STRATFORD BIKE PARK PLANNING COMMITTEE Minutes: February 13, 7:00 PM, The Pour House, Stratford ON In attendance: Joel Curtiss, Trevor Paetkau, David Redfern, Liz Moss, Alf Humphreys, Blair DeYoung, Chris Bomasuit, Jeremy Johnston Meeting called to order at 7:10 Trevor and Joel reviewed progress since last meeting including the good news that financial contributors have emerged. Provided that the group can satisfy its (still confidential) sponsor and the city, the project is in a go-forward financial position. Facility Planning / Discussion Various scenarios for the project were tabled. It was agreed to think about the project in three stages: Stage One: A/ Perimeter Sprint Track. Beginner, intermediate and advanced lines incorporating an inclusive set of cross country features within a compact loop. B/ Pump Track. Incorporating a novice/intermediate loop and an intermediate/expert loop with potential for organized challenge events. Stage Two: C/ Progressive Jump Lines. Three progression lines allowing riders to progress as their skill levels increase. One expert line to act as a draw for riders from outside the region. D/ Skills Features. A series of balance features, drops, bridges, etc designed to allow riders to acquire trail skills in a safe environment. Stage Three: E/ UCI Sanctioned BMX Track. Preferably built prior to 2015 PanAm Games. Designed to attract major events. Size of the facility was discussed. It was agreed that a plot approximately the size of two soccer fields would be sufficient to house: A/ Track Features B/ Parking C/ Exhibition Flats (for events) D/ Infrastructure Ideally, the infrastructure should include access to power, water and washrooms. If not in place, interim arrangements can be made until fundraising supports construction. Time Lines Pursuant to city approvals, the following objectives were agreed to: A/ Stage One (sprint and pump tracks) should be built this fall. B/ Stages Two and Three will be fully funded and built by the PanAm Games in 2015

It was agreed that we submit a plan to the city within 4 weeks. Required action:

A/ Sell sheets complete by Feb 27 B/ Support campaign complete by Mar 12 C/ Proposal to City by Mar 12 D/ Fund development plan in place by Mar 12

Proposal Discussion ensued as to what the proposal should look like. It was agreed to create a two-pager that that includes:

A/ Rendering B/ Rough Costing of Each Component C/ Infrastructure and Land Requirements D/ Maintenance Plan / Requirements E/ Risk Management Plan F/ Funding Plan G/ Appendices with Support Letters and aforementioned Planning attached.

Actionable Items Within the next two weeks:

A/ Jeremy will coordinate a meeting with graphic designer and manage process to create a rendering of proposed park. B/ Joel will coordinate with Lora Woolner to cost each component once the rendering is complete. Delivery within two weeks. C/ Joel will coordinate with Daniel (?) of the IMBA to discuss risk management planning. D/ Trevor will meet with Paul Nickel on Friday, Feb 17 to discuss how best to handle this vis-a-vis the city. E/ Trevor will continue discussion with Brad Hernden to ensure proposal anticipates city’s requirements F/ Trevor will liaise with Mimi and Bruce to secure YMCA’s involvement. G/ Based on group inputs, Trevor will prepare written content for sell sheet. I/ Sell sheet will be ready for distribution

Next Meeting Group decided to meet at Liz and Alf’s home, Wed Feb 22. Note: this date conflicts with Share the Road.
