When viewing the assessment records for thestudent number noted in the diary using SMRS, thereare different fields populated/displayed forpre-2009/0 marks and 2009/0. Also, on the 2009/0 records,some of the marks are displayed with an additional 2zeros. The number of decimal points was changed atvarious points up to go live, so this might be because of that, but we need an explanation of why there arethe differences and what is correct.

This is high until we know which of the recordsare right/wrong so we know what approach isneeded. Once that is known, it might be able to be put tomedium.

1064701 2.High 13/10/2010 Euclid needs to predict ICL fees on datesrelated to the SMO start date.

At the moment, Fee Prediction (GFD) uses thestart date (YPS_BEGD) of the period that the SMO runsin.

However, this is not reliable, as some MAVsdon't actually start until later in the period (see cms1059724).

MAV already has a start week field (mav_begw)but this is always set to 1 and cannot currently bemaintained by schools.

Could this be added to CCAM? It would only be needed for MAVS which have aFee Profile, and could be defaulted to 1 - so thatschools staff would only have to update it for the MAVswhich don't start in week 1 of the period.

It would also have to be added to the DRPSCourse Catalogue

Then, on the next screen, I'veselected 'Single Honours in a Discipline, 4years' template, starting month = September,year 2010/1, and I got to the screen which liststhe 4 year templates (which are links that youcan click on to see the template for that year.)

So, I clicked on the link for year one, and itopened the screen in the screenshot I canremember that when I first tested it, it woulddisplay the name of the DPT correctly and alsothe optional courses section with the TEMPcollections etc?

I thought this might be due to the futureacademic year, so I went back and selected2009/0 as year, but nothing changed.

discovered an issue with the way OverarchingRules, Or Operands & Brackets work together in OCE validation.

Some DPT Editors have used an Overarchingrule to force a selection between 2 single courses i.e. select course A (20 credits) OR select course B(20 credits) subject to an Overarching Rule of 20 credits.

This looks OK when published however duringOCE validation this will always fail unless bracketsare inserted around the 2 options.

See screenshots attached.

Might be worthwhile running a script that will identify DPTs that contain Overarching Ruleswith OR Operators but no brackets (if that's possible!).

Give me a shout if this requires furtherexplanation.

978433 3.Medium 13/07/2010 Please find a form for a new 20 month masterdegree. This programme is a joint degree with twoEuropean universities and is run over 4 semesters.Students will be able to attend Edinburgh for study eitheras:

Route 1 semester 1 only Route 2 semester 3 only Route 3 semester 4 only Route 4 semester 3&4

The administering university is Ghent Universityand Ghent will be responsible for admissions and award/graduation of the degree. Studentsattending Edinburgh will be full time /part year studentsand will be enrolled on the appropriate route as per their academic progression and careerchoices.

To be able to accommodate this we will need toset up FOUR separate programme codes to match theabove routes.

I know that this is not the 'standard' programmeand it has taken considerable time to get thisdeveloped but can we get the programme up in EUCLIDfor next week as the first intake is in September and weneed to get the students entered on to the EUCLID admissions system as soon as we can. All ofthese students are European or overseas so need toarrive in Edinburgh for late August to getaccommodation etc (they are not eligible for universityaccommodation).

To be able to accommodate this we will need toset up FOUR separate programme codes to match theabove routes.

I know that this is not the 'standard' programmeand it has taken considerable time to get thisdeveloped but can we get the programme up in EUCLIDfor next week as the first intake is in September and weneed to get the students entered on to the EUCLID admissions system as soon as we can. All ofthese students are European or overseas so need toarrive in Edinburgh for late August to getaccommodation etc (they are not eligible for universityaccommodation).

At an earlier stage of EUCLID, there was a lotof discussion regarding the difficulties of managingquota courses using EUCLID, and one suggestionwas to create a standard spreadsheet that Schools couldcomplete setting out which students should be enrolled ona given course. EUCLID would then find a way todownload that into the system. Is that something thatcould be pursued? It would side-step the problem withpermissions.

If it cannot be resolved, I would like the groupto explore whether the Admin Role staff (or asubset) can have permission to enrol students on courses inany School. There would be advantages to this,though also problems (additional complexity, those staffwould have to navigate much longer lists of programmes tofind students etc). However, I wonder if it is worth at least considering?

One way or the other, it would be really useful ifwe can clarify the best way for Schools to managethe enrolment process for these courses, and then communicate that more widely.

