DISMANTLING/BREAKDOWN TIMES
The exhibition will officially close at 18:00 on Sunday 28th September. Breakdown of stands may NOT commence before this time. Breakdown will be between the following hours: 18.30 – 22:00. Exhibits must not be disturbed, dismantled or removed prior to the official dismantling time of 18:30 on Sunday 28th September
Exhibitors and their appointed stand contractors will be responsible for any charges incurred if Hilton Brighton Metropole is not clear by the stated time of 22:00 on Sunday 28th September 2014
HOW TO GET THERE
CarBrighton and the Hilton Brighton Metropole are easily accessible by road. In order to plan your route by car go tohttp://www.rac.co.uk/web/routeplanner/. For a local road map go to http://maps.google.co.uk/.
The hotel has a secure car park within controlled gates which has 111 spaces, including 4 spaces for disabled guests. Parking is on a first come, first served basis and costs £20 per 24 hours for residents.
TrainBrighton Train Station is a 20 min walk (or a 5 minute taxi journey) from the Hilton. Brighton Train Station has excellent links with Gatwick Airport, and central London. To plan your journey by train contact 0845 464748 or go to http://www.nationalrail.co.uk.
CoachRegular coach services run from around the country to Brighton. For further information see www.nationalexpress.com
FlightThe nearest airport to Brighton is Gatwick which is 28 miles away and approximately 30 minutes by train and 45 minutes by car. For details of flights and airlines flying to and from Gatwick please go to http://www.gatwickairport.com. Other airports in the area include London Heathrow (70 miles, accessible via underground then direct train service from London Victoria), London City (72 miles) and London Luton (100
IMPORTANT:
Loading and unloading is only allowed in St Margaret’s Place (see map below) within the Exhibition Halls loading bay and inside the double chevrons on the ramp in front of the loading bay. You are reminded that a breach of the chevrons is a breach of traffic regulations.
Parking, waiting, loading and unloading is not allowed in St Margaret’s Place other than as indicated above. Both south and north side of the road are a restricted area controlled with double yellow lines and double chevrons, and the area is actively monitored by the City parking team.
Any loading/unloading into the exhibition halls must be carried out with due consideration to local residents notwithstanding that all relevant health and safety legislation must be complied with.
All engines must be switched off whilst waiting/loading and unloadingWhere possible, all loading or unloading should be carried out within the exhibition halls
Any unauthorised parking in the loading area in Cannon Place and in St Margaret’s Place will result in vehicles being clamped, ticketed and/or removed. Warning notices are displayed in the relevant areas.It is the Exhibitors’ responsibility to move stand materials to the loading bay area and to your stands – there is no provision for trolleys.

The Hilton Brighton Metropole is able to accept deliveries up to 72 hours in advance of the event if the following directions are adhered to. Please note neither the Hilton Brighton Metropole nor Globespan Media can take responsibility for loss of any items delivered directly to the hotel.

AVEX Shell Scheme Information The AVEX system is a modular shell scheme consisting of Velcro compatible grey tweed panels and aluminium profiles. 325mm deep royal blue fascia panels are provided on all open sides and are supported by aluminium uprights at the corners and along any fascia run over 4m in length. Stands over 4m in length may also require some additional support beams/ceiling grid which reduces the height inside the stand to 2430mm.

Your Xhibit shell scheme stand can be enhanced with a range of optional features to create the perfect environment for displaying your products or services
From both flat and sloping shelves for displaying literature or products to adding lockable doors or curtain entrances to create storage, meeting or changing areas within your stand space.
Stands can be transformed to reflect your complete corporate identity by changing the colour of your wall panels or even integrating digitally printed panels from your own creative artwork.

Decorating and Displaying Items on your stand Please observe the do’s and don’ts associated with this system. Posters and display material can be attached to the panels of your shell scheme using hook Velcro pads or strips. Nothing should be attached to the aluminium profiles.
No Staples, Nails, Screws or Tape should be used when decorating your stand. Any damage to the shell scheme system will result in a charge.

