Single Account Opening Process

ACCOUNT INFORMATION TAB

PREFILL APPLICATION

- Load Beneficiary, RMD, and Move Money information from a previously saved transfer.

BASICS

- Account Type – please select the type of account you want to open.

- Expected Value – please enter the approximate value of the account.

- Pre-Assigned Account Number – this will be generated at end of application.

FEE SCHEDULE

- Writing Advisor – please select the advisor to be paid on this account.

- Fee Schedule – please select the appropriate fee schedule for the account.

- Client Fee – this defaults to maximum fee schedule and has a slider allowing the advisor by clickingand holding on the box that shows max BPS to reduce fee by sliding left and right.

CURRENT CUSTODIAN (LPOA) - Current Custodian:

o Other Custodian – always choose this if money is transferring outside of the current custodianyou are going to be using for the account.

o Select Custodian if money is already held at that same Custodian.▪ Example: money is held and TDA and you’re are moving it to your firm have the account

still at TDA (i.e. a TDA to TDA transfer).

ASSET TRANSFER INFORMATION

- Account Funding Options – be sure to choose how the account will be funded from the dropdownmenu then select “Add” to provide the details.

o Transfer in: Mailed Check – if account is funded by check.o Transfer in: Internal Journal Request – if the client already has account at respective custodian

and you are going to journal funds from one account to another.o Transfer In: Annuity – if the funds are coming from an Annuity.o Transfer In: CD – if funds are coming from a bank CD.o Transfer In: Mutual Fund Company – if funds are held directly at Mutual Fund Company.o Transfer In: Non-Current “Custodian Name” – if funds are being transferred from an outside

custodian where current account is not held.

OWNER #1: CONTACT INFORMATION

- Please provide all necessary information on the account owner.

- If your CRM is linked to Elements you should be able to pull this data in from there in the field thatsays ‘Load a Contact from your CRM’.

OWNER #1: INCOME INFORMATION

- Be sure include the relevant information.

OWNER #2: CONTACT INFORMATION

- Same as Owner 1 info.

OWNER #2: INCOME INFORMATION

- Same as Owner 1 info.

BENEFICIARY INFORMATION

- Add Beneficiaries name > Type > SSN > DOB > Relationship > Percentage > Primary or Contingent >Per Capita or Per Stirpes.

- By clicking “Add Beneficiary” you can add additional Beneficiaries.

DISTRIBUTION/CONTRIBUTION INFORMATION

- Type: “RMD”o TDA has a Systematic RMD form that can be calculated. However, if TDA does not have the

12/31 value of the previous year, they will not calculate the RMD.o From there, you can choose Withholdings, Frequency, Start Date, and Distribution Method.

- Type: non-RMD Distributiono Here you can set up the distribution/withdrawal.

MOVE MONEY SETUP

- Title – enter the name on the bank account as it exists exactly.

- Type – choose the bank account type.

- Routing # - enter the routing number.

- Bank – enter the client bank account number.

- If you have a scanned copy of a voided check you can upload that check. Use ‘click to upload’ toupload a picture and that should prepopulate all the bank account info (be sure to check that theinformation was captured from the check image properly).

RIA FORMS TAB Require Advisor Signoff Before Processing Paperwork

- Choose this if, after the client esigns their paperwork, you as the advisor want to review it before itgoes directly to custodian.

- If you don’t choose this, the esigned paperwok will go direct to custodian

Search

- You can type the name of the form you are looking to include with your paperwork and it will pull upthat form next the “User Added Forms” section. The form is selected when it’s checked.

RIA Forms

- Here is list of RIA forms to include with the paperwork. Check off any forms you want to include inyour paperwork.

- Please note: some of these may be checked already.

ADD’L

- Please provide any special instructions you would like our team to be aware of.

- Add Document – you can upload any scanned documents that are saved to your computer if youneed to include it in the paperwork.

GENERATE PAPERWORK

- When you click “Generate Paperwork” you will see all forms you created prefilled.

- This can be edited in most areas by clicking on any field on the forms generated and editing theexisting info. (Note: you cannot edit signature sections.)

- Green Button on lower right – if you scroll your mouse over it and let it rest, a note will pop up andwill say “Turn on/off Progress Form Filling”.o By leaving it on (default), any time you edit a common data input on one section of the form, all

sections of the form that have that data input will change▪ For example, if the last name you entered is “Smith” and it should be spelled “Smythe” then

by changing one area where it says “Smith” to “Smythe” all areas with the last name of“Smith” will get changed to “Smythe”.

