Communication Management in Project Management
Communication is perhaps, the most vital link in project management. The procedures
related to the communication do not refer to mere correspondence; the entire gamut of
interaction between the various agencies and individuals must come under its purview.
In the managerial sense, communication would refer to information flow; this would form
the basis for any surviving system. Communication leads to control, self-control or
otherwise, and it is interesting to note that only in a controlled system, elements would
communicate with each other. It is therefore, necessary that the elements are procedure
bound to ensure effective communication.
We can identify the following procedures which will contribute to better communication:
1. Procedure for correspondence and distribution of mail.
2. Filling procedure
3. Reporting procedure
4. Procedure for meeting and recording minutes of meetings.
5. Procedure for data logging.
6. Project newsletter and general information procedure
7. Procedure for making presentations
8. Procedure for project workshops
9. Control-room maintenance procedure
10. Suggestion scheme
The above shown procedure, however, are no substitute for daily interactions and
personal contacts in the form of visits and verbal communications. At the same time, an
excess of personal touch may result in touchiness. This can, perhaps, be avoided by
formalizing the communication system.
