Print Preview

• It’s always a good idea to see what your print out will look like before you actually print it.

• Then you can avoid wasting paper and printer ink.

• You can do this by using Print Preview

Print Preview:

Just click File, then choose Print Preview

Print Preview:

Now you can see if your print out looks OK.

If it doesn’t, you will need to change some things before you print.

Page Breaks

• Excel often puts half of a table on one page and the other half on another page. Not much good!

• You can decide where you want one page to stop and a new page to start using Page Breaks

Page Breaks:

After you have done a Print Preview, a dotty line like this shows your where one page ends and the next one starts.

Page Breaks :

If I select this cell and click on Insert, then choosePage Break my page will start at the start of my table.

Much more sensible!

Page Setup

• You can change the way that your print out will look by using Page Setup

• You can use Page Setup to– Set the paper size– Choose portrait or landscape– Add page headings – And much more!

Using Page Setup:

1. Click on File and then choose Page Setup

You will see this dialogue box.

It has several tabs, each one takes you to a different section.

Choose portrait or landscape

Choose a paper size

You can scale your work to make it all fit onto one page, but be careful – you might end up with very small writing!

Choose the margins you want for your paper

Print in the centre of the paper

Choose Custom Header

Choose what you want in your heading.

It’s a good idea to type your name as a heading!

Choose what to print. You might want to tick this to print the gridlines.

Printing Out Your Formulas

• You can show someone what calculations your spreadsheet is doing.

• Watch out – this will change all of your column widths, but DON’T PANIC – they will change back!

Just click Tools, then choose Options

Click to put a tick (check) next to formulas.

Then Click OK

widths! Just leave them as

they are.

To change back, just click Tools, then choose Options.

Then get rid of the tick next to formulas. Easy!

Summary:
