Unit 19 P6/D1 Team Effectiveness Overall the team was very effective in meeting its objectives, not just the original task of making a profit but also in terms of meeting the stretch goals and additional objectives that we set out in the beginning, this was a big success for us and the team had minimal conflicts, all operations within the team were completed swiftly with no time wasting and minimal questions asked. The Evidence Documents The required documents were completed swiftly and at commercial standard, because we had planned ahead on who was going to do what parts we were able to work on things at our own pace, we actually had too many members which made the event planning faster than we thought however we used this to our advantage by expanding into new documents that would make the event better. The fact we were able to complete documents was a good thing but the issue here was that we should have first of all identified the strengths in the team, what we found after setting out the tasks was that some people had strengths that were better applicable to other tasks such as the poster design could have been done by the team member who had a good grade in art. The next time we do this, we should identify the strengths of the team so that we can improve the work standard. The other issue we had was that we completed the work too fast, although we were able to improvise, this was out of our own present moment judgement, the extra documents would have been more effective if they were planned, for example if the leader was to allocate them only as extras for those who may have completed their tasks, this would also have made it better to identify what the extra documents should be. Sales

Overall the sales were very successful, we actually had so many sales that it became a struggle; this was one of our downfalls as the tuck shop area was very small and it was fairly difficult to serve everyone at once although the sales overall made a hefty profit. On the first night we made over £100 profit in sales and this was the lowest attending nights, over all of the nights we managed to take in almost £750 which after the costs of the event setup and the tuck shop stock deducted resulted in us making a profit of £500 which was one of our stretch goals.

After finding the sale area was too small what we should have done was increase the size of the tuck shop area but we didn’t have any room to actually do this which was something we hadn’t planned for, we should have expected this but we didn’t and that was a downfall. Next time we will plan for the area to be somewhere where it is actually possible to increase the area of operations as at the time we couldn’t move the tuck shop because everywhere else was being used. What we should have done was tally up the sales each night and then purchase extra products for those running low but at this point we had already used the tuck shop budget, what we should have done was use half of the budget the first day and then spread the rest out for restocking, this would have been a more effective way to make sure that the most popular items did not go out of stock.

Team feedback

The team felt the event went really well however we all had concerns during the event that we needed a bigger tuck shop area, a downfall was that the team struggled to sell swiftly due to the noise levels at the event, the area was very small which was a downfall but it at the least provided one advantage which was that no one would be able to steal anything since you could see all the items in plain sight.

The fact that we held the tuck shop area in the hall was a downfall as the sound echoed, what we should have done is held the tuck shop possibly in a place with less echo, if we had held the event earlier we could have used one of the side exits and held the tuck shop event outside, not only would this had gave us more room but it would have also reduced the noise, however an issue of this would be that it could rain so we would also need a cover of sorts.

Customer feedback

The customers were really pleased with the event itself, when we asked them first of all we used a questionnaire, only 20% of people replied but overall the event was rated an 8, people felt a score of 7 was appropriate for price fairness and variety of products had a 9. The lowest rated was availability of items at a 5, this was due to us not expecting some of the items to sell so well such as bottled water and we went out of stock on these during the third day. The advantage of this however is being able to know what’s popular for next time. We also interviewed around 20 people and the majority of them provided some really good feedback on the event, their main criticisms were the noise levels and the fact the area of operations wasn’t large enough, at the least we know we can improve on this for next time, when asked how effective the event was the customers gave us detailed feedback which was in favour of the event being successful, when we asked this on the questionnaire we had an average of 8 with 60% of people rating the event 9 or 10.

What we should have done was give out questionnaires before the event to find out what products specifically people wanted to have available, when we originally purchased the items we did so based on our own judgement which worked but it wasn’t the most effective way. We could have also provided an incentive for people to fill out the questionnaires such as a prize or mention for something but we didn’t do this because it could lead to people randomly answering incorrect results just to enter. We should have improved the item availability by allocating a budget to each night rather than spending it all at once and hoping the items would sustain the supply/demand for each night. This would have been a more effective way although it may have also cost more, if we found out what people wanted prior to the event then we could have possibly still purchased all the items at once since we would have a good idea on what the demand would be.
