Unit 18 P6 Scenario One You have been asked to plan a corporate party at a Head Office in London. The party takes place at 7.30pm for 300 guests. You receive a phone call to say that the champagne ordered for the event will not be arriving and that only soft drinks will be available. Solution: Phone other suppliers to see if it’s possible to get the same order, for the same time at the same or a cheaper price. It’s highly important not to spend over the amount originally quoted as it may disrupt budgets that have already been set. It may be necessary to pay more in order to get the product delivered on such short notice, to keep within budget it’s possible to reduce the order amount or to opt in for cheaper champagne to keep within budget. Scenario Two You have organised a local school disco as a fundraising campaign for the school. You realise that a temporary events notice is required for the event but you have not logged the application ten working days before the event. Solution: What you would need to do here is to apply for a LTEN (Late temporary events notice) from the local council. This will certainly cost more than if the temporary events notice was originally ordered but it’s a legal license needed to host the event. As well as this there are other concerns to be addressed such as notifying the local public departments (police, fire, etc.) of the events details so that they can be ready if anything was to happen. Scenario Three You have organised the opening of a brand new production in London and have invited celebrities and theatre industry guests to the opening night. Two weeks before the event you have had very little replies.The event is due to be reviewed by all the major newspapers who will line the red carpet to ensure they get pictures of the celebrities as they arrive. How will you resolve this problem?Solution:As we still have some time left we can try to contact the celebrities that have not replied, they may not have replied because they are not interested therefore if we notify them of the press coverage then they may be more willing to attend, while we still try to contact them in the meantime what we can do is try to contact other celebrities as well, this would give us a possible backup should the original invited celebrities not be interested as well as giving extra celebrities if they do attend.
