WelcometoyourApartmentinMadrid

YouhavebeenassignedtoanapartmentinMadrid,operatedbyComfortsofHome(COH).AllCOHApartments are regulated by city and local condominium/building ordinances, in addition to theCOHandyourprogram’shousingregulations.ThisdocumentwillhelpyouunderstandhowtocomplywithallCityofMadrid legalordinancesandcontainsallproceduralguidelines forwhichstudentshousedbyCOHandareresponsible.Italsoprovidesyouwithinformationthatwill help you better understand how to live in a Spanish apartment and acclimate to your newhome.

COH provides clean, comfortable andwell-maintained shared apartments inMadrid. Your spacewill consist of a bed in either a shared or single bedroom, a living spacewith soft seating and adiningtableandchairs,adequatehangingandfoldedstorageforyourclothing,atleastonedeskforeveryperson,afully-equippedkitchen(refrigerator,sink,cooktop/stoveandeitheraself-standingoven or microwave, cooking equipment and utensils, plates, glasses and dining utensils, andwashingmachine) and bathroom. Youwill also find an iron and ironing board, a clothes-dryingrack,hangersandotherstandardequipment.

Every student who accepts accommodation in COH housing accepts the responsibility ofliving in someone else’s property and treating it as their own. Our housing policies aredesigned toprotectour students and thatproperty, and to abidebySpanish lawsanduniversityregulations.

Whileyouarehereyouareanambassador for yourhomecountry and you are expected tobehaveaccordingly.Abidingbythesepolicieswillensurethatyoufulfillthisrolewhilerespectingyour host country, your neighbors, and host property.We enforce these regulations strictly and

apartmentoccupantsmustagreetoabidebythem.Bysigningthisdocument,youagreetoabidebythese policies and acknowledge that failure to do so can result in penalties (fines and/or loss ofsecurity deposits), and can ultimately result in forfeiture of your living accommodations and allassociatedfees.

GeneralPolicy

Students in Comforts of Home accommodations are expected to behave appropriately withroommates, neighbors and the community at large, in all respects. Violence or threats, sexualharassment,inappropriatebehaviorandloudnoisearenottolerated,andwillresultinawarningorpossiblyimmediateeviction.Excessnoisemayresultinafineorimmediateeviction(consultfineonpage7ofthisdocument).

TenantsareexpectedtotreattheirMadridapartmentwithrespectandtoleaveitastheyfounditatdeparture.

Tenantsfoundinviolationofthisagreementmaybeaskedtovacatetheproperty,willnotbedueanyrefundoffeesandmayberesponsibleforadministrativeandlegalpenalties/subjecttoafine.

By signing this Agreement it is the student’s intention to forever relieve COH, its officers,employees,agentsandvolunteers,ofanyduty to thestudentand thestudentassumes theentireriskofanypersonalinjury,damage,loss,harm,death,claim,medicalexpenseandanyothertypeofexpensethatmightoccurduringorasaresultofhis/heruseof,orpresenceinCOHhousing.

HealthandSafetyPolicy

ItisagainstComfortsofHomeregulationsto:

1. Tamperwithfireorothersafetyequipment.

2. Possessflammableitems,appliancesorotherpropertythatmaybeconsideredafirehazardinanyway.

3. SmokeinanypartofaComfortsofHomeapartmentorbuildingincludingcommonareassuchashallwaysandelevators.

4. StartorcauseafireinanyCOHapartmentorbuilding.Thisincludesfireplaces,whichareforbiddentouseandextremelydangerous.

5. CauseafalsefireorsafetyalarminanyCOHhousingorbuilding.

6. Possessweaponsoritemsthatresembleweapons.

7. Throwobjectsoranysubstancefrom,into,orontoCOHhousingwindows,doors,terraces,ledges,roofsorotherareas.

8. BringunauthorizedfurnitureintoyourCOHapartmentorbuilding.

9. Tamperwithdevicesandfurnishings,suchaswindows,shutters,cranks,stops,locks,anddoorclosingdevices.

10. Installanunauthorizedlockonabedroom,bathroom,orfrontdoor.

11. Leaveapartmentwindowsandentrydoorsopenwhennotpresentintheapartmentand/orfailuretolockapartmentdoor.

12. Enterwithoutauthorization,orcontributetounauthorizedentryofanotherindividual,intoCOHhousing.Thisincludesfraudulentattempts(misrepresentation,usingfalseidentification,etc.),toenterortoallowanotherindividualtoenteranyCOHhousing.

