TotalMail stop-based forms The TotalMail stop-based form set is an alternative to the TotalMail standard form set. The stop-based form set differs from the standard TotalMail form set in several ways: Instead of a single Load Assignment form, several outbound (or forward) stop forms are sent from the dispatcher to the driver’s MCT. These forms include: A Load Header form that gives the driver order-based information, such as stop locations, order notes, and order- based reference numbers. A separate stop form for each scheduled stop on the trip. Separate inbound (or return) stop forms are not required for the shipper, consignee, and extra stops on a trip. However, separate forms are used for pickups, drops, and stops that do not involve either a pickup or drop. At each stop, the driver reports the arrival and departure by performing these actions: 1. TotalMail stop-based forms

The TotalMail stop-based form set is an alternative to the TotalMail standard form set. The stop-based form set differs from the standard TotalMail form set in several ways:

Instead of a single Load Assignment form, several outbound (or forward) stop forms are sent from the dispatcher to the driver’s MCT. These forms include: A Load Header form that gives the driver order-based information, such as stop locations,

order notes, and order-based reference numbers.

A separate stop form for each scheduled stop on the trip.

Separate inbound (or return) stop forms are not required for the shipper, consignee, and extra stops on a trip. However, separate forms are used for pickups, drops, and stops that do not involve either a pickup or drop.

At each stop, the driver reports the arrival and departure by performing these actions:

1. Retrieving the appropriate stop form on the MCT for the current stop.

2. Pressing the Reply button on the MCT, which automatically retrieves the appropriate stop reply form.

3. Entering A (for an arrival) or D (for a departure) in the stop reply form’s Arriving/Departing field.

4. Entering any other required data, e.g., cargo information, reference numbers, BOL’s etc.

5. Sending the stop reply form.

This document describes the TotalMail stop-based form set.

Notes:

1. The TotalMail stop-based form set can and may be modified to meet the specific requirements of your company. These modifications may change the names of the forms and/or the form set’s circle of service.

2. Although existing TotalMail customers can and often do edit their forms, they typically do not switch between form sets after TotalMail is installed. Existing customers interested in switching to the stop-based form set should contact TMW Support before proceeding. Although TMW does not charge a fee for the form set, consulting fees for tasks such as customizing your forms (including re-applying customizations that had been applied to the old form set), altering your TotalMail and TMWSuite configurations, and training dispatchers would typically be required.

Understanding stop-based forward formsThere are eight forward forms in the TotalMail stop-based form set. They are described in the following sections.

Understanding the Main Load Assignment form

The Main Load Assignment form displays the trip order number, the number of stops on the trip, and the type of activity to be performed at each stop. Although the form is designed for use with orders, it can also be used for empty movements not associated with an order. The dispatcher sends this form after assigning assets to a trip in TMWSuite.

When sent by the dispatcher, the Main Load Assignment form:

Updates the trip status in TMWSuite to Dispatched. Generates and sends the Load Header and all required stop forms.

Note: Although the Main Load Assignment form is addressed to a tractor ID, the form itself is not transmitted to the MCT associated with the tractor. The purpose of this form is to generate the Load Header and the stop forms that will be sent to the tractor’s MCT. Once these forms are sent, the Main Load Assignment form deletes itself.

Notes:

1. The Main Load Assignment form is the only forward form that the dispatcher needs to send in the TotalMail stop-based circle of service.

2. When sent for an empty movement not associated with an order, the Main Load Assignment form performs the same functions as the Assign Empty Move form, i.e., it generates and sends the Empty Move Header form and an Empty Move Stop form for each scheduled stop on the movement. The Assign Empty Move form is described later in this document.

Sending the Main Load Assignment form from the TotalMail Viewer

Follow these steps to create and send the Main Load Assignment form from the TotalMail Viewer:

1. Do one of the following:

From the Compose menu, select the New Form Message command.

In the toolbar, click the New Form Message icon.

The Available Forms window displays:

Order The order number for the trip.

# Stops The number of scheduled stops on the trip.

Note: An empty move at the start of the trip, if required, is not counted when the # Stops field is calculated, even if the empty move has already been scheduled in TMWSuite.

Stop The sequence number of the stop currently displayed.

