MAKING A CLAIM (cont)  Reimbursement is paid to the fire departments by the U S Department of Treasury after a claim is approved for payment.  But, the U S Department of Treasury will deduct this amount from the future budget of the Agency or Department that is involved.  The request for reimbursement must be made in writing to USFA within 90 days of the incident. 3

MAKING A CLAIM Visit the USFA website www.usfa.fema.gov and

type in Federal Fire Reimbursement in the “search” box. or go to:

www.usfa.fema.gov/fireservice/grants/rfff/index.shtm

Only costs over and above normal operating costs are reimbursable.

Claims are submitted to USFA and reviewed to ensure they meet the proper criteria.

SUBMISSION OF CLAIMS Name, address, jurisdiction and nature

(volunteer, private, municipal) of claimant’s fire service organization;

Name, title, address and telephone number of individual authorized by the claimant’s fire service to make this claim;

Name and telephone number of the Federal employee familiar with the facts of this event and the name and address of the Federal agency having jurisdiction where the fire occurred;

SUBMISSION OF CLAIMS (cont) Proof of authority to fight the fire (source of alarm,

whether fire service was requested by responsible Federal official);

Personnel and equipment committed to fighting the fire (type of equipment and number of items); itemized list of direct expenses;

Copy of the fire report which includes the location of the fire;

Such other information or documentation as the Director considers relevant to those considerations to be made in determining the amount authorized for payment;

Source and amount of payments received or to be received for the physical year in which the fire occurred, including taxes or payments in lieu of taxes and including all monies received or receivable from the United States through any program or agreement.
