A Guide to State Conference
The OSDAR is thrilled to welcome new/newer active Members to State Conference!
Following are some frequently asked questions by newcomers.
What is State Conference and how do I find out the information?
Once a year in the spring, the State Society meets to report and celebrate the activities and accomplishments of
the chapters and committees. The Registration Form and other information is sent by email to all OSDAR
membership and to your chapter regent who shares it with chapter members. It includes information about the
different banquets and the cost, as well as the special room rate at the designated hotel. Be sure to observe all
deadlines. The forms are also available on the OSDAR State website http://membersokdar.weebly.com under
the OSDAR State Conference tab.
What part can I play in a State Conference?
Attend the meetings and meals to learn more about the DAR. Every state officer and state chairman will give a
report about the activities of her office or committee and each chapter regent will report about the activities of
her chapter. Some reports include recognizing chapters for outstanding work within the committees, as this is
part of the mission of the state conference.
What do I need to know about the meetings at the conference?
There is an aspect of the business meetings and meals that is quite formal. As the event begins, the State Regent
enters the room preceded by someone applauding, and everyone in the room stands and applauds. When she
gets to the platform, she welcomes everyone, leads the group in the opening exercises and asks everyone to be
seated. Most of what we recite is quite familiar, including the Pledge of Allegiance and the National Anthem.
Other less familiar items include the American's Creed and the Salute to the Arkansas Flag. All of them are
printed in the program.
There is also an opening ritual for the meal functions. The salad is often already on the table upon arriving. It is
expected that no one picks up her fork to eat until the State Regent (presiding officer) has picked up her
fork. After the salad is cleared, it is also polite not to begin eating the main course until everyone at your table
is served. You cannot attend the meal function just to hear the speaker or the entertainment. You must have a
meal ticket to attend. HODARs (Husbands of Daughters of the American Revolution) may purchase a ticket to
attend the meal function and the entertainment or speaker. They cannot attend any of the business sessions.
Every chapter has a specific number of delegates who vote on the chapter's behalf. Get involved and get elected
as a delegate. The best way to learn about DAR is to have the responsibility of making decisions that better the
organization. As a delegate, you may ask questions about an issue. To do so, stand and wait to be recognized by
the State Regent. When recognized, address the State Regent ("Madame State Regent"), state your name and
your chapter name and then your question. Never be embarrassed to ask a question. We all learn from them.
Every registered attendee will receive a name badge. If you are a delegate, there will be a blue dot on your
name badge. Only delegates may address the chair or vote on an issue.

Do not to move around the room when someone is speaking (i.e. the State Regent, a speaker, or someone giving
a report) or move (including entering or leaving the room) between speakers.
A page is usually stationed at the door to let you know when to come and go.
I heard someone mention DAR Pins, when is it proper to wear them?
State Conference is the perfect place to wear your pins. Wear them only to conference sessions; remove them or
cover them with a scarf if going outside or eating in a restaurant. Remember that the insignia should not be
worn on the street, in a restaurant, cocktail lounge, or other public place unless a DAR or allied function is
taking place then and there. Wear the insignia pin with attire appropriate for DAR occasions. These include
suits (skirted or pants), dresses, or pants with a suit jackets. The insignia pin should be worn over the left breast
and only by active members. No other jewelry is to be worn on the left side when wearing the insignia pin
except for a flag pin, which is worn on the left lapel.
What kind of clothes do I need to bring?
You should dress appropriately for the climate and the dignity of the occasion. Business-casual is recommended
for the daytime sessions. More formal or cocktail attire is recommended for the night sessions (i.e. long or
tea-length dresses or appropriately formal pantsuits). Many members also bring a pair of white gloves for
the teas, evening sessions, and receiving lines. Hats are worn by some at the Memorial Service although it is not
required. Shoes should be comfortable. Since many members visit after hours, bring some comfortable clothes,
too.
What else do I need to bring?
A suggested packing list:
evening wear for two nights (it is perfectly acceptable to wear the same formal attire for
both nights, or add a different jacket to change it up a bit)
business or business-casual attire for three days
money for meals not included in your registration
comfortable clothes to wear after the evening activities
jacket/sweater/wrap for the meeting room (it can be cold)
white gloves (if you are a page, optional for others)
hat for the Memorial Service (optional)
camera (There is a hired photographer who will be selling prints of the photographs taken on Thursday
and Friday if you'd rather buy them)
notebook and pen to take notes during the meeting
DAR Insignia and other fun pins to wear on the right side
spending money for shopping in the OSDAR Sales Room and or from the Junior Shop-including those
white gloves for the Memorial Service and the receiving line, DAR note pads, jewelry, etc!
a tote bag for all of the goodies you will acquire, or you can buy one at the conference

