Job Title: Information Manager

Main Purpose of the Job:

TRP is undergoing a period of significant change, and requires a knowledgeable and committed Information Manager to ensure that the organisation continues to uphold data protection best practice. The Information Manager supports the IT Delivery Manager and Head of IS in the creation of new Knowledge and Information Management (KIM) and data security policy, response to information requests under the Freedom of Information Act (FOIA), and the management of TRP’s electronic records/filing structures.

Main Duties/Responsibilities:

Statutory requirements, KIM policies, and communications

Manage obligations under the Public Records Act, the FOIA, Environmental Information Regulations (EIRs) and the Data Protection Act (DPA)

Manage and deliver effective responses to requests (FOI, EIR, DPA, Subject Access Requests, etc)

Review records management policies in the context of TRP’s changing needs, liaising with external bodies, delivering new written policies

Ensure individuals’ personal information is used only in accordance with appropriate legislation, in the context of the implications of the GDPR

Work with the IT Delivery Manager to create new policy and alter working practices to:

o Support the requirements of the GDPRo Reflect the status of TRP when it becomes a new organisation

With the IT Delivery Manager, liaise with the Royal Parks Foundation to support the collaboration of the two organisations on data management and protection.

Line management of the Grade I Archive Officer, responsible for the paper archive

Give colleagues access to information in a proportionate and secure manner, managing digital access rights and overseeing the Archive Officer’s dissemination of paper records

Dispose of all information assets securely, following best practice and legislative requirements

Promote awareness of HMG’s document classification system, reviewing for the new organisation

Assist with relevant projects, advise on business cases and identify impacts of system changes, e.g. providing advice to the Landscape Architecture team regarding the development of TRP’s Building Information Management system.

Technical specialism

As the System Administrator and staff trainer for the HPERM electronic records and document management system, provide training to all staff as appropriate

Work with the IT Delivery Manager to assess HPRM and TRP’s shared drives; improve the working of the systems according to user needs, specifically in the context of organisational change

Keep up to date with TNA’s work on e-discovery tools, and work across the public and private sectors on digital archiving in general.
