the OISTAT CDG if possible.

The person planning the event needs an instructions letter.

The Costume Design Group (by: Rosane Muniz, Sofia Pantouvaki and

Simona Rybakova) is working on a guide for CDG members with instructions

to having meeting, this is to be announced at the next business meeting in

Wales September 11th. 2013.

This is to not only suggest moving out from the traditional space of theatre but to explore the designers’ attitude in the contemporary.  We aim to create a conference that will develop discussion of common interest to all disciplines of Education, Performance Design and Research alike. Also to provide a fruitful encounter in which we can find inspiration for the continuity and development into collaborative projects between OISTAT Performance Design and Education. We invite you all to present and discuss your work or the work of other inspirational practitioners, from past or present. This should include ideas, theories and research, the processes used and the results that have emerged through breaking the boundaries of conventional practice.  The topics listed below suggest the areas for discussion:

 -       From the directors and designers attitude of escaping the conventional, to a cultural identification and its influence into the visual        aspects of the performance today.-       The impact of new technology on the performance aesthetics and the relationship with the audience. Also considering the diverse         usage - application and adaptation - of these new technologies in the practice of the contemporary performance.-       Lighting, sound, stage and costume design have been pushing the boundaries for many years, not only in traditional theatre but in        public spaces, exhibitions and museums, as installations that can stand alone as unique art forms.-       How to educate students, as well as young and established practitioners with the use of these tools and ideas.   Venues We wish to include a number of different institutions and venues in the conference and hold activities at them. It is hoped that these institutions will support the conference and in return they will be given a closer interaction and understanding of OISTAT and its activities. The names of the institutions and detailed agenda will follow.Among the Theatre groups and Theatres, we wish to include visits and parallel program with are: Teatro Alfa, Teatro Brincante, Teatro Oficina, Teatro da Vertigem, Theatre groups of Praça Roosevelt area etc.

  Plan of Activities The activities we are proposing are:1. Workshop – We are working on a partnership with Universities that could help in developing a workshop program to take place a week or two weeks before the meeting, so the group and its leader can present the result in an open presentation during our program. We will also make a call and a selection for workshop projects.2. Conferences – a total of 3 presentations: 2 presentations given by invited professionals and 1 presentation about the above mentioned workshop process and results. (each section duration is 1h);3. Symposium – We will send out a call for papers as it is important for the participants to share with the group new research that they may be working on or reporting on a recently completed project. We are proposing: 3 to 4 sections of presentations of papers, lectures presentations for everyone to attend. (each section has 1h20 and is composed of 3 lectures with a debate at the end).4. Roundtables – 2 to 4 sections of simultaneous round tables focused on questions dealing with each commission and individual proposals (the estimated time for each section is 1h30);5. Working meetings sessions – a total of 3 working sessions:1 open session of each commission (simultaneously, the estimated time for each section is 2h);1 closed session for each commission and working groups (simultaneously, the estimated time for each section is 2h);1 closed session reuniting both commissions at the conclusion of the conference (the estimated time for each section is 2h).6.Pecha Kucha – Open for all the public, we propose 9 presentations of 5 min each, divided into three sections followed by 10 min of discussion each. (Total time of 1h15). We will send out a call for images /presentations to be sent in advance and a selection of.7. International School Panel – Series of recruitment presentations from the visiting Education members to Brazilian students. 8.Side Program – Visits to Ateliers, Theatre Groups, Theatre Tours, Performances and others.9. Exhibition –Exhibition of Brazilian theatre design. Including an exhibition of World Stage Design and Scenofest in anticipation of World Stage Design and Scenofest 2017.10.Catalogue – we are looking for possible partnerships to produce a printed catalogue to publish the papers, the work of exhibitors, side activities and projects. This will include the papers that were not presented at the conference, encouraging input from people who are not able to attend and increasing the content beyond what was available at the conference.  Call for the workshop projects, papers, presentations and posters/displays on the theme of the Conference will be send later.  ConditionsThis is a low budget meeting therefore delegates must be responsible for all costs relating to airfares and accommodation for the period of the event in Sao Paulo: 10-15th August, 2014 (5 nights). We will organize also a conference side-program of three days to Rio de Janeiro, from 15th to 17th August for people who interested. The host will provide the visiting OISTAT members with information about travelling and hotels.

Minutes from Performance Design business meeting

1 Performance Design Commission Meeting Minutes Monday, March 25th, 2013; 2.00pm–3.00pm Merry Rendezvous Hotel Shanghai – Conference Room Chair: Reija Hirvikoski Secretary: Carl Walling Members & Guests Present: Henk van der Geest, Monica Raya, Hazem Shebl, Piroska E. A sign in sheet was passed around during introductions.

Review of Meeting Minutes & Chair’s Report (Reija Hirvikoski) Reija summarized the events of the March 2012 Las Vegas meeting. The minutes were discussed. The minutes were approved by unanimous consent. There was a brief discussion about the recent commission name change from Scenography Commission to Performance Design. In addition, the Costume Working Group is now the Costume Design Group. After the Las Vegas meeting, Reija forwarded the commission name change request to the Executive Committee (EC). During the Executive Committee/Governing Board (GB) meeting in Cyprus the change was approved. Reija encouraged members not to be concerned about the change from scenography to performance design.

