VIRTUAL PRIVATE NETWORK (VPN)

FREQUENTLY ASKEDQUESTIONS

WHAT IS A VIRTUAL PRIVATE NETWORK (VPN)?A VPN, or Virtual Private Network, is a secure way for District workforce to connect to enterprise applications over the Internet from home or any other remote location ensuring the highest security for our users and the data residing on the network

The District’s Enterprise Remote Access VPN is an encrypted secure tunnel that provides a way to remotely connect your Government issued laptops to the District’s network over the Internet. It uses an encrypted tunnel to protect your District’s data as it traverses the Internet.

How do I submit a request for VPN access?

Contact your Agency CIO, IT lead or the Agency Telecom Coordinator (ATC) to request VPN access. The list of ATC’s is also provided in the back of this document.

How do I install the VPN Client?

The VPN client software has been pushed and pre-installed on all OCTO managed laptops. If the VPN client software is not installed when you attempt to connect to vpn.cdc.gov , you will be prompted to install the software which requires administrative privileges. For immediate installation of VPN contact your agency IT team.

What resources will I be able to access while connected to Desktop VPN?

While connected to VPN you will be able to access all enterprise services that you normally access from your work computer. (Ex. PASS, PeopleSoft, SOAR, BlueZone, fileshares)

In addition to the enterprise applications, your Agency IT lead determines what resources should be available when connected to VPN based on the application sensitivity and regulatory requirements.

Can I use VPN from my personal home computer?The District discourages use of personal computers to connect to VPN.If you need to work remotely and need access to basic internal resources like PASS, Peoplesoft you can access them using remote work site remote.dc.gov

How long can I stay connected to VPN?

You can stay connected for 8 hours at a time and will require to reauthenticate. There will be a 2-hour inactivity timer that will disconnect you from the VPN.

Why can I not get to all of my fileshares?There might be a security or a regulatory requirement preventing general access to the fileshare If you are unable to access a given file share, please contact your agency IT.

GETTING READY TO WORK REMOTELY

REMOTE WORK GUIDANCE

• Pease test your ability to access the DC Government network remotely using your work or personal device (based on your agency guidance) and report any issues to your agency IT lead.

• Please continue working safely online, especially remotely. Check out ready.dc.gov/cyber for further information.

• The same acceptable use policy applies when connected to the DC Government network from home, when creating, accessing and saving DC Government data from home – whether you are using your work or personal device.

Prior to Going Remote

• Network access and technical support for employees using personal devices without using the VPN Service will be limited if available at all.

Personal Device Guidance

• Technical issues with personal devices will not be supported by OCTOhelps Helpdesk.

• You are responsible for your personal devices up-to-date antivirus software (for Windows | for Mac) be installed to enable the VPN. The lists of approved antivirus software is also available in the supporting documents section.

• Personal devices will have access to a limited set of District applications and systems.

• Access to sensitive data from personal devices is restricted.

You must have an up-to-date anti-virus in order to connect to the Desktop VPN and Client VPN. Reach out to your Agency CIO/IT Lead for assistance updating your antivirus on your DC Government owned device.

If you do not have a VPN account, please contact your Agency CIO/IT Lead.

CALL FORWARDING

Avaya – All Phone Types• To activate call forwarding from your Avaya desk

phone:• Dial *22 followed by 9 and the 10-digit phone

number of the destination. You will hear a confirmation tone.

• To deactivate call forwarding from your Avaya desk phone:

• Dial #22. You will hear a confirmation tone.

Cisco 7000 Series IP Phones – Forward All• Press Forward All.• Dial 9 and the 10-digit phone number of the

destination. The phone display updates to show that the call is forwarded.

• To cancel call forwarding, press Forward Off.

Cisco 8000 Series IP Phones – Forward All Calls• Press the CFwdAll soft key. You will hear a

confirmation beep.• Dial 9 and the 10-digit phone number of the

destination. The phone display updates updated to show that the call is forwarded.

• Press the pound key (#) or the EndCall soft key.• To cancel call forwarding, press the CFwdAll soft

key.