Notes:

1. Each stop on the trip displays on a separate page of the Main Load Assignment form.

2. To view additional stops, use the Next Page and

Previous Page icons in the toolbar.

Type The type of activity at the stop listed in the Stop field. The options are:

PUPIndicates a pickup activity. Events include, but are not limited to, Live Load (LLD), Driver Loaded (DLD), and Hook Preloaded Trailer (HPL).

DRPIndicates a drop activity. Events include, but are not limited to, Live Unload (LUL), Driver Unloaded (DUL), and Final Drop Loaded (DRL).

NONEIndicates an activity other than a pickup or drop. Events include, but are not limited to, Hook Loaded Trailer (HLT), Drop Loaded Trailer (DLT), and Hook Change Trailer (HCT).

3. Enter the desired tractor ID in the To field.

4. Enter the order number for the trip in the Order field.

Note: This step is optional.

5. Press CTRL+A to activate the auto-fill feature.

TotalMail will retrieve trip data from TMWSuite. The trip data selected will be determined by the entry in the Order field:

If an order number is entered in the Order field, the system will retrieve trip data for that order.

If the Order field is blank, the system will retrieve trip data for the tractor’s next assigned order.

6. To send the form, do one of the following:

From the File menu, select the Send command.

Click the Send icon.

Note: Several fields and messaging options in the Main Load Assignment form will not be copied to the Load Header or any of the stop forms. Therefore, you should not:

Enter text in the Subject field.

Change the priority level and receipt option selections.

Attach data files, e.g., word processing documents.

None of the above actions will have any impact on the forms sent to the MCT.

Sending the Main Load Assignment form from Dispatch

Using either the Planning Worksheet or Trip Folder, you can open the TotalMail Dispatch Driver window to send the Main Load Assignment form directly from Dispatch.

Note: This section assumes that TotalMail features have been enabled in Dispatch, and that the Main Load Assignment form has been linked to the Load Assignment command in the TotalMail Configuration window, accessed in System Administration. If you cannot send the Main Load Assignment form from Dispatch, contact your TotalMail system administrator.

1. Do one of the following:

In the Available Trips grid of the Planning Worksheet, select a trip having a status of Planned or Dispatched.

In the Trip Folder, display a trip that has a Planned or Dispatched status.

2. Do one of the following:

From the Mobile Com menu, select the Load Assignment command.

Click the TM Dispatch icon in the sheet toolbar.

The TotalMail Dispatch Driver window displays:

The system automatically fills in most of the fields in the TotalMail Dispatch Driver window. You cannot edit any of the grayed-out fields from this window. If you want to change any information in these fields, close the message form and make the desired changes in Dispatch, then return to the TotalMail Dispatch Driver window.Note: The fields and buttons in the bottom right corner of the window are used by the Expert Fuel interface, and will appear even if the Expert Fuel interface is not enabled. Changes made to the stops listed in this section affect the Expert Fuel interface only, and will not change the

3. If you want to add comments or notes, enter them in the Assignment Comments text area. This information will be sent as a separate text message.

4. Click the Transmit button.

Note: The status window only confirms that the Main Load Assignment form was sent to TotalMail. If TotalMail cannot process this form properly, no error message will display in Dispatch.

Understanding the Load Header form

The Load Header form provides cargo, trip mileage, and trailer information to the driver. TotalMail generates and sends the Load Header form automatically when the dispatcher sends the Main Load Assignment form for an order.

Note: Since the Main Load Assignment form generates the Load Header form automatically, dispatchers do not have to compose the Load Header form.

Trip information appears in the following fields:

Order The order number for the trip.

Total Stops The number of scheduled stops on the trip.

Note: An empty move at the start of trip, if required, is not counted when the Total Stops field is calculated, even if the empty move has already been scheduled in TMWSuite.

Pieces The unit of measure used to quantify the count of the cargo being transported. Data will appear in these fields if any of the following unit types is selected in the Actual Unit field on the order header in Order Entry:

BOX (Boxes) CAS (Cases) COIL (Coils) ESC (Escort) EVT (Event) FLT (Flat) FT (Feet (Count)) MIN (Minimum) PCS (Pieces) PLT (Pallets) SLP (Slips) STOP (Stop)

Weight The weight and unit of measure for the cargo being transported. Data will appear in these fields if any of the following unit types is selected in the Actual Unit field on the order header:

KGS (Kilograms) LBS (Pounds) MTN (Metric Ton) TON (Tons)

Loaded Miles The total number of loaded miles on the trip.

