GENERAL GUIDELINES FOR POSTGRADUATE STUDY UNIVERSITI KEBANGSAAN MALAYSIA (POSTGRADUATE DIPLOMA, MASTER AND DOCTOR OF PHILOSOPHY) 1. A candidate who has been accepted for admission shall register within the specified duration. However, a candidate who has been accepted may apply to defer his admission registration for duration not less than one semester and not exceeding two semesters. A application shall be made in writing to the Deputy Director, Center for Academic Management within four weeks from the date of admission registration. If the candidate fails to apply for deferment, the offer will be revoked. 2. Fees structure for each Faculty and Institute are as mentioned at Study Fees Structure document. A candidate shall pay all fees to the University at the beginning of each semester/session during the period of study. Payment can be made with the prescribed by the Bursar’s Office as mentioned at Guidelines for Study Fees Payment document. Proof of payment should be present during the New Student Registration Day. A cash payment during the registration day is not accepted at all. Any questions regarding fees, please call +603-8921 3113. A candidate which is sponsored by any institution is required to submit a copy of the letter offer or the guarantee letter of the scholarship/bursaries/loan to Student Finance Division, Bursar’s Office UKM during days of registration. It is the responsibility of a candidate to submit the copy letter of letter offer if they submitted a guarantee letter on the registration day. If a candidate is not fully funded, the balance of payment should be made before the day of registration in accordance with the method described above. A candidate are required to open a bank account with CIMB Bank Berhad or Bank Islam Malaysia Berhad to be used in all financial dealings with the University as the University has implemented electronic financial matters. Candidates are required to update the bank account number in the student portal (SMPWeb). Failure to open an account at the bank stated above and update your bank account number will be effect in any financial all financial dealings especially any payment to student. 3. A candidate is required to undergo a Medical Check-up at any hospital/clinic by using the attached form. Medical examination report form and X-ray films must be submitted at the UKM Health Centre’s counter during New Student Registration Day. A candidate is Not Allowed To Register if not submitting the medical examination report. Candidate with Contiguous Disease or Chronic Disease but Not Contiguous as stated in Health Prerequisite Acceptance For International Student Into Universiti Kebangsaan Malaysia are not accepted to register for admission. (See attachment for Health Prerequisite Acceptance) 4. An international candidate should take and pass the Malay Language course set by the University as stated in the offer letter for qualified to Conferment of Degree 5. A candidate is responsible for updating personal information in SMPWEB (www.ukm.my/smpweb ) from time to time. A candidate will be given a Login ID and Password during the New Student Registration Day. 6. A candidate is required to register online through SMPWeb within one week before each semester/session begins. Failure to register will result in candidates 'Termination Because Not Registered'. Payment of fees cannot be considered as candidate has registered. A candidate who have exceed the maximum duration of studies required to apply for extension of duration of his studies at their respective faculty, at least four weeks before the registration period begins. 7. A candidate who has registered may apply for deferment of study based on reasonable grounds. Written application must be made to the Deputy Director, Center for Academic Management or the Dean of the Faculty within four weeks after the semester/session begins. The postponement may be allowed for a duration not less than one semester and not exceeding two semesters.

8. A candidate who has approved Pass and Qualified to be Awarded the Degree by the Senate is

required to update his personal information and get the latest information about the convocation at www.ukm.my/konvo. A candidate is also required to complete the Graduate Tracer Study Form through the website of Ministry of Higher Education at http://graduat.mohe.gov.my and update his latest information in UKM Alumni Information System at http://www.ukm.my/alumniukm