GuestPolicy

No overnight guests are allowed. We are happy to provide recommendations for inexpensivenearbyhotelsand/orhostelsforvisitingfriendsandfamilymembers.

AdministrativePolicy

Youmaynot:

1. Movetoanotherapartmentorhousingfacilitywithoutauthorization.

2. Occupyahousingspaceassignedtoanotherresident.

3. SubletaCOHroom,suiteorapartment,orallowinganindividualtoresideinCOHhousingwithoutauthorization.

4. Failtoproperlycompleteandcomplywiththecheck-in/outprocedure.

5. Modifyorpaintanyroominyourapartment.

6. Hangpostersorotherphotographsusingtape,nailsand/ortacksthatcandamagewalls.

LossofKeysorMagnetic“Bips”willresultina50euroadministrativefee,plustheactualcostofthereplacementitem(keyand/orbip).

ReplacingLocks:Inthecaseofalock-outoranyothersituationthatyouhavecausedtorequiretheuseofalocksmith(suchasinsertingobjectsintodoors,breakingdoorsorlocks),youwillbechargeda)thefullcostofthelocksmith(thiscanbeveryexpensiveifweneedtoreplacealock),plusb)allcostsofreplacementitems(locks,doors,keys).AsSpanishlocksmithsarenotoriouslyexpensive,pleasedonotcalloneonyourown.

AfterHoursLock-outs:Forlock-outcallsthatcomeinafterworkinghours,studentswillbechargeda200euroadministrativefeeplusanycostsincurredforopeningtheirdoor(locksmith

andallrelatedcosts).

KeyReturnatCheck-out:Ifyoudonotreturnyourkeyatcheck-outthepenaltyis50europlusthecostsofthereplacementkeyand/orelectronicbip.

Damages:Studentsareresponsibleforanydamagesintheirapartments.Incasetheresponsiblepartyisnotidentified,allapartmentresidentswillbechargedinequalamountsforthetotaldamage.BESUREYOUCAREFULLYFILLOUTTHEHOUSINGDAMAGEREPORTFORMSUPONYOURARRIVAL,makingnoteofanydamagesyousee.AlwaysimmediatelynotifyCOMFORTSOFHOMEofdamagesthatoccursduringyourstay.

Utilities:Actinaresponsiblemannerwithregardtotheuseofelectricityandgasinyourapartment.Unreasonablegasandelectricbillsmayresultinadditionalcosttotheresidentsofanapartment.Studentsareprovidedautilitiesallowanceof50europerstudent,permonth,whichisgenerallyadequatefornormallivingconditions.UtilitiesinSpainareVERYEXPENSIVE,and50europresumesyouwilluseelectricity,hotwaterandgasMUCHMORESPARINGLYthanyouwouldnormallyintheUnitedStates.Allapartmentmeterswillbereadafteronemonthforinformationpurposes.Studentswillberesponsibleforutilitycharges(dividedequallyamongstapartmentoccupants)forchargesexceeding50euro/month/student.TURNOFFALLLIGHTSWHENLEAVINGYOURAPARTMENT.

Tenantconfigurationinanapartment:COHreservestheright,fornecessarymaintenance,interpersonalrelationsorotherreasons,tochangethetenantconfigurationofanapartmentduringthecourseoftheacademicyear.

CommunityStandardsPolicy

ThefollowingbehaviorisinviolationofComfortsofHomeregulations:

1. Disorderly,disruptive,oraggressivebehaviorthatinterfereswiththegeneralcomfort,safety,security,healthand/orwelfareoftheCOHcommunity.

