A RESOLUTION AUTHORIZING A SHARED SERVICE COLLABORATION WITH
THE COUNTY OF MERCER AND TOWNSHIP OF EWING FOR AN ELECTRONIC
IMAGING AND RECORDS MANAGEMENT SYSTEM
Resolution #10R- WHEREAS, the Township of Ewing and the County of Mercer are
interested in entering into a shared service agreement as per N.J.S.A. 40A:65-1, et seq., theUniform Shared Services and Consolidation Act, to allow the Mercer County Offices of Information Technology and Records Management install and host an electronic imaging andrecords management system on an ongoing basis; and,
WHEREAS, it is understood that the Township of Ewing and the County of Mercer are enteringinto this agreement in an effort to maximize benefits and improve municipal and county sharedservices; and,
WHEREAS, with PARIS grant funding for shared services records management projects, theCounty will cover proposed costs of:
• the Records and Information Management system (known as RIM) developed,installed, and maintained by Sunrise System, Inc.,
• server hardware and software to be located at the County, and
• one scanner, monitor, and desktop computer to be located at the Township,
• training for use of the above items,
• first year maintenance and support fees for the RIM system, and,
• ongoing hosting of and access to said software and electronic records files belongingto the Township; and
WHEREAS, the Township of Ewing accepts full responsibility for annual maintenance and
support fees for the RIM system, beginning with the second year of usage and initially not toexceed $1,900 per year; and,
WHEREAS, in exchange for receiving the within service, the Township of Ewing agrees toindemnify and hold harmless the County of Mercer for any liabilities which may arise out of using the services provided by the County of Mercer; and,
BE IT RESOLVED, that the Township of Ewing is hereby authorized to execute a shared serviceagreement with the County of Mercer, until which time the Township resolves to nullify theagreement and notifies the County Office of Records Management of such in writing.