BUTTONS – SAVE, DOWNLOAD, PRINT, E-SIGN

- Save – by clicking this button you can save the forms and go back to them later.

- Download – allows you to save docs to your computer.

- Print – allows you to print docs off your computer and get wet ink signatures.

- E-Sign – allows you to send documents to your client via email (thru Docusign) to get e-signatures.o Please be sure the signer’s name and proper email address are populated.o ‘Show Optional Signers’ by clicking this button you can add additional e-signatures by entering

the clients name and email address.▪ Make sure the account owners name is on the respective signature fields of the forms.

However, if it is not on there, what you see on the signature field of the forms will likely matchup with one of the fields in the ‘Show Optional Signers’ that appears after you select E-Sign.Here you can add the clients name and email is the field that matches up with what shows onsignature section of the form.

▪ Example if it says ‘Own1’ on signature section of Account App, look for field that says ‘Own1‘in “Show Optional Signers” and add the client’s name and email address.

When you are confident the forms are properly done and you are sending it to the right person, click “Next” follow any other prompts and your clients will get an email for an e-signature.

Multiple Account Opening Wizard

OWNER #1 - Enter the client’s personal information.

o This can be imported from a CRM if it is connected with Elements.

INCOME (OWNER #1) - Enter the client’s work and income situation as it applies.

OWNER #2 - Enter the client’s personal information.

o This can be imported from a CRM if it is connected with Elements.

INCOME (OWNER #2)- Enter the client’s work and income situation as it applies to all fields where necessary.

TOD - Enter all beneficiaries who will be listed on any of the accounts you will be opening.

o Entering these beneficiaries here does not mean they will be listed on the all the accounts.Rather when you list the beneficiaries on the respective accounts, all the information youentered here can be added as the client wants to each of the accounts.▪ i.e. enter it once here and apply to relevant accounts later, rather than entering it

individually and repeatedly for each relevant account.- Click “Add Beneficiary” button to create multiple beneficiaries .

ACCOUNTS - Here is where you are going to create all the accounts for the specific household.

o Example: create husband’s IRA, wife’s IRA, and their Joint account.- Process:

o Choose “Account Type” (IRA, Roth, Joint…)o Next to “Account Type” choose Primary Owner (this will be owner #1 or owner #2 that you

entered previously).o In the field next to that, if there is a second owner enter them there. If there is not a

second owner, be sure to leave that dropdown blank.o Enter the dollar amount of the account (approximate).o Click “ADD” to add the account and this will prompt you to a Sub-Wizard that sets up the

specifics for that particular account.o Sub-Wizard Process:

• Account Nickname – enter how you want to reference the account.

• Choose the funding method and Click “Add”.

• If an Account Transfer form is needed, choose “non-Custodian account” and click“Add”.o Enter the details of the account transfer.

▪ DISTRIBUTION TAB

ACH - Title – enter the name on the bank account as it exists exactly.- Type – choose the bank account type.- Routing # - enter the routing number.- Bank – enter the client bank account number.- If you have a scanned copy of a voided check, you can upload that check. Use the ‘click to upload’

to add the picture and that should pre-populate all the bank account info. (Be sure to confirm thatthis has pre-populated correctly.)

SETTINGS - Here are additional forms to add.

o Please note: adding a form here doesn’t mean it will be added for all accounts chosen (thatis done in the subwizard).

o This is best used for Household Level forms, such as Management Agreements, FeeSchedule Agreements, etc… (not specific custodian forms).

- “Search” field – allows you to search for any forms in the library.

INSTRUCTIONS - Add special instructions for our Ops team to review.- Upload additional documentation that will not get generated in this wizard (examples would be

Driver’s License, Statements…)- Click “Generate Paperwork” and this will create a ticket and allow you to review the paperwork

before you give it to client.o Always review the paperwork to be sure It’s complete and all forms have been generated

for the respective account.

Review of the Forms

- Paperwork can be edited (except signature/initial sections) of forms

- Turn On/Off Progress Form Filling Button (green button in lower right of screen ) o If you edit the form, such as the clients last name,

▪ when this button is “on” it will edit the last name on every form▪ when this button is “off” it will only edit that particular field, you edited the clients last

name- Please review to be sure all info on forms is accurate and necessary forms have been generated.