The maximum display area of each 1m wall section panel is 960mm x 2380mm. The AVEX post section protrudes by approx. 15mm between every panel.

SHELL SCHEME WALL COVERING ORDER FORM
Q. What are the standard wall and fasica coverings for my shell scheme stand? A. A standard shell schemes consist of grey tweed Velcro compatible panels with royal blue fascias.
Q. How do I calculate how many panels I have on my stand?
A. Shell scheme walling is made up of 1metre wide x 2.5 metres high sections. Therefore, if your stand has a back and sidewall (a corner plot as per the visual below) and the stand size is 3 metres x 2 metres you have 5 panels.
Q. How do I calculate how many metres of fascia I have on my stand?
A. Fascia system is provided on any open side of your stand where walling is not provided. Therefore taking the example above, if your stand has a back and sidewall (a corner plot) and the stand size is 3 metres x 2 metres you have 5m of fasica.
Q. What about fitting the panels I order into my shell scheme? A. All the prices outlined about include the transportation of your ordered panels to the event, as well as fitting them into the shell scheme structure. So when you arrive everything is ready for you.

contact you to guide you through the process,
including explaining the exact artwork specifications
we require.
Failure to supply artwork to the requested specifications
may result in an additional studio time charges.

Definitions in these terms and conditions:ORGANISER means Globespan MediaEXHIBITOR means any person, company or organisation and the staff or agents of any such company or organisation to take stand space THE PREMISES means for Whathouse Show, Hilton Brighton Metropole, AUTHORITIES means the local authority, fire authority or any other relevant body or person having jurisdiction over the premises.
Security and insurance Each exhibitor is responsible for the security and insurance of his/her own stand and exhibits and for his/her own employees’ insurance cover. In no circumstances will the organisers or the premises accept responsibility or be liable for loss or damage whatsoever or howsoever arising. All exhibition rooms are securely locked and there is limited additional security already in place at the Brighton Hilton Metropole, however it is not recommended that you leave expensive items unattended.
Exhibition layout The organiser reserves the right to alter the layout of the exhibition at any time in any respect.
Trading rights The sole rights of exhibiting merchandise and transacting business on the premises during the period of the exhibition are owned by the organiser who will, at their sole discretion, grant licenses to exhibitors on and subject to these terms and conditions.
Terms & Conditions
Insurance Exhibitors shall be responsible for arranging their own insurance and shall keep the organiser indemnified in respect of: a) any loss or damage to any property of the organiser;b) all claims and demands by third parties (including servantsand agents of the organiser and the premises, other exhibitors and their servants and agents and members of the public) in respect of personal injuries or loss of or damage to property, caused by or occasioned by the exhibitor, or any of his/her employees or servants or agents or property, arising out of or in consequence of his/her occupation of the stand or exhibition of an article or process or thing or otherwise howsoever. The exhibitor will respect all risks of every kind whatsoever in respect of personal injuries to him/herself, his/her servants or agents, or of loss or damage to any of his/her property or property in his/her custody and the organiser shall be under no liability in respect of any such risks. The exhibitor shall make good any damage done by him/her, his/her servants or agents to the premises or any furniture or fixtures therein damaged by fire caused upon his/her site. The organiser reserves the right to request the sight of any insurance policy prior to the exhibition.c) Please be aware that you may need to produce a copy ofyour insurance policy upon request by the appropriate authorities whilst on site at the exhibition.
Exhibitor’s nameplates Exhibitor’s nameplates, signposts or notice boards will not be allowed outside the stand area allocated, without permission.
Opening hours Stands must be open for business during the published daily opening hours of the exhibition and remain open continuously until half an hour after the closing times.
Clearance of exhibits (a) No stand, exhibits or materials may be removed before the official closing time of the exhibition.(b) In the event of the exhibitor failing to clear his/her exhibits and fittings by the prescribed times, a charge shall be made by the organiser. If the exhibitor has failed to do such work, the organiser may arrange for the work to be done and apply a charge thereafter.
