How to Manage Multiple Projects & Deadlines in the Workplace
As a manager or employee, you often have to multitask and manage or work on multiple projects each day. Some projects are short and take just a few hours or days to complete, while others can take months or even years to complete. Managing multiple projects and deadlines at work can be stressful, so it is important to take the time to organize your work and schedule.
Step 1
List all projects you are involved in, and list all deadlines for task or project completion. Indicate which deadlines are hard deadlines, and which ones are flexible.
Step 2
List the amount of time you expect it will take you to complete your work on each project. Over-estimate this time, as you might run into distractions or issues that delay completion of the work.
Step 3
Make a to-do list of tasks in order based on the amount of time you expect the work to take and the deadlines for the work. For example, if you have work on a project that is due in a week, and you expect the work to take you a few days, that particular project should be ahead of work you expect to take a month but is not due for three more months.
Step 4
Share your to-do list with your manager or all appropriate project managers to ensure you have the correct plan. A manager might ask you to switch a few tasks or projects around based on their priority to the company. If you are the project manager, designate tasks to employees from your list based on their abilities and workload, as well as the estimated duration to complete the tasks and their due dates.
Step 5
Communicate regularly with project managers and team members about your progress. Your work might directly affect the work and progress of other employees, so communication is important for working together to complete multiple projects on time. Alert them of any issues or delays as soon as possible so everyone else can adjust their schedules and expectations, or so someone else can help you complete a task that is taking longer than normal.
