Take ControlDon’t let the Grey Fleet drag you onto the hard shoulder

Page 2: Grey fleet rant

Millions of people in the UK use their own vehicles for work purposes.

They are the Grey Fleet. And they’re starting to get out of control.

Page 3: Grey fleet rant

*Energy Saving Trust

There are around

4 million Grey Fleet cars in the UK.

That’s andthe number of company cars3x of the total business

cars on the road.*40%

Page 4: Grey fleet rant

Often these cars are older, built to outdated emissions standards and without modern safety features.

Page 5: Grey fleet rant

But you know the worst thing about The Grey Fleet?

Often they’re poorly maintained.because that expensive car service can always wait until next month, can’t it?

Page 6: Grey fleet rant

And often they’re used instead of cheaper alternativesadding unnecessary costs where other options would be more cost-effective.

Page 7: Grey fleet rant

And in the public sector, Grey Fleet use isn’t the exception. It’s the norm.More than half of all public sector business travel is in driver-owned vehicles.*

*2014 iGov survey

Page 8: Grey fleet rant

It’s not cost-effective.

It’s not environmentally friendly

And it’s not safe.

Page 9: Grey fleet rant

But you know the worst thing about The Grey Fleet?

Page 10: Grey fleet rant

The worst thing is not knowing. The true financial costsThe environmental impactThe health and safety issues

Page 11: Grey fleet rant

Let’s be honest about this.

Page 12: Grey fleet rant

In most organisations nobody knows how much the Grey Fleet actually costs.

£

Page 13: Grey fleet rant

But once you sit down and think about it,

the costs soon start to add up.

Page 14: Grey fleet rant

> No central view of cost

Page 15: Grey fleet rant

> Pence per mile rates too high

Page 16: Grey fleet rant

> Plenty of more cost-effective alternatives

Page 17: Grey fleet rant

> Employees taking the scenic route…

Page 18: Grey fleet rant

FuelFuel

And who’s monitoring all these costs?

Who’s keeping on top of it all?

Who’s in charge of this mess?

Page 19: Grey fleet rant

Usually, the answer is:

nobody.

Page 20: Grey fleet rant

So far, so terrible. But that’s not all.

Page 21: Grey fleet rant

If you don’t know anything about the cars employees drive

There’s no way of measuring their

environmental impact.

Page 22: Grey fleet rant

Tens of thousands of miles every year+ older vehicles

+ poor maintenance

= higher emissions

Page 23: Grey fleet rant

And when you’ve got carbon footprint targets to hit you need to know everything about the impact of the Grey Fleet.

Page 24: Grey fleet rant

New EU and UK Government directives demand that larger organisations record all emissions, and that includes personal vehicles used on business.

And audits are happening right now.

Page 25: Grey fleet rant

So when the auditors turn up at the door who’s going to tell them exactly how much the Grey Fleet is adding to your carbon footprint?

Page 26: Grey fleet rant

Don’t panic, here they come…

Page 27: Grey fleet rant

Oh... It’s nobody again!

Page 28: Grey fleet rant

Slide 3

But hold on – there’s still more.

Employers are legally responsible for employees driving for work. Regardless of the ownership of the vehicle.

Page 29: Grey fleet rant

To fulfil their duty of care, employers need up-to-date information on Grey Fleet carsHow old are they?

Do they have an MOT?

Do they have valid insurance?

Does the driver have a valid license?

Page 30: Grey fleet rant

Three guesses who knows about all this in most organisations.

Page 31: Grey fleet rant

You got it in one:Nobody.

Page 32: Grey fleet rant

Often, the first time this information surfaces is after an accident.

Too late.

But you know the worst thing about The Grey Fleet?

Slide 18

Page 33: Grey fleet rant

Costs. Environmental impact. Safety. All things you’d expect to know everything about in any other area of your organisation.

Anywhere else, these are the basics.

Page 34: Grey fleet rant

So why are they missing in the one area where:

> Expenses can be almost boundless

> Carbon footprint is potentially huge

> Employees are at risk

Page 35: Grey fleet rant

It’s time to take back control. But how?

Page 36: Grey fleet rant

Well, putting somebody in charge would be a great place to start.

> Clear accountability

> Properly resourced

> Detailed reporting

Page 37: Grey fleet rant

And getting a handle on the data is an essential first step.

> Central view of all expenses

> Set mileage and emissions baselines

> Identify vehicle/driver issues

Page 38: Grey fleet rant

Gathering all this information can be difficult

> Who’s driving what?

> Where are they going?

> And why?

Page 39: Grey fleet rant

Time consumingAre their cars suitable for business use?

Or even roadworthy?

What are their carbon emissions?

Page 40: Grey fleet rant

maybe even painfulWhat rates are being paid?

Who authorises payments?

How do costs compare to alternative options?

Page 41: Grey fleet rant

But not as painful as paying over the odds (in pence per mile)

for a sub-standard product (old, poorly maintained vehicles)

that puts your employees (and your organisation) at risk.

Page 42: Grey fleet rant

Let’s face it – if you made some changes, what’s the worst that could happen?

Page 43: Grey fleet rant

You’d finally get a true picture of your

> Costs

> Environmental impact

> Health and safety issues

Visibility you take for granted in every other part of your organisation

Page 44: Grey fleet rant

And once you’ve got the data you can start to make some

informed decisions.

Page 45: Grey fleet rant

And find the right combination of alternatives

Salary sacrifice

Car pools

Hire cars

Company cars

Public transport

Teleconferencing

Page 46: Grey fleet rant

This is powerful stuff.

It could transform your organisation.

More control

Lower costs

Reduced pollution

Improved safety

Better public image

Increased productivity

Less absence

Page 47: Grey fleet rant

But remember: this isn’t a revolution

It’s an evolution.
