HP Ready Deploy Plus underpins massive rollout for leading Australian broadcaster

When Southern Cross Austereo decided to upgrade its fleet, it faced a rollout of 2,500 devices to over 60 regional and remote locations. It could have spent years on the project but the HP Ready Deploy Plus Service did the job in 24 months.

With the ability to reach 95% of the Australian population through radio, television and digital
assets, Southern Cross Austereo (SCA) is the continent’s biggest entertainment company.
It serves metropolitan and regional areas with 78 radio stations and a further seven digital
stations and broadcasts 92 free-to-air TV signals.
SCA has core data centers in Sydney and Melbourne and because of the nature of broadcasting,
it also runs technology stacks in each of its 60 locations across the continent. Three teams, of
over 200 people, deliver IT services to more than 2,500 employees. They include digital and
broadcast technology crews and an IT team that runs infrastructure, network, service desk and
deskside services.
The company had an aging, multi-vendor fleet of computers and decided it was time for a refresh.
As Head of Information Technology, Bryce Maybury, explains: “Supporting and managing such a
diverse fleet took significant effort. We also recognized the shifting landscape of users wanting to
collaborate more, so we needed devices that would support changing workstyles.”
Following a procurement process which took account of end user feedback, SCA decided to
standardize on the HP EliteBook 840 with docking stations, keyboards, mice and monitors.
Already facing the daily challenge of keeping the IT wheels turning for this large and widespread
enterprise, the IT team now faced the daunting task of rolling out 2,500 new devices plus
peripherals to 60 disparate locations across regional and remote Australia.

“If our centralized service desk and deskside team had undertaken this from the Sydney office,
the process would have been extremely manual and time consuming. There would have been a
significant delay in delivery to our end users. We certainly didn’t have the capacity to send people to
every location, so we needed to augment our capability,” says Maybury.
For SCA, that augmentation came in the form of the HP Ready Deploy Plus Service.
“HP’s service helped us manage logistics across all of our locations and then complete a high-touch
installation. It was exactly what we needed,” says Maybury.
A service available in the Asia Pacific region, HP Ready Deploy Plus offers an enhanced deployment
service and simplifies the customer experience by combining many different processes into one
seamless suite of logistics, installation and deployment services with a single point of contact.

By streamlining deployment services, it gets new devices up and running more quickly, seamlessly
integrates any third-party hardware and handles all removal of old machines. The SCA purchase
was facilitated through HP Financial Services.
SCA’s image was factory pre-loaded and then the new HP devices were delivered direct to each
of the 60 locations. Installation and set-up were conducted onsite by HP professionals who also
migrated data from end users’ legacy machines. The service included asset tagging for inventory
purposes, integration with existing hardware and removal of all packaging.
In addition, retired assets were securely and environmentally decommissioned. Data was wiped off
the hard drives and they were then stored for a period of time by HP before being professionally
recycled. SCA received a cashback payment for the residual value. HP Ready Deploy Plus features
30-day post-deployment support and SCA’s devices are covered by a three-year, next-business-
day on-site service contract.

“Without HP Ready Deploy Plus, we would have had to procure thousands of devices, have
them sent to our Sydney offices, unpacked, imaged, re-packed and then sent out to the users
who would have to do the installation themselves,” adds Maybury. “From a purely logistical
standpoint that would involve a significant amount of duplication and hand-holding.
“With HP Ready Deploy Plus, we were able to free our IT service desk agents from those
tasks. We streamlined the process but, more importantly, we were able to really improve
the user experience.”
When embarking on this ambitious project, SCA had expected that it could take from three
to five years but with HP Ready Deploy Plus, most of the roll-out was achieved in just 24
months. Staff were able to pick the most convenient times for installation and their data was
seamlessly, securely transferred.
“If we had gone down the route of doing it ourselves, we would have had to take people off their
traditional roles. With HP Ready Deploy Plus we were able to let our people continue to do what
they do and add value back into the business,” concludes Maybury.
SCA will collaborate with HP to develop a regular refresh cycle and at the end of the current
three-year contract, new devices will be delivered and the deployment process will kick in again.
