Introduction

In order to support a sound management of your organisation, you need to ensure an effective follow-up of your clients.

Octopus allows you to ensure this follow-up from various and complementary perspectives, so you can carry out a general follow-up as well as more a specific monitoring.Therefore, this tutorial explains the main tasks the loan officer has to do in order to monitor his client portfolio.

On the start page, the left bar presents the alert system. Click on it to open it. Double-click on the contract you want to see to open it.

Alerts show actual information which needs an attention of a loan officer. It shows late and pending loans and also overdraft savings on the basis of the filter settings selected.

Use the search engine to find a client.

Make your research more accurate by selecting a type of client, active or not active client.You can see in the third column of the list whether a client is active or not.

In the Search engine the fifth column called “Loan cycle shows the number of loan cycles of the client. The last column indicates whether the client is a member of a group.

4. Checking the client record and printing out client

Go to “Search Client” in the Search engine and look for a client. (using name, ID, city). Double-click on the client to open his/her record. In the Detail tab, you can consult the client personal information you need and print it out.

The last tab of the client record is called “Follow-up”, which allows you an easy monitoring of your client.

5. Checking the balance of the savings account and the OLBIn the client record, the Contracts tab shows the balance of the savings accounts of you client and the OLB.

6. Checking the repayment schedule

Double click on the loan contract and click tab « Loan repayment ».

In the tab « Repayment schedule » check the details of the installements. The repaid installements are displaid in green, the late installements in red. You can consult the contract events in the tab « Events » and the Accounting linked to the loan in the tab « Accounting »

6. Performing loan repayment

The amount of repayment corresponds to the next installement. Change the amount and note the change in the installements : repaid installements are displaid in green.

Chose a payment method. You can repay an installment from the savings account if a mandatory saving is linked with the loan.

When performing a repayment you can choose to keep the initial schedule or not. Check the option « Do not keep initial schedule » to see the change in the installements

Enter the amount of the last installement, choose « Cash » as payment method, keep the initial schedule and click « OK ». The reimboursment is done;

In the tap loan repayment click « repay »

7. Printing out the receipt

Double-click on a loan contract and go to “Loan details”. Once the committee of credit has validated the loan, you can disburse the loan so the client can have access to his/her credit.

Click on “Print” to print out the disbursement cash receipt. You can also print out the individual loan disbursement, the contract history and the credit scoring.

8. Check reports related to the client portfolio

Click « Reports » to have access to more than 50 reports. When opening a report, use the filter to make it more accurate. You can print the report and export it to excel.
