2012.07.16 Summarized Minutes Documentations and Promotions (DP) Updates The Deputies for Documentations (Docu) and Promotions (Promo) updated the Executive Committee (ExeCom) about Facebook (FB) Group, privilege card design, Documentations and Promotions Pool (DPool) Deployments, EDSA board, DP Primer, and DPool Training Seminar (TrainSem). There are 4 members left to add in the FB Group. Promo has already sent friend requests to these members. Promo asked Deputy for Marketing (Marketing) to set the deadline for privilege card design. Since the privilege card will be released in August (target), deadline was set on 30 July 2012. Promo is still waiting for the complete list of First General Assembly (First GA) core members and volunteers to be posted on EDSA Board. Promo brought up the idea of replacing the Birthday section with Problem of the Week (PotW). This proposition remained unresolved because the Executive Vice President (EVP) was not there during DP Updates. Docu and Promo have already finished the content for DP primer. The primer will be released during the first DPool meeting (DPoolong) on 23 July 2012. TrainSem will have two (2) installments tentatively scheduled on 30 July 2012 and 6 August 2012. The speakers are Pam Llaguno and Chi Punzalan. Infinity content for the week of 16-20 July 2012 was discussed. Marketing Updates Marketing updated the ExeCom about Privilege Card (PC), AIDA, Organization-wide Sponsors (OS), Bazaar, and the first Marketing and Finance Associates (MaFiA) meeting. The Ateneo Mathematics Society (AMS) currently has 19 privilege card sponsors (mostly food establishments). PC will be released by mid-August. The next AIDA (marketing seminar) installment is tentatively scheduled on the week range of 6-17 August 2012. Marketing is currently talking to CODE and AJMA regarding AIDA. OS team to call companies this week. Marketing presented the member delegations per industry. Marketing is currently talking to Gabay Bazaar Head and CFO regarding bazaar. ExeCom suggested that Marketing talk to AK and Jill (Marketing 2010-2011, Marketing 2011-2012) for bazaar contacts. The first MaFiA meeting will be on 19 July 2012. Agenda includes introduction to MaFiA, MaFiA groups, orientation to basic Logistics (Log), Secretariat (Sec), and Finance (Fin) works, and planned MaFiA projects.

Academics Department (Acads) Updates The Acads Heads updated the ExeCom about Sipnayan, Question Maker Pool (QMP), Tutor Pool (TP), and NSTP-AMS. Sipnayan project proposal form was already submitted. One-month rule for reservations was waived. Core team’s working timetable was finalized. Acads heads presented Sipnayan updates per committee. QMP currently has 11 members and still planning to accept more members. The pool is open to all three departments. QMP Heads will meet this week (16-20 July 2012) to discuss Sipnayan questions and PotW. TP already signed a Memorandum of Agreement (MOA) with University Athletics Office (UAO). To address the problem on TP training conflict with department GAs, Acads Heads will host a make-up GA for TP-Acads members. TP-non-Acads members will be advised to attend their respective their respective department GAs rather than attending the said training. Acads Heads asked TP Heads to schedule a make-up training session for TP-non-Acads members. NSTP-AMS diagnostic tests are currently being revised. Acads Heads will attend area insertions this Saturday (21 July 2012). The issue on module task delegation remained unresolved.

Member Relations Department (MemRel) Updates The MemRel Heads updated the ExeCom about First GA, Family, Know Your AMS Member (KYAM), Pool of Hosts (PoH), and Tambay Week. First GA core is currently posting the videos presented last Friday (13 July 2012) to the FB Group. Core Evaluations (E2) and ExeCom Evaluations (E3) questions were formulated earlier today. Post-project documentations shall be passed on 27 July 2012. Family Project Heads (PHs) is currently doing the working program flow. Planning for Family Day 1 is still vague. KYAM release will be delayed. MemRel Heads are currently working on the final questions, setting an interview with Dr. Garciano, and the format for publications. MemRel Heads will be holding PoH interviews and auditions next week (23-30 July 2012). Formula for the auditions will be discussed with Janelle See this week (16-20 July 2012). The issue whether Janelle See will head PoH remained unresolved. Tambay Week (23-30 July 2012) promotional materials will be released this week (16-20 July 2012). No concrete program flow will be followed except for scheduled movie screenings. Deputy for Special Projects (Special Projects) suggested of having a raffle draw for those who will attend. Also, EVP suggested injecting Math to Tambay Week. Chief Finance Officer (CFO) reminded MemRel Heads that Tambay Week can spend as much as Php 4 000. ExeCom clarified Gaussip Boy format for this year. MemRel Heads confirmed that Gaussip Boy would still have a blog in addition to his Twitter account.

Math Applications (MathApp) Updates The MathApp Heads updated the ExeCom about Camp Math and Math Journal. Camp Math letters are already in the AMS room. Online volunteer sign-ups for letter delivery are currently on going. MathApp Heads presented Camp Math updates per committee. Secretary-General (SecGen) asked MathApp Heads to remind Camp Math Core Team to include science high schools in their invitee list. No significant progress was reported regarding the Math Journal. ExeCom gave a number of suggestions for the journal. Some of the suggestions were to have a theme for the research papers to be published this year and to publish Hanz Cheng’s paper.

ExeCom Evaluations (First GA) – c/o EVP Informal evaluations were done. Some points raised were that the core team didn’t show up early for setup and that the event lacked ushers.

President’s Updates The President updated the ExeCom about CODE Meeting and OAA Meeting. It was discussed during the meeting how CODE can help in our Project Management System. During the meeting with OAA, it was agreed upon that tutoring hours could be credited as service hours. The President also presented a list of dates to remember (not disclosed because irrelevant to non-ExeCom members).

Secretary-General Updates/ Concerns Only one (1) member has not joined a department. Sec and DP might look into the possibility of having a mailing list due to the post floods on FB group. It was also suggested that a cap must be set for the number of posts core teams can have per week. To maximize promotions, core teams should also have official hash tags for their events. The ExeCom verified AMS Primer content.

Leadership Training Seminar (LTS) The ExeCom discussed the committee assignments of each for LTS Core Team. Each committee has to update the whole ExeCom of their working timetable by Saturday (21 July 2012).