Empty Miles The total number of empty miles on the trip.

Planned MT TRL If an empty move is scheduled at the start of the trip, this field displays the trailer ID used on the empty move. If the empty move is a bobtail, the value in this field will be UNKNOWN.

Planned LD TRL The trailer ID used to transport the cargo.

Order Comments Free-form comments recorded for the order. This information is copied from the text entered in the Rmrk field in Order Entry.

Note: This text also displays in the Remarks field in the order header section of the Dispatch Trip Folder.

The Pick Up form provides detailed stop information for a pickup stop. TotalMail generates a Pick Up form for each pickup stop on a trip. All required Pick Up forms are generated and sent automatically when the dispatcher sends the Main Load Assignment form.

Note: Since the Main Load Assignment form generates all required Pick Up forms automatically, dispatchers do not have to compose any Pick Up forms for a trip.

Name The company name recorded in TMWSuite for the company ID displayed in the Company field.

ZIP The ZIP Code recorded in TMWSuite for the company ID displayed in the Company field.

Early Date/Time The date and time recorded in the Arrival column for the pickup.

Pickup Instructions The text entered in the Del Comments column of the Stop Detail in the Dispatch Trip Folder for the pickup.

The Drop form provides detailed stop information for a drop stop. TotalMail generates a Drop form for each drop stop on a trip. All required Drop forms are generated and sent automatically when the dispatcher sends the Main Load Assignment form.

The Other Stop form provides detailed stop information for a stop that is neither a pickup nor a drop. TotalMail generates an Other Stop form for each stop that is neither a pickup nor a drop on a trip. All required Other Stop forms are generated and sent automatically when the dispatcher sends the Main Load Assignment form.

Note: Since the Main Load Assignment form generates all required Other Stop forms automatically, dispatchers do not have to compose any Other Stop forms for a trip.

Stop information appears in the following fields:

Order The order number for the trip.

Stop The stop sequence number assigned to the stop, and the total number of stops on the trip.

Understanding the Assign Empty Move form

The Assign Empty Move form displays information for an empty move not associated with an order. The dispatcher sends this form after assigning assets to an empty movement in TMWSuite. When the dispatcher sends the Assign Empty Move form, TotalMail generates the forms that will be sent to the driver, i.e., the MT Move Header form and an Empty Move Stop form for each scheduled stop.

Notes:

1. Although the Assign Empty Move form is addressed to a tractor ID, the form itself is not transmitted to the MCT on the driver’s tractor. The purpose of this form is to generate the MT Move Header and Empty Move Stop forms that will be sent to the MCT. Once these forms are sent, the Assign Empty Move form deletes itself.

2. The Assign Empty Move form should not be used for TMWSuite orders. Use the Main Load Assignment form instead.

Leg# The trip segment number for the movement.

# Stops The number of scheduled stops on the movement.

Stop The sequence number of the stop currently displayed.

Notes:

The MT Move Header form provides information about an empty movement not associated with an order to the driver. TotalMail generates and sends the MT Move Header form automatically when the dispatcher sends the Assign Empty Move form.

Understanding the Empty Move Stop form

The Empty Move Stop form provides detailed information for a stop on an empty movement not associated with an order. TotalMail generates an Empty Move Stop form for each stop on an empty movement. All required Empty Move Stop forms are generated and sent automatically when the dispatcher sends the Assign Empty Move form.

Note: Since the Assign Empty Move form generates all required Empty Move Stop forms automatically, dispatchers do not have to compose any Empty Move Stop forms for a movement.

Stop information appears in the following fields:

Leg# The trip segment number for the movement.

Stop The stop sequence number assigned to the stop, and the total number of stops on the movement.

Event The type of activity at the stop listed in the Stop field. The value in this field will always be NONE.

Trailer The trailer ID used to perform the activity at the stop.

Company The TMWSuite company ID for the stop.

Name The company name recorded in TMWSuite for the company ID displayed in the Company field.