The reply above advises that we were wrong toassume that the 1st class date was what defined thebilling - please can you advise what is, as we haveplenty of irate students and we need to ensure that ICLcourses are set up in the correct way.

As there was no training at all for staff involved with ICL courses we have no guidance in thesematters.

Having checked through these cases some maybe a result of change of programme following rolloverwhere the RFT and RSTD have been copied forward and notupdated. Where it isn't clear what the student shouldactually be at the case will need to get referred toRegistry to determine what update should be made.

Please note that the location of study field isused in the HESA return.

I have attached a screenshot of the record thatwe had a call about earlier and on looking in SCE itappears that the reason that the school couldn't see this person in their lookup using the DoS code, isbecause the School is sitting as ECN SU0284 which isthe first school and coming from the 09/10 SCEwhereas they should be listed as PPL SU793 coming from the10/11 SCE.

Could someone investigate this please as it islikely to affect all programme changes from oneschool to another in this lookup.

In the meantime I have advised the users toblank out the school code when using the lookup as theycan at least get the student using the DoS code in thislookup.

When a student's fees are initially calculated thefunding sources are not usually known so thefunder is assumed to be the studentthemselves. In most cases the students arefunded by SLA/SLC. There is a processwhereby we receive regular updates fromSLA/SLC telling us which students havereceived funding. The (standard SITS) processthat we operate allows us to make thesechanges to a student's record (SSP) withoutimpact on the finance process until we createinvoices via GFT and export these to oure:Financials system. Thereafter, if there aresubsequent changes we have to adopt thecancelling out of the invoice and reissuingprocess as described above (CCN, then GFD,then GFT). There is a real tension between theneed to give Finance the most time to get set upand collect the money (which argues for runningGFT early in the academic year), and theamount of change we have to process onceGFT has been run and invoices extracted toFinance (which argues for delaying GFT/extractuntil later in the session). We are currentlycompromising by waiting until 1st week inOctober before creating invoices. However weknow that in the main once a student hasreceived funding from SLA/SLC there won't besubsequent changes. A way of creating invoicesbased on selecting those students who havereceived funding commitment from SLA/SLCwould potentially enable us to produce invoicesearlier for a lot of students whilst keepingchanges to a reasonable level.

As it stands, we relied on DACSto indicate which programmes to include and toidentify which year of programme the student is away,how many semesters the study away period lasted and, ifonly one semester, whether it is Sem 1 or Sem 2. If this information is not available via EUCLID itis difficult to see how we will be able to key the information manually.

For testing purposes we do not wish to use thelive directories in case a file is accidentally pickedup by SSFO and forwarded to SLC or SAAS. Thismight result in a payment being made to a student inerror. We therefore wish to be able to save test files created in batch to K:\Euclid\Portfolios\Student Finance.

When we run the file in batch to produce a fileto the K:\drive we are receiving an error message. Investigation suggests that In batch mode it isrun on the server and the server cannot access theK drive so can't write the file out. "

A way needs to be found so that the app serverwhen generating the report in batch mode can outputthe file to the drives suggested by Lesley or inanother manner which can then be access by SSFO.

The descriptor fields in cvRefFee are changingat UCAS for some values e.g. code in UFP is 09 - description is 'Overseas Agency'. In cvRefFeecode 09 new description is 'International agency'.

We can download the new descriptors fromUCAS using the cvRefAmendments facility which willoverwrite the UFP values.

Do we want to do this or leave the descriptors inUFP as they are?

This will not affect the ODBC-link importprocess either way.

As a top 10 university our externalcommunications should be of the highest standard. However,these letters make UoE look very unprofessional asthe letters look bad and are extremely difficult toread - doubly so when there is important information inthem for the applicant.

That's what the problem is...VUNG is not a valid coding for a programme - they should be VS, VT or VR- VUNG will not work with the validation (but still these VUNGs are being made active) -these were created for migration but should not be active. If they need to be active then a new code should beused.

Though there probably are others. Everythingin EUCLID says Central area for all these courses.

988250 3.Medium 03/08/2010 Spotted an error with TimeTab. Basically if you filter by 'Level' selecting any 'SCQF' value (i.e. SCQF08, SCQF 11 etc...) then no matching courses are returned. However if you filter by 'Level' selecting 'Normal YearTaken' then your results are displayed.