MEETINGSOLUTIONS

Consider Video:Video makes all the difference to working together on a project and maintaining that face-to-face feeling. Sharing ideas can still happen in an instant, and meeting with external stakeholders happens with the click of a button

Record:Record meetings for people who can't attend or for those who want to refer-back to what was discussed. Your recordings can either be saved to the cloud or your computer as a local recording

Transcripts:You can choose to transcribe automatically the audio of all Cisco Webex and Teams meetings and events sessions that you record. The transcript displays when you play the recording. You can search for text in the transcript and verify what was said when.

TIPS FOR MEETING REMOTE

Virtual Meeting Best Practices:

• Let people know in advance when setting up an online meeting so everyone allots the appropriate amount of time to log-in to the screen-sharing system and become familiar with its functionality.

• When possible use the VOIP, or call-through-computer option to alleviate service carrier capacity limitations.

• Schedule virtual screen-sharing practice sessions for novice users 15 minutes prior to a scheduled call.

• Monitor the group chat during the virtual meeting.

• Remember to dial-in remote teammates when meeting face-to-face with other attendees.

• Use the phone mute button to eliminate disrupting background noise.

OCTO supports Cisco WebEx and Microsoft Teams Meeting tools. The following instructions will teach you how to schedule meetings, as well as sign up for a conference line if needed.

WEBEX QUICK GUIDE

Getting a Webex account1. Contact your Agency Telecommunications Coordinator (ATC) and request the Web Conferencing

(Webex) service. If you do not know who your ATC is refer to the ATC list in this document or contact the OCTO Telecom Governance team at 202-727-8566.

2. Once your request is processed, you will receive an email with instructions to set up your account.

Signing into Cisco Webex and Setting Your Profile PIN1. Open a web browser and enter https://dcnet.webex.com/2. On the Cisco Webex Welcome page, select Sign In.3. Enter your username and password, and then select Log In.4. When prompted to set your Profile PIN for your Cisco Unified MeetingPlace Audio Conferencing

account:5. In the New Profile PIN field, enter a numeric PIN.6. In the Confirm Profile PIN, re-enter the numeric PIN.7. Select Submit.

Schedule an Instant Meeting1. Sign into your Cisco Webex Meeting Center.2. Select the Meetings tab. On the navigation bar select Host a Meeting > Schedule a Meeting.3. Enter a meeting topic and add your meeting invitees.4. Select Start Meeting.

Schedule a Future Meeting1. Sign into your Cisco Webex Meeting Center.2. Select the Meetings tab. On the navigation bar select Host a Meeting > Schedule a Meeting.3. Enter a meeting topic, date, and time, and add your meeting invitees.4. Select Schedule Meeting.

Join a Webex Meeting from an Email Invitation1. From your email application, open the meeting invitation.2. Select the Meeting URL link to join the meeting.3. FOR MEETING HOST ONLY: If prompted, sign in with your profile information. If you are the meeting

host, your meeting will start after you sign in.4. If required, enter the meeting password and click Join.5. Once you are placed in the web meeting room, you can join the audio by:6. Requesting the system call you at the number specified in the Audio Conference window. Then

answer your phone and follow the audible prompts, or7. Dialing the call-in number on the Meeting Info tab and following the audible prompts.

Schedule a meeting in Teams

There are several ways to schedule a meeting in Teams:

1. If you want to have a meeting with people you are in a chat with: Select the add meeting icon below the box where you type a new message to book a meeting:

2. Go to Calendar on the left side of the app and select New meeting in the top right corner.

3. Or by selecting a range of time in your calendar. The scheduling form will pop open.

The scheduling form is where you'll give your meeting a title, invite people, and add meeting details.

TEAMS MEETING INSTRUCTIONS

Use the Scheduling Assistant to find a time that works for everyone.

Once you're done filling out the details, select Save. This will close the scheduling form and send an invite to everyone's Outlook inbox.

TEAMS MEETING INSTRUCTIONS

Make it a channel meeting

1. Select New meeting.2. Type the name of one or more channels where it says Add

channel (under the time and date fields).

Channels can't be edited or added once the invite is sent. You'll need to send a new invite with the updated channels.