Shell scheme and stand fitting (a) Exhibitors will be held responsible for any damage to the covering of their stands, and will be re-charged at replacement value. Any exhibits likely to be heavier than average should be checked with the organiser. (b) Any additional work an exhibitor may require on interior decoration and fitting out may be carried out by a contractor of the exhibitor’s choice and at the exhibitor’s expense. (c) No part of any stand may overhang any gangway or exceed the allocated boundaries of the stand space. Exhibitors must not display their goods so that, in the opinion of the organiser, they distract the light or impede the view along open spaces or gangways, or inconvenience other exhibitors. (d) No petrol, spirit or other hazardous spirit, liquid or vapour is to be brought into the exhibition premises unless previously approved in writing by the organiser. (e) All materials used for building, decorating, draping or covering stands must be non-inflammable or impregnated with fire-proofing solution in a way as to comply with the requirements of the authorities. (f) Empty cases, cartons and packing must be removed from the premises for storage, or during the access period of the exhibition left in the gangways or dedicated waste areas for clearance by the premises staff. (g) Any changes to shell/space package options on site will be charged for at the shell package rate.
Conduct of exhibitors Any exhibitor displaying equipment operating a sound system of any type will demonstrate only at low volume and will, if required by the organiser, cease from playing. Likewise if it is considered that they are continually hindering or annoying other exhibitors. See Code of Conduct for details regarding PPL Licensing.
General (a) Each exhibitor is bound in all respects by these terms and conditions and, in addition, shall be bound by and comply with and be deemed to have full knowledge of the rules, conditions and regulations of the premises. (b) Each exhibitor must bring to the notice of all agents or contractors employed by him/her such of the provisions of these terms and conditions, and any claim arising from failure of the exhibitor to give such notice shall be the sole responsibility of the exhibitor concerned. (c) Any complaint must be submitted in writing to the exhibition organiser or representative of the organiser within seven days of the exhibition. A complaint made or addressed in any other manner will not be considered. (d) The organiser reserves the right to waive, add to or alter any of these terms and conditions in the interest of the exhibition either generally or in any particular case. (e). The organisers and Hilton Brighton Metropole require that all individuals working at the venue read and adhere to their Code of Conduct document.
Shell scheme stands Exhibitors must not occupy space outside their stand area. Any exhibitor wishing to build within the stand must submit a detailed plan, including height requirements, list of contractors and materials to be used, Health and Safety declaration and Insurance Certificate not less than six weeks before the event.
Services The exhibition organiser will officially appoint persons, firms or companies to be advertising agents, public relations consultants, photographers, stand fitters, suppliers of lighting and any other services in connection with the exhibition and no person other than these so appointed will be allowed to canvass the exhibitors or execute work or business in connection with the exhibition without specific permission in writing from the exhibition organiser.
Exhibition cancellation
Whilst the Organisers shall endeavor to protect the Exhibitor’s property at the Exhibition, it must be understood that the management of the Premises, the Organisers and the Exhibition Contractor cannot accept liability for loss or damage sustained, occasioned by any cause whatsoever. Exhibitors shall be responsible for all damage to property and for any loss or injury to persons caused by them or their agents, contractors or employers and shall indemnify the Organisers against all claims and expenses arising there from. In the event of it being found necessary for whatever reason that the Exhibition shall be postponed, abandoned or altered in any way in whole or in part, or if the Organisers find it necessary to change the dates of the Event, the Organisers shall not be liable for any expenditure, damage or loss incurred by the Exhibitor. In the event of cancellation the Exhibitor will be refunded any monies paid. If the Event is postponed the Exhibitor will have the option of withdrawing their application and their total monies will be refunded.