2. Behavinginawaythatcausesannoyancetoneighbors.(Asnoiseinmanyapartmentscanbeheardclearlyinadjacentapartments((aboveandbelow)),studentsarespecificallycautionedagainstslammingdoors,andwearinghigh-heelandotherhard-soledshoeswhileathome.)

3. Hanging,displayingorleavingpersonalitemssuchasclothesorfooditemsoutsideofyourapartment,onbalconies,oranyotherplacethatmaybevisuallydisturbingtoyourneighbors.

4. Useofillegaldrugsand/oruseofalcohol.

5. Harassmentorabusivebehaviortowardanotherindividualorgroupbyanymeans(includingelectronic),foranyreason.

6. Physicalviolence(actualorthreatened)againstanyindividualorgroup.

7. Engagingin,orthreateningtoengagein,anyotherbehaviorthatendangersthehealthorsafetyofanotherperson,grouporoneself.

8. Vandalismordamagetopersonalorapartmentproperty.

9. TheftorunauthorizeduseorpossessionofpersonalorCOHproperty.

10. ExcessivenoiseasdefinedbyMadridcityordinancesortheCOHnoisepolicy.

9. Failuretomaintainacceptablestandardsofpersonalhygieneorroom/apartmentcleanlinesstotheextentthatsuchfailureinterfereswiththegeneralcomfort,safety,security,healthorwelfareofamemberormembersoftheCOHcommunity.

10. KeepingorcaringforpetsoranimalsinCOHhousing.

11. Unauthorizedsolicitation,recruitmentformembership,subscription,polling,posting,canvassingorcommercialsaleofproducts,servicesorticketsinCOHhousing.

12. SmokinginanypartoftheCOHapartmentorbuilding.

13. ConductinganybusinessforprofitinCOHhousing.

14. Exhibitingoraffixinganyunauthorizedsign,advertisement,noticeorotherlettering,flagsorbanners,thatareinscribed,paintedoraffixedtoanypartoftheoutsideofabuildingortheinsideofabuilding.

15. Attachingorhanginganyprojections(includingtelevisiondishesorantennas,awnings,etc.)totheoutsidewallsorwindowsofCOHhousing.

16. GamblinginCOHhousing.

17. Usinginternetconnectivityinanillegalmanner.(Downloadingand/ortorrentingprotected,copywrittenmaterialinSpainisacriminaloffense;yourinternetprovidermayterminateyourapartment’sinternetserviceasaresultofsuchbehavior.Wewillnotbeabletorestartthisserviceintheeventofsuchanoccurrence,thusaffectingtheabilityofyouandyourapartment-matestoaccesstheinternet.)

CleanlinessandHygienePolicy

AllCOHapartmentshavebeencleanedandcheckedbeforeyourmove-in.Ifthereareanyinadequaciesyoumustinformuswithin48hoursofcheck-inusingtheprovidedforms.

Youareresponsibleforkeepingyourapartmenthygienicandcleanduringtheterm,evenifyoureceiveCOH’SCleaningServices.

1. Donotleaveanykindofgarbageinsideoroutsidetheapartment.Garbagemustbecollectedandbagsmustregularlybethrownintotheproperty’sgarbagecollectionbins,usuallylocatedwithinyourbuilding’scourtyardoroneverystreet.

2. Everymonth,COHwillinspectyourapartmentforcleanliness,aswellastoensurethatexcesselectricityisnotbeingconsumed.Ifwedetermineyourapartmentisbeingmaintainedinanon-hygienicorsubstandardmanner,COHmayopttoa)warntheresidentsorb)providecleaningatitsowninitiative(forwhichitwillbillthestudentsthecostofcleaningandanadministrativefee).Ifyourapartmentisfoundinanunacceptableconditionasecondtimethecostsofcleaning,administrativefee,andafinewillbeleviedforeachresidentoftheapartmentforlackofcleanliness/hygiene(finechartlistedonpg.7).