State Conference Protocol – A Guide for Attendees
For new and for old attendees, here is a little Protocol refresher for State Conference.
1. Order of Precedence: Don’t forget to stand at the entrance of the processionals and the
beginning of the recessional. The processional usually begins music which is to alert you
to get to your feet because something special is about to begin. You will remain standing
until after the opening exercises when the State Regent will tell you to be seated. The last
person to enter the room is ALWAYS the State Regent and she is ALWAYS the first
person to leave the platform at the beginning of the recessional. Even with the President
General in attendance, the State Regent is considered the highest-ranking member in the
State and is always given that honor. Standing is a courtesy and honor to our State
Regent and is a deserved recognition and tribute to her office and to her service to the
organization.
2. Standing: When your Chapter Regent gives her report at State Conference, stand briefly
to show pride for her work and the work of your chapter. You may stand briefly during
the Memorial Service when names of your deceased chapter members or friends are read.
3. Meals: At meal functions, keep in mind, the meal doesn’t begin until the presiding
officer picks up her fork. (At State Conference this will be the State Regent or the
President of the clubs, i.e. Chapter Regents, State Officers, or Cameo Society). All meal
functions must have a ticket. No one will be allowed to attend, just to hear the speaker.
4. Reports: When giving a report, address the chair only. (Madam State Regent) In
addressing the chair, the State Regent will recognize you and in calling your name, gives
you the floor. Officers are allowed 3 minutes; State Chairmen are allowed 2 and Chapter
Regents are allowed 1 minute. Please be prepared for that time allowance and do not
continue talking when your time is up. At a State business meeting, if you have a
comment and/or question, please rise to be recognized. When the State Regent
recognizes you, please state your name and chapter name clearly, for the record.
5. Delegates: If you are attending State Conference as a Delegate, you are there to help
make the important decisions for OSDAR. Please wear your “Delegate” ribbon and sit in
the designated areas during business meetings.
6. Gloves: It is always up to the State Regent as to whether to wear gloves for different
functions. If you are to be part of the processional on Opening Night, long dresses and
gloves are appropriate. Also, during opening exercises, please remove the right glove
for the Pledge and keep it off until after the singing of the National Anthem. Have