Reviewing the stop-based circle of serviceWhen used in the proper sequence, TotalMail forms update TMWSuite order information as each trip event is completed. The use of TotalMail forms to automatically update and complete TMWSuite order information creates the TotalMail circle of service.

Nine forms comprise the stop-based TotalMail circle of service:

Main Load AssignmentThe stop-based circle of service begins when the dispatcher sends the Main Load Assignment form. The form can be sent any number of times after assets have been assigned to the order, i.e., any time the order is in Planned status. In addition, the Main Load Assignment form updates the order status to Dispatched.Note: When the driver sends the Dropping Off form to indicate the departure from the last drop stop, the system automatically sends that driver’s next Main Load Assignment form.

Load HeaderWhen the dispatcher sends the Main Load Assignment form, TotalMail generates and sends the Load Header form automatically. Dispatchers do not have to compose the Load Header form.

Pick UpWhen the dispatcher sends the Main Load Assignment form, TotalMail generates and sends a Pick Up form automatically for each pickup stop on the trip. Dispatchers do not have to compose any Pick Up forms.

DropWhen the dispatcher sends the Main Load Assignment form, TotalMail generates and sends a Drop form automatically for each drop stop on the trip. Dispatchers do not have to compose any Drop forms.

Other StopWhen the dispatcher sends the Main Load Assignment form, TotalMail generates and sends an Other Stop form automatically for each stop that is neither a pickup nor a drop on the trip. Dispatchers do not have to compose any Other Stop forms.

Begin TripThe driver generates the Begin Trip form by retrieving the Load Header form on the MCT and pressing the Reply button. The driver sends the Begin Trip form when starting the trip.

Picking UpThe driver generates the Picking Up form for a stop by retrieving that stop’s Pick Up form on the MCT and pressing the Reply button. For each pickup stop on the trip, the driver will send two Picking Up forms:

An example of the stop-based circle of service

The following example demonstrates how the forms in the stop-based circle of service update trip information in TMWSuite. This example uses a sample trip with the following stop information:

At the start of the trip, the driver and tractor are located at CMP1A. There is a live load (LLD) at the shipper, CMP1B. After the shipper, there is a driver load (DLD) at CMP1C. A fuel stop is scheduled at CMP1D. There is a driver unload (DRL) at the consignee, CMP1E.

Stop information for the trip is entered in TMWSuite as shown below:

The following actions take place:

1. The dispatcher sends the Main Load Assignment form to the driver.

Note: The Main Load Assignment form can be sent manually by the dispatcher, or automatically by TotalMail when the driver sends the Picking Up departure form for the last stop on the previous trip.The form performs the following action in the order header:

Updates the Status field to Dispatched. Updates the Update App field to TMAIL.

In addition, the Main Load Assignment form automatically generates and sends the other forward forms required for the trip.

Note: Since TRL1 has been assigned to the trip, this trailer ID automatically appears in the Trailer field of each form.No changes are made to TMWSuite trip data during this time.

3. The driver retrieves the Load Header form on the MCT, presses the Reply button on the unit, then composes and sends the Begin Trip form.

The form performs the following actions:

Inserts an empty move starting at CMP1A at the beginning of the current trip segment.Note: When calculating stop sequence numbers and total number of stops, all stop-based forms ignore any initial empty move information.

Records the arrival and departure times at CMP1A. If the driver changed the trailer ID in the Trailer field of the form, records the trailer ID.

Note: If a trailer was assigned to the stop at the time the Load Header form was sent, the trailer ID will automatically appear in the Trailer field. This does not automatically appear on the MCT, only once the message is received by TotalMail and viewed in the Viewer.

Actualizes the arrival and departure at CMP1A.

Updates the Status field in the order header to Started.

The form performs the following actions:

Records the arrival time at CMP1B. Actualizes the arrival at CMP1B.

Note: Since the Begin Trip form had inserted an empty move at the start of the trip segment, the stop at CMP1B is now listed as the second of five stops on the trip in TMWSuite. However, the Picking Up form ignores empty moves at the start of trips. Therefore, it considers CMP1B to be the first stop on the trip, and identifies and updates the correct stop. Other stop-based return forms also ignore empty moves at the start of trips, which allows them to also identify and update stops correctly.
