How AP invoices are indexed
• AP invoices are indexed by the following fields:• Banner invoice number• Banner invoice date• Vendor name• Vendor Code (if provided in Banner)• Vendor invoice number (if provided in Banner)• Fiscal Year
• All of this information is retrieved from Banner based on the Banner invoice number.
• You can search by one, some or all of these index fields.
4
Web Search
• Easiest search to use.• Just enter whatever string you have available in web
search field and click ‘Go’.• For example, part of the Banner invoice number,
vendor code or vendor name.• If the string isn’t complete, then end it with the
wildcard ‘*’.• Searches are not case-sensitive.• Search goes against all index fields not just a single
field.
5
Using the Web Search
Enter your search string in the ‘Search the site for:’ field and click ‘go’.
6
Pre-defined Searches with single field• Go to Search, Request Documents and select the search
you want from the drop-down list.• AP Invoice – Inv Number• AP Invoice – Vendor Code• AP Invoice – Vendor Name
• The advantage of a pre-defined search is that it only goes against a specific field (for example, just Invoice Number).
• If the string isn’t complete, then end it with the wildcard ‘?*’.
• Searches are not case-sensitive.• Note: You can not begin a search with the wildcard and
you can not use just ‘*’.
7
Using Pre-defined Searches with single field
Select search from drop-down list.
8
Pre-defined Search with all fields
• Go to Search, Request Documents and select ‘AP Invoice – all fields’
• Fill in only the fields that you know. Use wildcards as necessary.
• If you fill in a field, then you must fill in both sides of that field (see example in next slide).
• You can retrieve a range of documents using this search. The left side is the beginning of the range and the right side is the end of the range. For example, I3UKW91?* on the left and I3UKW93?* on
the right retrieves all invoices that begin I3UKW91, I3UKW92 and I3UKW93.
9
Using the Pre-defined Search with all fields
If you don’t use an index field, then leave both sides blank
Make sure to fill in both sides for each index that you use in the search.
10
Wildcard
• Wildcard, ?*, is the combination of the ? And *.• This is used because it is not a string likely to ever
occur in any of the indexed fields.• You must use the wildcard when a search string is
not complete.• Search strings are delimited by a space.
For example, if you were searching for vendor ‘Donald P Stumpo’, then Stumpo or Stump?* would give you results but Stump would not.
• You can not begin a search string with a wildcard. This will retrieve all invoices.
