What is ?


Xero is a New Zealand-based software company

that develops cloud-based accounting software.

Xero is for small and medium-sized businesses.


Open web browser and type www.xero.com.


I recommend Xero trial version.

Click FREE TRIAL.


You get 30 day free trial.


Fill-in Sign up details.


Click Get Started.


You are now logged on as Marketing Gem.


Click Add an organization.


Fill in organization.


Click Start Trial.


Click OK.


Edit Basic Information.


You can add your Logo.


Click Upload Logo.


Browse and attach the file then click Upload.


Type Contact details.



You can customize

the Chart of Accounts.


Find it at the

Settings.


Click Chart of

Accounts.


Default Accounts based on my organization structure.


To export Chart of Accounts to Excel spreadsheet.


Click Export.


Chart of Accounts exported to excel .


Let us try to Add an Account.


Click Add Account.


I want to add Professional Services.


Click Revenue for account type.


I will set a unique Code Number – 250.


All assigned account numbers must have NO MATCH in the system.


Account Name is Professional Services.


You can write a specific description of the Account.


Tax on sales is default since it is a revenue account.


Click Save.



Now add a Bank Account.


Click Add Bank Account.


Click Bank Account.

(We can also add Credit Card and Paypal.)


Bank has no matches. So click No Matches.



Unique Code

Fill in Bank Account details.

Currency is PHPAccount Number


Click Save.



Bank account has Zero Balance.


CREATING CONTACTS(Owners, Employees, Suppliers or

Customers)


Click Add a contact.


Accomplish new contact information.


Click Save.



CREATING AN INVOICE


In the Dashboard, click New sales invoice.


Enter transactions.



Tax is Exclusive of the billed amount.


Transaction saved will go to the Drafts.


Click Submit for approval.

If you have no approving authority.


Click OK to confirm.


To approve directly, check Invoice and click Approve.


Click OK to confirm.


TO RECEIVE PAYMENT


Full payment is received, click Awaiting payment.


Check INV-001.


Type Date Paid.


Enter Marketing Gem in the Paid to.



Check amount paid. Click Add payment.


You can view Invoice and Send Receipt.



You can TRACK your Cashflow with a

specific Contact on a monthly basis.


Now we add New Client.


CREATING ANOTHER INVOICE


Follow previous instruction.


If TAX is ENCLUSIVE of the billing amount.


Invoice is Tax Exclusive.

If TAX is EXCLUSIVE of the billing amount.


EMAIL INVOICE


Click Email.


You can add supporting documents in your Invoice.


Click Send.



Invoice attached to Email.


Invoice received by AJ Sleepwear


PREPARE BILL


Click New Bill.


Fill-up transaction, Click SAVE.


Click Approve.



PAY BILL


Input details and Click Add Payment.



CREATE NEW BILLTo purchase Office Equipment




Payment is not made. This will reflect in the

Accounts Payable.


REPORTS


Open Reports in the Main Menu.


Let us view Cash Summary.

Cash Summary is under the CASH REPORTS.


Click Cash Summary.


You can filter viewing the Cash Summary.

Filter Date Filter Period



In the Detail Reports, Click Journal Reports.

To create Journal.


Click Manual Journal or Add a new Journal.


In the Manual Journal, Click New Journal.

Record Journal Entry.


Click Post once finished.


Generate General Ledger.


General Ledger Summary is generated.


Generate Trial Balance.


Trial Balance is generated.


To Print or Export reports.


Check company performance thru Profit and Loss.



After deducting all expenses, company has a net profit of

41,250.00.


Budgeting can be made using the

Budget Manager.



Export or Import a Budget.