Note: When you have a meeting in a channel, everyone in the team will be able to see it and join it in that channel.

Once you've added the people you want, select Scheduling Assistant to find the best time.

How to Invite people outside your organization

Teams lets you invite people outside your organization, including those who don't have a Teams license. You'll need their full email address to invite them.

1. Go to where it says Add required attendees. If anyone is an optional attendee, select Optional instead.

2. Type the person's full email address (ex: Joe@example.com).3. Select Invite. They'll receive an email with a link to the meeting.

ABOUT TEAMS CONFERENCE CALLING

What is Microsoft Teams Conference Calling?

Everyone is familiar with conference calling. Calls are easy to schedule instantly and do not require any advanced technology. Here are some major advantages of using Microsoft Teams Conference Calling:

1. Easy Integration - The Teams Meeting add-in is automatically installed for users who have Microsoft Teams and Microsoft Office (Windows, Mac, OWA, and Outlook mobile).

2. Connection quality. Audio calls can travel over slow, erratic lines without any noticeable drop in quality. Video conferencing requires that you have a high-speed, reliable connection and is difficult to manage without a high-speed connection. It can be very unnatural to try to talk people while the conversation is lagging.

3. People may be out in the field unable to access a video device – With audio conference call it can be taken anywhere, even when traveling. While video conferencing means that someone needs to stay in a single place.

4. Technical difficulties could prevent connecting to the right platform - An audio conference can be joined on virtually any phone and with any technological platform.

5. Ability to join the audio portion of a meeting by phone - In Microsoft Teams, the Call me feature gives users a way to join the audio portion of a meeting by phone. This is handy in scenarios when using a computer for audio might not be possible. Users get the audio portion of the meeting through their cell phone or land line and the content portion of the meeting—such when another meeting participant shares their screen or plays a video—through their computer.

Do you need a conference call line?

As part of OCTO’s COVID-19 response, OCTO is pleased to offer Office 365 Microsoft Teams Conference Calling until June 1st, 2020.

Agencies that would like to use Microsoft Teams Conference Calling past June 1st, 2020, will need to purchase the required licenses.

1. Fill out the form below for users within your agency that require the Microsoft Teams Conference Calling feature while teleworking.

HOW TO UPDATE MCAFEE ON YOUR WORK DEVICE

1. Select Update Now in the top right hand corner.2. When all packages are downloaded and applied the menu will state the update is

complete and give you the option to select Close.3. Reboot your device.

Some updates may require a system reboot to finish applying all necessary changes to McAfee.

On machines that have not had McAfee updated or used VPN for an extended period or has been recently re-installed it may take more than one successive reboot to comply with network security standards.

There are numerous issues that can hamper a customer’s VPN connectivity.Here are a few simple troubleshooting steps you should try:

To run a basic update to McAfee, Right click the McAfee icon in the system tray and select McAfee Endpoint Security.

Another tip to try is updating McAfee is performing a scan.

WINDOWS ANTI-VIRUS District Government supports the following anti-virus software for Windows devices. The status of your antivirus software is typically displayed in Windows Security Center.

1. Open Security Center by clicking the Start button , clicking Control Panel, clicking Security, and then clicking Security Center.

2. Click Malware protection. Make sure you have one of the following anti-virus softwares listed below. If you do not have anti-virus program on your device then you will not be able to access the Remote Work Portal. APPLE ANTI-VIRUS District Government supports the following anti-virus software for Apple devices. To see if you have an antivirus software you will need to look in your Applications folder.

1. Click "Finder" and select "Applications" from the sidebar. 2. Review the list of installed applications for antivirus.

Create or upload files and folders

You can create New files and folders and upload existing files and folders

from your device. In OneDrive, select Upload > Files. Or select location in OneDrive and drag and drop files or folders from your device.

Copy Link

You can also share a file by copying the link and pasting it in email, IM, a webpage,

or a OneNote page. In OneDrive, select a file and then select Copy link. Copy the link and then paste it in the destination.

Save and Open files in Office apps (Requires Office 365, 2019, or 2016)

You can save or open Office documents in OneDrive from the Office apps.