It’s on you to be sure this is correct, don’t assume the Wizard will work 100% of the time.- Buttons in Upper Right

o SAVE – saves the data and form you generated to so you can go back to it before you send itoff to client

o DOWNLOAD – downloads a PDF of the forms generatedo PRINT – can print a hard copy of the forms generated for wet ink signatureo E-SIGN – this is send the form for e-signature via docusign. You enter the clients name and

email address (it may be entered for you already).▪ Please review the signature sections of the forms to be sure it shows the client name

in brackets (example below)

▪ If the signature section doesn’t show clients name you can edit that to be sure theclient signs in correct area*. Example below of what it may look like without client’sname.

• *This is common when there is only one account owner listed on a form, but theform needs signatures of multiple account owners. The most common instancehere is a Move Money form, where there is room to list primary account owner,but if it’s a joint account you need two signatures.

▪ To edit this after you’ve clicked E-SIGN and the window appears, a button shows thatsays “Show Optional Signatures” which you can click.

• Match the corresponding signature section on the form with the fields in theOptional Signatures section

• Example of this is if in the signature section of application, it says “1spouSign”and after you’ve clicked “Show Optional Signatures” look for the correspondingfield that says “1spouSign” and add the clients name and email

▪ Click NEXT

• Review the forms▪ Click SEND and forms will be emailed to client for docusign certification

Request a Distribution Wizard

ACCOUNT - Enter the account the distribution is coming from.

DETAILS - Enter the Dollar Amount.- Enter the Fed Tax and State Tax Withholding.- Frequency – enter how often this distribution will occur.- Start – enter the date the distribution will leave the investment account.- Method

o “Mail a check” - for Qualified Accounts, Move Money needs to be on file.o “ACH” - if bank account instructions are already of file it will appear.o “Add ACH” - if you want to set up a bank account link from the investment account for

direct deposit.▪ Enter the bank account information.▪ You will be asked to verify the account owner’s information – be sure everything

is filled in here.▪ At the end, since paperwork needs to be added, it will prompt you to “Generate

Paperwork” – this will create a distribution ticket as well as generate thepaperwork need to get the ACH instructions on file.

- If cash needs to be raised, it will prompt you to follow trade instructions for the account, bydirecting you to the Allocation Wizard.

o For more information on the Allocation Wizard, see the Allocation Wizard guide.

NOTES - Include any special instructions on the account.

Service Account - Address Change Wizard

SELECT - Search for account you want to change the address on

OWNER #1 - Enter the NEW address for the client

INSTRUCTIONS - Enter any special instructions you would like our Ops Team to be aware of- “Add Document” Button – allows you to upload a document if its relevant to the request

SUMMARY - Shows a summary of what was just entered- “Generate Paperwork/Submit Ticket” will generate needed forms for this request

Deposit and Journal Funds Wizard

SELECT - Select the account for this check/deposit/journal. For Planning Fees, select the related account.

CHECK INFORMATION - Deposit Type – select the Method.

o Check for Planning Fees – if charging financial planning fees.o Personal Check – if client is writing a personal check for deposit.o Custodian Check – if check is coming from another custodian (commonly used for

rollovers).o Internal Journal – if you are transferring funds from one account to another.

▪ Please enter the “Delivering Account Number” and the “Receiving AccountNumber”.

o ACH IN – if pulling money from a client bank account to investment account (ACH INinstructions must be on file or this will not work).

o Add ACH Instructions – if you want to add a form such as a Move Money Form.▪ *Please note: the Move Money Form will be generated in this ticket at the end,

and you will need to manually edit this form before submitting it to client.o Other – if there is another funding method we may not have listed.

INSTRUCTIONS - Enter any special instructions you would like our Ops Team to be made aware of.- Add Document – upload any documents relevant to this request, such as copy of check, etc.

SUMMARY - Review a summary of your request- “Submit Ticket” button – click to generate ticket- “Generate Paperwork” button – this will only appear if you chose to add ACH instructions

Allocate an Account Wizard

ACCOUNT - Enter the account you want to allocate. You can search by account number or client name.

PAYMENTS - “Do you need to reserve cash for a one-time distribution, like an annuity payment?” – this is asking if you

want to temporarily set money aside with an expiration date because money is going to be leaving theaccount at a certain time.

o “NO” - If you choose “no”, you will move on to the next tab and not set money aside.o “YES” - If you choose “yes”, new prompts appear…

▪ Cash Holding – enter the amount of cash you want to reserve.▪ Expected Withdrawal – enter the date the cash is expected to leave the account.