3. Specifically,besuretocleanyourovenandstove(andstove-top)afteruse.Leavingovenandstovedirtywillruinthemandyouwillreceiveafineand/orloseaportionorevenallofyoursecuritydeposits.

4. Ifstudentsfindbedbugsintheirapartmentmorethan48hoursaftertheirarrival,theywillbeheldresponsibleforanyfumigation/exterminationfees(beginningat300–400eurosperstudent).COHinspectseveryapartmentandmakescertaintheyarefreeofbedbugsbeforeyourarrival.Thereforeifbedbugsarefoundintheapartmentafter48hoursofcheck-in,itisbecausestudentshavebroughtthemintotheapartment.Foralistoftipsonhowtoavoidbedbugs,pleaseconsultwithourstudentservicesteam.

MaintenancePolicy

COHprovidesmaintenanceserviceforyourapartmentandisresponsibleforrepairingthethingsthatgowrong,and,we’llfixthemassoonaspossible.However,you’relivingindependentlyinanapartment,andassuchyou’reresponsibleforanumberofitems.Here’salistofthingsthatwe’renotresponsiblefor(andthatyou’llneedtodoonyourown):

1. Purchasinggarbagebagsandotherroutinecleaningsupplies2. Removinggarbagebagsandspoiledfoodonaregularbasis3. Cleaningyourdirtypots,pansanddishes4. Keepingyourapartmentcleanandtidy.5. Purchasingtoiletpaperandotherpersonalitems.6. Airingoutyourapartmentfrequently,whileyouareathome.7. Clearingyourkitchenanddrainsandpreventingblockage/back-up(wedonothave

garbagedisposalsinSpain).8. Monitoringwhatgoesdownyourtoilets,neverdisposingofanythingotherthantoilet

paper.

Inorder to report a standardmaintenance item,YOUMUST sendan email to sterzic@get-comfortable.com. We review all maintenance requests daily during our office hours, andwe’llrespondwithin48workinghoursofourreceivingyours.Wecangenerally takecareofmostmaintenanceissueswithintwoorthreeworkingdays.Remember,though,thatyou’relivingina country where Customer Service does not mean 24 hour availability of repair people.Nonetheless,we’llkeepyouinformedastotheprogresswe’remaking.

Youarenotrequiredtobeintheapartmentduringmaintenanceissues.Wemaintainkeystoallapartments.COHreservestherighttoenteranyapartmentwithorwithoutnotice,thoughwedoattempttoset-upvisitsandrepairswithadequatenotice.

EMERGENCIES:

Weareavailable24hoursadayfor“RealEmergencies”.“RealEmergencies”are:Fire,Flood,GasLeak,Break-in(oranytimethatthepoliceareinyourapartment).

Ifyouhavea“RealEmergency”,TAKETHEFOLLOWINGSTEPS:

1. Callthepolice,firebrigadeorotherrelevantauthority(DOTHISFIRST)bydialing091fromSpanishphoneforthepoliceor080forthefiredepartment.

2. CallyourCOMFORTSOFHOMEEmergencyNumber:+34628340251

PenaltiesforHousingPolicyViolations

ShouldanystudentviolateanyofthehousingpoliciesestablishedbyCOH,thestudentwillbenotifiedviatheiremailaccountoftheviolationandaprocedurewillensuetosanctionthestudent.Ifastudentviolatesanyoftheaforementionedrulesandregulationsthefollowingpenaltieswillapply:

• Shouldthisviolationfallunderthejurisdictionofmaintenanceoftheapartment,itsfurniture,orotherphysicalobjectrelatedtotherentaloftheapartment,theviolationwillbehandledbytheCOHAdministrativeStaffandmayresultisawarningand/oraFINE(seefinetablepage7).

• Shouldtheviolationfallunderthejurisdictionofstudentconductandbehaviortowardsotherstudents,violence,harassment,orothersuchissues,theviolationmaybereferredtothedirectionofyouracademicprogram.