In any Office document, select File > Save As, choose your OneDrive, and

then pick the folder where you want to save the file. To open a file stored on

OneDrive, select File > Open, choose your OneDrive, and then select the file.

Share files

The files and folders you store in OneDrive are private until you decide to share

them. You can stop sharing at any time. You can grant Edit or View permissions

for recipients and set time limitations on a file to specify when it will no longer be accessible. In OneDrive, select a file and then select Share.

Based on admin settings, sharing levels are:

Anyone – people inside and outside your

org can access. Links can be forwarded.

People <organization> – everyone in

your org can access.

People with existing access – create a link

to be used by people who already have

access.

Specific people – specify email addresses

of the people you want to give access to.

OneDrive Files On-DemandWith OneDrive Files On-Demand, you can set files and folders always to be

available locally on your device or save space by making files online only.

In the taskbar, select OneDrive icon, and select More > Settings. Then, on the

Settings tab, select Save space and download files as you use them.

View sync activityYou can view sync activity from the OneDrive activity center. Click the OneDrive

icon in the Windows taskbar. If you click the folder icon, you can go directly to the OneDrive web view. Users on Mac have a similar experience.

Sync files and foldersSync your files and folders in OneDrive to your computer, so you can access them even

when you’re offline. When you are back online, changes you or anyone else make will

sync automatically. In Windows 10, select Start, type OneDrive, and sign-in to OneDrive

on your PC. In other versions of Windows or Mac, get the OneDrive sync app from onedrive.com/download.

Add a pageSelect + New > Page in your new site, name your page, and then select Publish.

Add a document library or listSelect + New in your new website to add a library or list.

Add web partsIn your news post or page, select the plus sign . You can add text, images, files,

video, dynamic content and by using the corresponding web parts.

SharePoint Online

Mobile SharePoint access Mobile SharePoint a new way to reach intranet content on your phone or tablet and is available in the app store for iOS, Android, and Windows. You can get to sites, people, and files, search and browse SharePoint, stay up-to-date with news, and view your content. and more.

Pick a team and channelA team is a collection of people, conversations, files, and tools—all in one place.

A channel is a discussion in a team, dedicated to a department, project, or topic.

Click Teams and select a team. Pick a channel to explore the Conversations,

Files, and other tabs.

Start a conversationWith the whole team... Click Teams , pick a team and channel, write your

message, and click Send .

With a person or group... Click New chat , type the name of the person or group

in the To field, write your message, and click Send .

Microsoft Teams

Start a meetingClick Meet now under the area where you type a message to start a meeting

in a channel. (If you click Reply, then Meet now , the meeting is based on that

conversation.) Enter a name for the meeting, then start inviting people.

Add an emoji, meme, or GIFClick Sticker under the box where you type your message, then pick a meme

or sticker from one of the categories. There are also buttons for adding an emoji

or GIF.

@mention someoneTo get someone’s attention, type @, then their name (or pick them from the list

that appears). Type @team to message everyone in a team or @channel to

notify everyone who favorited that channel.

Make video and audio callsClick Video call or Audio call to call someone from a chat. To dial a

number, click Calls on the left and enter a phone number. View your call

history and voicemail in the same area.

Reply to a conversationChannel conversations are organized by date and then threaded. Find the

thread you want to reply to, then click Reply. Add your thoughts and click

Send .

Work with filesClick Files on the left to see all files shared across all of your teams.

Click Files at the top of a channel to see all files shared in that channel.

Click More options ... next to a file to see what you can do with it.

In a channel, you can instantly turn a file into a tab at the top!

Add a tab in a channelClick by the tabs at the top of the channel, click the app you want, and then

follow the prompts. Use Search if you don’t see the app you want.

Stay on top of thingsClick Activity on the left. The Feed shows you all your notifications and

everything that's happened lately in the channels you follow.

Share a fileClick Attach under the box where you type messages, select the file location

and then the file you want. Depending on the location of the file, you’ll get

options for uploading a copy, sharing a link, or other ways to share.

Search for stuffType a phrase in the command box at the top of the app and press Enter. Then

select the Messages, People, or Files tab. Select an item or click Filter to

refine your search results.
