2Reasons you might add an offer item:The one you have is not correct (the student has changed their mind, time has passed and the intake has changed, the Institution has offered a different course to the one you selected)Or You need multiple offer items (for a package application)

2.0 Reasons you might add an offer item:

Either after the offer has been received so your application status is offer by insitution

You realise that the course you have listed is not correct (the student has changed their mind, time has passed and the intake has changed, the Institution has offered a different course to the one you selected)

OR to create a package application

You need multiple offer items

3CURRENT PROCESS TO ADD PROGRAM OR COURSE TO APPLICATIONGo to the 2.2 Offer Tab

Click Add, Add NewClick Availability Magnifying glassUse Availability Search to find new program

2.0 So this is our CURRENT PROCESS

1. You go to the 2.2 offer tab2. You click add and add new3. You use the magnifying glass in the availability box to open the availability search window4. You use this window to find the course you want.

4Why has this been changed?You told us that the availability report did not work and was displaying error messages.You also told us that given the number of options available - with the Multi Destination capability it was very hard to find the course you wanted.

Whats the NEW process?

2.0 So we made a change to this. And this was the best way we could use the software to make the change

Go to the 2.2 Offer TabClick Add Offer Item Button New matching session will open in separate windowWork through matching screens to find the course you want to add. At the end click Apply.

2.0 So here is the new process:

1 you go to the 2.2 offer tab2. You click on the new button. Add offer item3. A new matching session will open in its own small window4. Work through the matching screens, find the course you want, select it, add it to your shortlist and then click the Apply button

7Close the matching windowYou will see the 2.2 Offer Tab but the new course is not thereClick Refresh or press F5The new offer item will now display5768NEW PROCESS continued

2.0 Next, 5. You must close this window6. You will be taken back to your 2.2 offer tab. But the course will not yet display7. You must click the refresh button OR you can press F5 on you keyboard8. The new offer item will now display on your application.

8Offer Item Status Values are very important

IMPORTANTNow that you have 2 or more offer items on this application, you must make sure you open each one and set the status correctly Not Received this is your default value (you are waiting for the Institution to respond) Not Accepted use this if you no longer require this course / the course changed so you added a new one / the student did not accept it and accepted another course Awaiting COE or COE Received can be used when you are waiting for info or the student deposit Accepted use this if the student has accepted and paid a deposit and has obtained their visa (if appropriate). This status sends the item for invoicing when finalised.

OPEN OFFER ITEM

2.0 Now, that we have this process. In some cases, you will be adding offer items rather than creating a whole NEW application

This means, that the STATUS of the offer item becomes very very important.

Lets go over this now.

Not Received this is your default value (you are waiting for the Institution to respond)\ Not Accepted use this if you no longer require this course / the course changed so you added a new one / the student did not accept it and accepted another course

Awaiting COE or COE Received can be used when you are waiting for info or the student deposit

Accepted use this if the student has accepted and paid a deposit and has obtained their visa (if appropriate). This status sends the item for invoicing when finalised.