Inbothcases,eithertheCOHAdministrativeStafforpersonnelfromyouracademicprogramwillinformtheotherpartyoftheviolationorthesanctionassociated.COH’sadministrativesanctionprocedureisasfollows:

1. Forafirstviolation,anassessmentoftheviolationandsolutionswillbediscussedanddocumented.Awarningmaybeissued,whichcanleadtotheremovalofpartialortotalhousingprivileges,FINES,orinextremecasesapermanenteviction.Finesand/ordamagerepairamountstoapartmentsmustbepaidimmediatelyandaccordingtothefinechartonpage7ofthisdocument.

2. Inthecaseofadditionalviolations,student(s)willreceivea2ndwarning.Theseverityoftheviolationwillbediscussedanddocumented.Penaltywillbedeterminedbytheseverityoftheviolation,uptoremovalfromtheapartmentwithoutrefundoffees.Anydamage,repair,orfinemustbepaidimmediatelybythoseresponsible.

3. AthirdviolationisgroundsforimmediateremovalfromCOHhousing.Thestudent(s)willbenotifiedthatanyadditionalviolationswillresultintheirremovalfromCOHhousing.Any

damage,repairorfinemustbepaidimmediatelybythoseresponsible.

4. Pleasenote:Physical/verbalabuseisNEVERtoleratedinCOHhousingandwillresultinimmediateremovalfromhousing.

5. THEREWILLBENOREFUNDSFORLOSSOFHOUSING/EVICTIONDUETOVIOLATIONS.Thestudentwillbegiven24hourstoevacuatetheirhousing.THEREARENOEXCEPTIONS.Allexpensesrelatedtodismissaland/orforfeitureofhousingarethesoleresponsibilityofthestudent.

FinancialPolicies

Allrequiredpaymentsunderthisagreementareduebythedatespecifiedonourwebsiteand/orothermethodofcommunication.Studentsareresponsibleforunderstandingthesedeadlines,andCOHwillnotnecessarilyissuereminders.LatepaymentsaresubjecttoaLatePaymentProcessingFee of euro 100.00 per occurrence, plus interest of 1 1⁄2% per month on the unpaid amount.FailuretomakepaymentsmayresultincombinedadministrativeactionbyCOHandyouracademicprogram,whichmayinclude legalcollectionsprocedures,and/orthedelayedreleaseofacademicrecords,orothersanctions.

As noted above, students are responsible for living within their utilities allowance. Unlessotherwiseagreed,anyoverageswillbedividedamongstallapartmentresidentsequally.Pleasebeawareofyouruseofelectricityandgas,andalways turnoff lightswhenyou leavearoomor theapartment.

All damages, including that to walls, floors, furnishings and equipment, are also the residents’responsibilityandwillbeassessedindependentlyofanyfineslevied(asshowninthechartonpage7).Totheextentpossiblewe’llassessthesedamageswithyouduringourcheck-outprocedure.Ifweareunabletodeterminewhichstudentisresponsibleforspecificdamage,thedamagechargeswillbesharedbyallapartment(orbedroom,asthecasemaybe)residents,equally.

Allfinenotices,forfinestobeleviedduringtheterm,willbesenttotheindividualstudentviatheirpersonal email. Feesmust be paid directly to COMFORTSOFHOME,within 48 hours (Monday –Friday) of receiving the fine notice. For fines levied after check-out, students will be chargedthroughCOMFORTSOFHOMEchannelspost-departure.

Check-outPolicy:

Yourapartmentmustbeleftcleanandasyoufoundit.Thebelowmeasuresmustbetakenbeforeyouleaveyourapartment.

• Cleanyourapartmentpriortodeparture:removetrash,cleanbathroom,kitchenand

commonareas.

• Emptycupboardsandrefrigerator,clearingofallpersonalitemsandfood,andremovethemfromyourapartment.

• Allsheetsandlinensshouldbestrippedfrombedsandleftonbeds

• Allpersonalbelongingsmustberemovedfromtheapartment.

• Allfurnituremustbeleftasyoufoundit.