Reija was invited to a recent Prague Quadrennial (PQ) organizational meeting due to her role as a former national exhibition curator. She reported to the commission that there were feelings by the PQ organizers that the Prague Quadrennial was becoming too design exposition. The PQ Organizers would like to find a way to develop the audiencing of the event.

For the upcoming Prague Quadrennial, there will be three themes available for applications: Music, Politics, and Weather. The Prague Quadrennial organizers will have a thematic curator for each theme. The PQ will still be populated with national exhibits with national curators.

In another development for PQ 2015, OISTAT will no longer have a scenofest at the Prague Quadrennial. Scenofest has become too large for the event and it is volunteer heavy. The Prague Quadrennial organizers would like the events of the PQ to offer something to Prague itself.

At the recent EC/GB meeting in Cyprus; EC/GB members would like to continue the connection between the Prague Quadrennial and OISTAT. There is a feeling that the Prague Quadrennial & OISTAT have a historic relationship and the connection between the two organizations should be continued.

2 Notice of New Business There were no additional new business items added to agenda.

Agenda Items

1) WSD 2013 – Cardiff, Wales (Reija Hirvikoski) UK designers are leading the 2013 World State Design

project. There will be a WSD meeting in the upcoming month. Reija is on the design exhibition jury along with other members of the Performance Design commission. At the current moment, 399 individuals have applied to the WSD design exhibition. (in the end there where 600)

Other updates were provided:

•Hazem Shebl noted that there is an issue with using PayPal for Egyptian applications. Reija will inform Sean Crowley, WSD 2013 Project Leader, about this development.

• Lise Klitten updated the commission about the Costume section of WSD 2013. There will be several presentations about Costume design and Costume research. The Costume section plans a Pecha Kucha presentation based on the idea “Shakespeare at the Sewing Machine”. There will be more information about costume opportunities in late April.

2) Organization Report from OISTAT Headquarters(Kathy Hong)

• Several website updates have been made to the OISTAT webpage (www.oistat.org), including thedevelopment of research and design galleries. OISTAT would like all submissions to the website to be copyright covered.

• The OISTAT Mission Statement has been revised recently. The revised statement has been posted to the website.

• A question came from the commission about who have the ability to post materials on the webpage. Kathy Hong explained that the headquarters and all commission chairs (including the chairs of the working groups) have the ability to post materials.

• Dorita Hannah congratulated the efforts of the Secretariat/Headquarters in completing the webpage. Kathy Hong said that headquarters would welcome any feedback; however, members should realize that there are limitations to the programming of the website.

3) Working Group Officer Reports (Lise Klitten & Henk van der Geest) Costume Design Group (Lise Klitten)

Lise mentioned that the Costume Design Group would like to find ways to collaborate with the other working groups. There is a perception that Lighting Design Group & Sound Design Group needs to be more active within the commission in order to have a more networked group.

Lighting Design Group (Henk van der Geest)

Henk reported that most of his work has been in conjunction with the Education Commission and Scenofest. He mentioned the difficulty in assembling the lighting design group members due to work schedules and touring. In addition, it has been difficult for members fund meetings. Henk noted that if there is a need for the 3 Lighting Design Group to complete work, then the group is functioning well. When there is a lack of need, it becomes difficult to get the commission’s membership together. In other developments, Henk was able to participate in a recent event by ITI focused on technology.

4) The Meaning and Mission of Performance Design (Reija Hirvikoski)

The commission discussed the possibilities of using education as a gateway in developing OISTAT membership. Reija would like the commission to organize workshops consisting of professional directors and actors. The workshops would network directors with designers and establish dialogues in aesthetics, philosophy, and professional practice. Reija would like members think about this topic after the conference and continue discussions in Cardiff. Discussion followed about several topics related to the mission of Performance Design:

• There was a feeling that the term “performance design” is too abstract as an international idea. Reija mentioned that everyone is a performance designer. The term “performance design” allows for more inclusion and may attract younger designers to OISTAT. A member commented on the lack of a set design group within the overall Performance Design commission structure. Reija noted that a set design working group could be formed, if there is sustainable interest from OISTAT’s members.

• Fausto Viana mentioned that the website should be more dynamic in order to reach new members.

• Monica Raya commented on the mission of OISTAT, noted that OISTAT networks individuals to other individuals.

• Lise noted that there needs to be better communication between the Performance Design commission and Publication & Communication Commission (PCC). If members have ideas about improving these connections, they should email Reija with their ideas.

• Carl Walling noted that the idea to have workshops between directors and designers could be developed into a networking of potential OISTAT members. He noted that this may also work if the commission develops workshops that pair young designers with OISTAT commission members.

• There was a feeling by some members that people do not understand what OISTAT is as an organization.

• Recently, the EC/GB talked about opening up individual memberships to individuals in areas with national centres. This topic may be part of the OISTAT World Congress agenda in Cardiff. There is a concern that opening up access to individual members, may jeopardize funding for national centres in less active or small membership centres.

5) New Business: WSD 2013 & PQ 2015 (Dorita Hannah)

There will be a trial run of TESTing 2013 in Cardiff during World Stage Design 2013. At this moment, there is an expectation that the event will reoccur at PQ 2015.

6) Date of Next Meeting (Reija Hirvikoski)

The next meetings of Performance Design will be 2013 – Cardiff, Wales (WSD 2013) and in Brazil, August 10 –15th 2014. Brazil meeting will be a joint meeting with the Education Commission. All members of OISTAT are welcome to attend. The meeting is anticipated to be a low budget, self funded meeting.
