SUMMARY The Administra ve Assistant to the Pastor enhances the effec veness of the parish administra on by coordina ng and providing professional administra ve support services to the Pastor. In addi on, the Administra ve Assistant coordinates pastoral services of the parish in support of the Pastor’s office, such as Bap sms, Communion, Confirma on, Weddings and Funerals.
ESSENTIAL REQUIREMENTS, DUTIES AND RESPONSIBILITIES include the following. Other du es may be assigned. • Assists the Pastor by providing general administra ve and support du es (correspondence, communica ons, calendaring, travel arrange-
ments, follow-up, etc.).
• Produces informa on by transcribing, forma ng, inpu ng, edi ng, retrieving, copying and transmi ng text, data, and graphics whether by scan, fax, or e-mail.
• Ensures that the Pastor and appropriate personnel are apprised of developments and situa ons, exercising good judgment and ensuring confiden ality is maintained in all areas of responsibility.
• Coordinates, sets-up, and assists with administra ve needs for mee ngs, conferences, liturgical celebra ons, and other events as needed.
• Prepares reports by collec ng informa on and data.
• Maintains personal contacts, files and documents.
• Organizes special events, luncheons and other formal and informal mee ngs as requested by the Pastor.
• Maintains the Pastor’s calendar.
• A ends required mee ngs and gatherings, taking mee ng minutes and offering assistance as needed.
• Develops and maintains effec ve records and informa on management systems, including a current and accurate filing system.
• Opens and distributes daily mail and makes determina on as to importance and priority; organizes work by reading and rou ng corre-spondence, collec ng informa on; ini a ng communica on.
• Ensures mely and professional communica on with stakeholders within the parish community.
• Prepares A/P vouchers for approval and signature.
QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essen al duty sa sfactorily. The requirements listed below are rep-resenta ve of the knowledge, skill, and/or ability required. Reasonable accommoda ons may be made to enable individuals with disabili es to perform the essen al func ons.
EDUCATION AND EXPERIENCE Bachelor's Degree preferred; minimum of 6 years at the Execu ve Secretary/Administra ve Assistant level; and/or 3 years as an office supervisor or office manager. Must have experience in technology-based office management and office support. Requires proven mul -tasking capabili es. Ability to effec vely priori ze tasks and me demands. Proficient in Microso Office Suite and Publisher; working knowledge of Adobe Acrobat Professional. Requires excellent wri ng skills. Must possess a heightened sense of confiden ality and a strong sense of respect for and knowledge of the Roman Catholic Church. Must be able to work well with various personali es within the Catholic Church.
ORGANIZATIONAL/INTERPERSONAL SKILLS A high level of organiza onal and interpersonal skill is required. A en on to detail and working well with others is also required.
LANGUAGE/COMMUNICATION SKILLS Must possess the ability to read and analyze rou ne correspondence and compose appropriate responses; ability to respond effec vely to com-mon inquiries from internal and external sources; ability to effec vely present reports and informa on to cons tuents.
REASONING ABILITY Ability to define problems, collect data, establishes facts, and draw valid conclusions.
PHYSICAL REQUIREMENTS The ability to sit and stand for long periods of me. Must be able to reach, grasp, feel, and see up close and from afar. Must be able to use basic office computer hardware and peripherals, with or without reasonable accommoda on. Must be able to communicate verbally and in wri en form.

A S G The world does not seem big enough to contain the jubila on of the first reading. In the Gospel reading, the Roman empire isn’t big enough, either. The great powers of Rome are named and made to stand wai ng for the arrival of God’s salva on. And we find Paul medita ng joyfully on what really ma ers. According to Baruch, the city of Jerusalem is like a person standing on ptoe looking for God’s salva on, which is coming from the east. Those who were led away on foot, heads down, now come back, a proud people. Why, the very way is smoothed out. The path is lined with fragrant, lush trees. It can’t get any be er than this, can it? Well, yes, it can. For a voice calls out in the desert. Here is the beginning of the salva on of God.
