the actual number of guests in attendance. Our staff will prepare to serve 5% over your guaranteed figure up to twenty-five (25) guests. Any increase above this 5% is subject to an

additional 20% surcharge per person and possible item substitutions.

Hotel Availability All dates and locations are subject to availability and management approval.

We will be happy to secure this venue for your event with a signed contract and deposit.

We have a number of recommendations for everything from florists to live music. Once you have booked your wedding we are happy to help arrange all of your details.

Dance Floor

The parquet dance floor is complimentary with a purchase of one of our elegant plated or buffet packages.

Specialty Linen We will provide a large selection of linen for your choice to go with the color scheme of your

wedding. Additional charges will apply.

Wedding Cake Your custom wedding cake is complimentary with a purchase of one of our elegant plated dinners

or elaborate dinner buffets. You will visit the bakery for tasting and selection of your cake.

Parking Complimentary self-parking is available for your guests or we can arrange Valet Parking for an

additional charge.