• Please note: during the time on or before the expiration date, if the account getstraded, that cash reserve will always be maintained.

• If the cash leaves the account before the expiration date and the account getstraded before the expiration date, new cash will be re-raised in the account.This is why it’s important to be mindful of when the cash leaves and when theexpiration date is.

CASH - “Should a minimum amount of cash be maintained in the account for distributions? (i.e. income

withdrawal, expenses, etc...)) *If for a monthly distribution - please specify at least 3 months' worth ofcash amount in the account.”

o Unlike the “Payments” tab, this is asking to set aside cash permanently in the account and isoften used when client has a recurring distribution.

o “NO” - If you choose “no”, you will move on to the next tab and not set money aside.o “YES” - If you choose “yes”, new prompts appear…

▪ Reserve Amount – enter the amount of cash you want to reserve.▪ Reserve Reason – enter the reason to maintain the cash in account.

EXCLUSIONS - If there are specific positions in the account that you don’t want traded, please enter those

tickers and they will be excluded from trading any time the model is rebalanced.o This does not exclude models from being traded, but rather individual positions with

ticker symbols.- ‘Add Asset’ button – select this if there is more than one position you want to exclude.- ‘Show Assets’ button – select this to see the positions in the account.

REVIEW - This tab shows you a review of what you selected so far.

ALLOCATION - Here you will select how you want to allocate the account.- “Select Core Allocation” drop down – if you have allocations that are a mixture of models (such

as the Fusion Profile system), you can select the allocation you want.o Select the percentage of the account you want allocated to that Core Allocation.

- Strategyo You can select individual models and mix them in this section. Each dropdown will show

individual models available.▪ *Please note: if your model has a minimum amount to be invested and the

account doesn’t meet that minimum, that model will not show. If this happens,you will get a warning sign highlighted next to the ‘dollar value’.

o Enter the percentage of the account in the model you want allocated to that model (oryou can enter the dollar value and the percentage will populate based on that).

▪ Be sure your allocation equals 100%, and then you can move on.

NOTES - Enter any special instructions you would like our Trading Department to be aware of.

SUMMARY - Shows a review of everything entered.- Hit “submit” when ready to create a ticket and allocate the account.

Service Request – Roth Conversion

*Before using this Wizard, a Traditional IRA must be converted into a Roth IRA. To do this, the clientmust have a Roth opened already at the same custodian that their Traditional IRA they are convertingis located.

* If a Roth is not already opened, use the New Business Wizard: Single Account to open the Roth.

SELECT - Either enter

o The specific account you will be doing for the conversionOr

o The custodian you will be doing this conversion with

OWNER #1 - Enter the Account Owner information.

OPTIONS - Include all necessary forms.- Make sure the Roth Conversion form is checked.

INSTRUCTIONS - Include any special instructions for our Ops Team.- “Add Document” – upload any document relevant to the request.- “Generate Paperwork/Submit Ticket” – the Roth Conversion form will be generated and any

other selected forms.o *You will still need to manually edit the Roth Conversion form with the necessary info

before it is provided to the client.

aware of.- Add Document – allows you to upload any relevant outside documents.- Generate Paperwork/Submit Ticket – will generate the paperwork and create a ticket with a

ticket numbero Once the paperwork is generated you will likely have to manually edit the forms

Service Request – Fee Agreement Change

SELECT - Enter the specific account on which you will updating the fee.

FEE - Writing Advisor – enter the advisor this is for.- Fee Schedule – choose the respective fee schedule. In most instances, it will be either…

o WRAP – this is for accounts that do not get charged a transaction fee per trade.o nonWRAP – this is for accounts that get charged a transaction fee per trade.

- Client Fee – a slider and text box appears showing the max fee schedule. The slider can beadjusted by clicking and holding our mouse on the box and moving it left or right, or the fee canbe manually entered in the text box.

OPTIONS - Add any forms necessary for this change to be completed, such as a fee agreement form.

o Please note: in most instances, we will require a fee agreement form, so as a bestpractice it’s a good idea to get one signed if the fee is changing.

INSTRUCTIONS - Include any special instructions you would like our Ops team to be made aware of.

OPTIONS - Create Paperwork – use this if signatures are needed.- No Signature – use this if signature is not needed.- Generate Paperwork – same as Create Paperwork Button.