nothing else in your hands while you recite the Pledge and while you are singing the
National Anthem.
7. Memorial Service: Those taking part in the Memorial Service, hat and gloves are
optional but encouraged. Dark dress, black, gray or navy, should be worn by State
Officers and District Directors. Members taking part in the opening night exercises
(processional) and Memorial Service are asked to please arrive at least 20 minutes prior
to the beginning of the function.
8. Regents Night Processional: If you are a Chapter Regent, please bring your chapter flag.
Your vice regent will carry the flag and post it. Watch your email for more details on
this.
9. State Conference attire is business casual for day sessions and formal or cocktail wear
for evening events. Only suits (pants or skirted), dresses, or pants with a suit jacket are to
be worn with our DAR insignias. Never wear your DAR pins with capris, shorts, or jeans
and never on a T-shirt. They are not to be worn in public places unless a DAR function is
taking place there and then. Some rooms in the hotel can be somewhat cool so a wrap
might be considered.
10. Receiving Line: Gloves are requested if you want to go through the receiving line.
Many of our State Conference attendees are anxious to meet our visitors, so please try to
make your way through the receiving line quickly. Pages may encourage you to move
along if you visit a too long.
11. HODARS (Husbands of DARs) are welcome for meals. They need to be registered,
although you don’t have to pay a registration fee for them, they must have tickets for any
meal/speaker function they attend. Business sessions are for members only. We look
forward to meeting your HODAR at State Conference.
12. Pages and Ambassadors: You may notice young women wearing white who are always
eager to help; they are OSDAR Pages. Any member in good standing between 18 – 40
years of age, may serve as a page. Additionally, they may be members of the Oklahoma
Society Children of the American Revolution, daughters or granddaughters of members
of the Oklahoma Society provided they have reached the age of fifteen years.
Ambassadors are members over the age of 40 who are willing to serve as a Page. If you
would like to serve as a Page or Ambassador, please let the State Regent know.

State Chairman’s Club
If you are serving as a State Chairman or have ever served, you are eligible to join
the State Chairman’s Club.
The purpose of the Club shall be to educate and assist State Chairmen in carrying
out their leadership roles to further the aims, goals and projects of the national, state
and local chapter organizations. The Club shall support the Oklahoma Junior
Daughters and contribute to their expenses for Continental Congress.

The goal of the Oklahoma DAR State Chairmen’s Club is to educate and assist members in the
effective accomplishment of their State Chairmanship appointment. This education may include
seminars, forums, one-on-one contact, literature, handouts, previous committee files, advice, visual
facilities, personal presentations at chapter, district, workshop or conference meetings, along with any
other method of communication support available.
There shall be one class of membership: ACTIVE. The initial application fee is five dollars
($5.00). After the initial fee the annual dues will be will be five dollars ($5.00) per year payable at the
State Workshop. As a member you will be eligible to purchase a State Chairmen’s Club pin from
Hamilton Jewelers to wear on our DAR ribbon.
A Lifetime Membership is available for a one-time payment of $50.00.

OKLAHOMA CHAPTER REGENT’S CLUB
The object of this club is to give assistance to
the current Chapter Regents and to assist the
State Regent in any way possible. The Chapter
Regents Club purchases the Outstanding
Chapter Regent’s Pin that is given to one
Outstanding Chapter Regent each year.
Any member who has served or is serving as a
Chapter Regent is eligible to be a member and
order the Chapter Regents Club pin.
The annual dues of the Oklahoma Chapter Regents Club shall be four (4.00) dollars

Pages and Ambassador
Any member in good standing between 18 – 40 years of age, may serve as a page.
Additionally, they may be members of the Oklahoma Society Children of the
American Revolution, daughters or granddaughters of members of the Oklahoma
Society provided they have reached the age of fifteen years. Ambassadors are
members who are over 40 but would still like to serve as a Page. Pages and
Ambassadors do not pay Registration Fees for State Conference or Workshop. A
Page Manuel and training is provided!

What is the State Regent’s Project?
Each State Regent chooses a project for her administration. During the Henderson
Administration, the Oklahoma Daughters are Building a Legacy with the Oklahoma
Enrichment Center. The Center is housed in the DAR building in Washington DC. It supports
the DAR Museum with interactive activity
stations which enhance museum items. And
there is permanent signage that reads
“Oklahoma Enrichment Center”. This project
is spotlighting Oklahoma on the national scene
and is speaking volumes as to how much we
value education and historical preservation.
Besides purchasing items through the DAR
Store, you may donate through the DAR 365
program. That is a program where you donate
just 10 cents a day to OSDAR, or $36.50 per
year. If you make a generous donation of $100
or more, it will count toward the Heritage Club
in NSDAR. Please support the State Regent’s
Project and help OSDAR Build a Legacy!
